Sell Cars From Home: The Remote Salesperson Setup

On the phone, Quick Schedule mirrors the same link, so a customer you are texting from the car gets booked in a few taps. A form on the website posts into its own feed in Lead Feeds Manager, and Automated Templates reply within the minute even when you are driving.

How does the phone work from a kitchen table?

Step three is the phone, and it is the tool remote salespeople most often get wrong by using their own cell. The CRM provisions a tracking phone number that is yours for the job, and the VoIP softphone runs in the browser on the laptop and as a dialer in the LeadLocate app, with an inbound call alert screen that shows the caller ID name lookup before you answer. Click to call dials from any record, or the CRM triggers the call to a physical phone if you would rather talk on a handset. Outbound caller ID is verified, so the customer sees your business name rather than a number they do not recognize.

Every call is recorded and transcribed into a lightbox on the lead, which is the memory a remote rep does not have a colleague to share. A voicemail greeting is recorded in the browser or the app, call forwarding rings a Forward Calls To list you build if you work with a partner, business hours routing decides what happens after you stop for the day, and the virtual receptionist with press 5 call screening answers when you are with a customer. How do you text and email like a store?

Step four is the texting inbox, in the browser and on the phone, with every thread in one place and delivery status on every bubble, sent, delivered or failed. MMS carries pictures and multiple attachments, RCS messaging renders richer content where the customer's phone supports it and falls back to SMS where it does not, and the vehicle button in the composer attaches a unit with photos and price as MMS. Trackable short links report who clicked. The AI writing assistant drafts the message on request, AI merge fields personalize it, and voice dictation lets you talk the text into the phone between stops. Where does the inventory come from without a lot?

Step five is the cars. A salesperson at a store sees the store's units in the Inventory menu and the phone app's inventory list, detail sheet and picker, supplied by Inventory Link from the store's feed. A broker with no lot uses auto broker inventory mode, which connects brand offer pages instantly, so a customer who wants a specific make sees offers and a lead form under the broker's name on day one. When a feed does not exist, Inventory Link imports inventory from your own website, and stock photos cover the units without a photographer.

Each salesperson can also have their own inventory site from a template through the inventory website builder, with an embeddable widget for any other page and a vehicle finder that locates the unit a shopper describes. The OEM incentives engine covers more than twenty makes, and the Incentives Showroom shows the programs on a unit at deal level. How do you desk and sign a deal from the phone?

Step six is the number. EZ Desking runs in the browser and on the LeadLocate app: cash, finance and lease structures, a multi pencil grid with goal seek bays, a 50 state tax matrix, trade credit caps and centralized deal defaults. Start New Deal works from the lead or from the Unit field, the trade-in form captures photos and a trade VIN scan, and the driver license scan reads the customer's license into the record from the phone camera. A universal field set covers auto, RV, powersports, marine, BHPH and fleet.

Step seven is the signature. The customer gets a deal page branded to you, opened with a PIN, with e-signature, a revision view and deal chat with photo drops, so the negotiation and the paperwork happen on the same page the customer signs. PencilRecap produces a shareable recap sheet, digital retail on the deal page adds document review, deal review and a shipping quote, and the Deal Jacket takes the customer's documents through QR intake from their phone camera. How does financing work when there is no finance office down the hall?

Step eight is the credit application, and it runs in SecureWebX, which opens from the same login. You text the customer a branded apply link, and they complete the five step online application on their phone, with co applicant support, ITIN as well as SSN, document uploads and e-signature with versioned consent. The application lands in the SecureWebX inbox with status, assignee and amount, and an abandoned application feeds back to the CRM so you can follow up. A worksheet penciled in EZ Desking pushes into SecureWebX so the numbers on the application match the numbers on the deal page.

Send to Lender shares the application with the lender you choose as a code gated, expiring, revocable, watermarked share with a lender response portal, stipulations come back with upload to fulfill, adverse action notices generate from the record, OFAC screening runs on every application, and the file exports in the format the lender or a DMS expects. Two factor authentication on every sign in, encryption at rest and a full audit log mean a credit application handled from a kitchen table is handled on secure infrastructure rather than in an email attachment.
