LeadLocate for Special Finance Managers
The subprime desk's day on the platform: the finance lead lands, the application arrives with the co-applicant on it, the structure fits the unit, the lender gets a secure share, and every stip is on the file.
What numbers is a special finance manager judged on?
Units delivered from the finance desk, back end gross on those units, applications to deliveries, days from application to funding, and the stips still open at month end that turn a delivered car into a contract in transit. Underneath: how fast the department contacts a finance lead, how many applications come in complete, and how often the unit that fits the structure was actually on the lot. The GM wants the ratio of applications to deliveries; the owner wants to know what each delivered unit cost in leads.
LeadLocate is the department's whole path in one login: the lead, the application, the structure, the lender share and the compliance record. This page walks a special finance manager's day in the order the screens get used, with the real names on screen, then covers what the GM sees above the department and how to start. The lead side has two pages of its own already, special finance auto leads and auto finance leads; this page is the software side of the same desk.
Where do the finance leads come from, and what is the first screen?
Lead Feeds Manager gives the finance source its own feed, so finance leads land in the department's inbox with the source stamped on them rather than mixed into the floor's rotation, and round robin or a distribution list puts each one on the next finance rep. Exclusive local finance leads from LeadLocate campaigns arrive the same way, a mix of shoppers who named a unit and shoppers who described a payment. Financing campaigns are built to fair lending standards, which means the audience is never narrowed by age, gender, income, marital status, household size, education, language or ZIP, and every lead in your zone is delivered to you and only you, prescreened at capture by the questions the consumer answers before the form submits.
The first screen is the Workspace, the CRM's home screen, with the department's appointments, reminders and to-dos, and then the Reports dashboard for yesterday's leads in, contacts and applications started. Both are on the LeadLocate app, which is where a finance manager usually reads them.

What does the first finance lead look like when it opens?
A lead record that autosaves in real time, with the source on it, custom lead statuses and row colors the department set, and the Phone Validator and Email Validator showing validity dots so the rep knows the number is live before dialing. The Customer Profile is one shared buyer record with the co-buyer on it and personal information encrypted, which matters more on this desk than any other, because the co-applicant is half the file.
The what to expect page is worth reading with a new finance rep. A shopper who asked about a truck out of reach on a budget that fits a sedan is a real lead; the desk's job is the sedan. Every message and call with that customer lands in one communications log on the record, and recorded calls carry a transcript, so the manager can read how the conversation about the budget actually went.
How does the customer get the application before the visit?
The rep texts a SecureWebX apply link from the two way texting inbox, with delivery status on the bubble so the department knows the link arrived. The customer completes the five step application on a phone: personal, residence, employment, income, review, with a co-applicant supported, ITIN as well as SSN, income, down payment and a trade-in section, e-signature and consent captured against versioned terms, and bot protection on the form. The store's apply links are branded and customizable with extra sections, custom fields, document uploads and disclosures, so the department's link can ask for what its lenders want up front.
An application the customer started and abandoned feeds back to the CRM for follow up, and Follow Up Processes keep texting and emailing the lead that has not applied yet. On the lot, the identity scanner reads a driver license and insurance card into the customer record, and the trade comes in through the trade-in form with photos and a VIN scan.
How is the deal structured to fit the unit?
The subprime desk works backward from the structure to the car, and the tools are built for that. EZ Desking in the CRM builds cash, finance and lease pencils in a multi pencil grid with goal seek bays, trade credit caps, a 50 state tax matrix and semimonthly frequency, from the store's centralized deal defaults; the field set covers BHPH as well as auto, RV, powersports, marine and fleet. The worksheet pushes into SecureWebX, where the worksheet engine runs at parity and attaches to the application, with a deal recap PDF.
