What does the front desk see when the phone rings?

A name. The call itself is answered on the VoIP softphone in the browser, or the front desk's physical phone, with Make a Call on the top bar for outbound. Every call is recorded and lands in the communications log against the customer, with a transcript in a lightbox, which ends the argument about what the caller was told. How does a call get to the right person without three transfers?

Call forwarding rings a Forward Calls To list built from the dealership's own users, so the front desk sends a sales call to the sales ring list rather than to one extension that may be empty, and the call forwarding page shows how a list is built. When the front desk is busy, the virtual receptionist takes the call and press 5 call screening lets a rep hear who is calling before accepting, and it can be switched on or off and set to 24 hour hours by the manager; the virtual receptionist page covers the settings.

For the store that wants press 1 for sales, press 2 for service, the IVR call flow builder holds the options, uploaded audio and every revision, so the greeting the store recorded in the spring is still there when the summer one needs to be rolled back. The IVR call flow builder page walks through it. Business hours routing sends after hours calls where the manager decides, missed call handling and answering service controls cover the ones nobody caught, and company and per user voicemail greetings are recorded in the browser rather than through a phone menu. A receptionist who wants a rep to call a customer back triggers a call to that rep's physical phone from the lead, so the customer's number is dialed by the system and the rep just picks up.

What happens when a customer walks in?

The receptionist opens the lead or contact, or creates one with New Lead if the customer is new, and sets the In-Store Now flag. That flag tells the whole floor, on the desktop and on the phone app, that this customer is physically on the lot right now, which ends the Saturday problem of two reps greeting the same appointment and the worse problem of nobody greeting the walk-in at all. If the customer has an appointment, the shared team calendar shows which rep it is with and whether that rep is free, and the shared team calendar page describes the calendar every user sees.

When the customer hands over a license for a test drive, the driver license scanner reads it into the customer record, so the name and address on the deal are the ones on the card rather than the ones typed in a hurry, and the driver license scanner page covers the scan. A customer who walks in without an appointment and wants one is booked from the rep's booking link in Calendar Settings, or from Quick Schedule on the phone app, in a few taps.

How does a message actually reach the rep?

Three ways, all with a record. Team Chat, on the top bar, sends a direct message to the rep with presence showing whether they are online and a read receipt when they saw it, and the Team Chat page covers channels and direct messages. Notify, also on the top bar, sends the notification to the emails and numbers that user chose in their own preferences, with a sound in the browser and an on screen toast. And a note typed on the lead itself autosaves in real time, so the rep who opens the record from the lot sees it without anyone forwarding anything.

The front desk can also reach the customer directly. Send a Text on the top bar opens the customer's thread in the two way texting inbox, with delivery status on every bubble, so the message that says your salesperson is running ten minutes late is delivered and shown as delivered. Every text, call, MMS, email and voicemail lands in the one communications log on the customer, which is what the manager reads when a customer says nobody called them back.

What else does a front desk run from the same screen?

The files. The Files menu is a file library with folders, secure file sharing that tracks who opened what, and QR file share, so the front desk hands a customer a document by QR code rather than by printing it. Support tickets, Live Training and Schedule Training sit under More Options and the top bar, and the video training library is where a new receptionist learns the screens. Jax, the AI assistant on the dock, answers questions about the CRM in English or Spanish, which helps a bilingual front desk. Design Studio prints the business cards the front desk hands out. The Feedback button files a bug or a request with a screenshot attached, which is how the person who uses the front desk screen most gets it changed.

What does the manager see of the front desk's day?

The call logs and the communications log. Every inbound call is on the customer's record with its source, its recording and its transcript, so the manager can hear how the phone was answered rather than guess. Activity reporting on the Reports dashboard shows calls answered, texts sent and appointments booked by user, read from the log rather than from a tally sheet, and the reports dashboard page explains the modules.
