How to Mark a Lead Lost with a Reason in LeadLocate

A lead does not go to Lost without a reason. The popup takes fifteen seconds and turns a dead deal into something a manager can read.

To mark a lead lost in LeadLocate CRM, open Leads, open the status dropdown on the lead's row and pick Lost. The Mark Lead As Lost popup opens; choose a Reason, add a note if there is one, and click Save & Mark Lost. The status changes and the reason is written to the lead's history.

Step by Step

  1. Open the lead

    Click Leads on the desktop CRM and find the lead, or tap it in the LeadLocate mobile app so the row expands. The status dropdown sits beside the status pill on the row.

  2. Pick Lost

    Open the dropdown and choose Lost. Instead of changing the pill straight away, the CRM opens the Mark Lead As Lost popup. Closing the popup leaves the lead in its old status.

  3. Choose the reason

    Open the Reason list, which starts at Select a reason..., and pick the one that fits: the credit, bought the same brand elsewhere, bought a different brand elsewhere, no agreement reached, out of market, no intent to buy, shopping out of area, Bad or No Contact Information, Test Lead, and the rest of the store's list. A reason is required.

  4. Add a note

    Type one line in Custom comment (optional) on the desktop or Add a short note (optional) on the phone: the other store's payment, the trade payoff that killed it, the date they said to call back. The note is what makes the reason useful later.

  5. Save

    Click Save & Mark Lost. The pill on the row changes to Lost, and the reason and the note are written to the lead's timeline as a note.

Before you start

Any user who can open the lead can mark it lost, on the desktop CRM or in the mobile app, and nothing has to be turned on. The reason list is managed by the store's master administrator, so if a reason your store needs is missing, ask them to add it before the floor starts using the popup. Decide first whether the lead is lost or bad. Lost is for a real customer who did not buy: they went elsewhere, the credit did not work, they changed their mind. A lead with a wrong number and a bouncing email, where nobody could be reached, is a bad lead, and it goes to the Quality Control team through the Report to QC pick on the same dropdown rather than to Lost. The Bad or No Contact Information reason exists for the case where the store chooses to close a lead out itself rather than report it.

What you should see

After Save & Mark Lost, the popup closes and the row's status pill reads Lost. Open the lead and the timeline shows a note with the reason you picked and the comment you typed, stamped with your name and the time. The lead drops out of the working filters and shows under Lost when you filter the list by status, and the same reason shows on the lead in the mobile app.

A Follow Up Process can do the same job without a rep. A step in Follow Up Processes can be set to Move to Lost with reason with a Lost Reason chosen on the step, so a drip that ends with no reply closes the lead out with a reason such as no intent to buy. If it did not work

The lead is still in its old status. The popup was closed before Save & Mark Lost, or the Reason was left at Select a reason.... The CRM refuses a move to Lost without a reason, on the screen and on the server, so there is no way around the popup. Pick Lost again and complete it.

The reason you need is not in the list. The list is per store. Ask the master administrator to add it. Until then, pick the closest reason and put the real one in the comment so the history is still honest.

You marked the wrong lead lost. Open the lead, open the status dropdown and pick the status it should have. The lost note stays in the timeline as a record, which is fine; add a note saying it was marked in error so the next reader is not confused.

The customer came back. Change the status from Lost to wherever the conversation is now. Nothing about a lost lead is locked, and the earlier reason becomes useful context for the second attempt. The lost lead reactivation page covers working the Lost list on purpose.

Tips from the floor

Write the note. A reason of bought the same brand elsewhere tells a manager what happened; a note that says the other store was twenty a month lower on a longer term tells them what to do about it. Mark the lead lost the day you learn it, not at month end, so the calendar and the follow up steps stop working a customer who is gone. And read your own Lost list once a month; the reasons are the closest thing to a customer telling you why they left.