Finding the unit is the other half. The deal vehicle in SecureWebX is decoded from the VIN or looked up by stock number against the store's inventory, with a wish list, a manager confirmed build and options, and title, stolen, sales, auction and warranty checks; book-out values are available inside the worksheet. Inventory itself comes through Inventory Link, from the store's feed or imported from the store's own website, and the vehicle button in every text composer sends the unit that fits with photos and price. OEM incentives show at deal level inside the Incentives Showroom.
How does the application go to the lenders, and how are stips chased?
Send to Lender creates a code gated, expiring, revocable, watermarked share of the application to any lender the store chooses, with a lender response portal and a decision webhook, so a file can go to the store's subprime lenders one after another and each answer lands on the record. The lender decides; the store's own credit bureau account is stored in SecureWebX, because LeadLocate does not pull credit. For a lender that wants a file in its own format, export covers STAR XML, fixed width, CSV and JSON over SFTP, SOAP, REST, PGP encrypted email, structured email or a secure portal, and eFax gives the store and each partner a fax number with inbound status.
Stips are where subprime deals die, and the stipulations workflow tracks each one on the application with an upload to fulfill it, with supporting documents attached per submission. The request goes to the customer as a text from the CRM inbox with delivery status, the customer uploads from a phone, and the file shows what is still open without anyone reading a sticky note. The mailbox handles dealer to lender email with inbound handling, and the Verified Partners list and vendor directory keep the lender list in one place.
What does the compliance record look like on every file?
Special finance is where the compliance record gets examined, so it is built into the workflow rather than added after. OFAC screening runs on every application. Adverse action notices generate from the application record for the customer who was turned down. State specific disclosures, the privacy notice and the terms are edited per store and every user is forced to accept the terms; the disclosures page covers the setup.
Every sign in uses two factor authentication, application data is encrypted at rest, uploads are virus scanned, PDFs are watermarked and gated for print and download, and a full audit log records who opened what. A record is archived, never deleted. On the CRM side, the DNC Blacklist blocks a number in both directions with a live do not call lookup, and every call, text, MMS, email and voicemail with the customer is in the communications log, with transcripts on recorded calls.
Which reports before going home, and what does the GM see?
SecureWebX reports and analytics with PDF export: applications in, by status and assignee, waiting on a lender, waiting on a stip. The CRM Reports dashboard for the department: finance leads in, contacted, applications started, deals signed. The lost reason popup records why a finance lead was marked lost, and Quality Control Requests show the leads reps flagged as bad, which go to replacement review after delivery, so a lead that turns out wrong costs the desk nothing.
The GM and the owner read the same pipeline, the same dashboard and the same audit log. User Management gives the finance manager the Manager role and the GM Master Administrator, with per user notification toggles; the user roles page covers it. The platform is built so your store keeps selling. Each product is its own application under one login, so the apply link you texted this morning, the application the customer filled in, the co-applicant on it, the worksheet behind it and every stip you marked received are written to the file the moment they happen and stay safe there, with the audit log recording who opened what and two factor authentication on every user. Your main phone line, your DMS and your website stay the store's own. For a subprime desk that is the whole point: the file a lender is waiting on is complete, current and provable the minute somebody asks for it.
How does a special finance manager start?
Every plan is month to month with no long term contract. CRM Only starts at $199 per month for a department with its own lead sources; Inbound, with exclusive local leads, starts at $799 per month, and every plan with leads includes the full CRM and SecureWebX under one login, because the CRM is what receives and delivers the leads. Leads can be routed into a CRM the store already runs at no price change. Current plans and figures are on the pricing page. An inventory feed and DMS access are not required.
Setup for the desk: a finance feed in Lead Feeds Manager, apply links customized with the sections the department's lenders want, state disclosures and the privacy notice entered, the store's bureau account stored, the lender list filled in, Follow Up Processes for the lead that has not applied yet, and centralized deal defaults set to the store's numbers. Our team does it with you. The recorded demo shows the screens before you commit, the contact page reaches a person, and every other role at the store has a page on the solutions hub.
Frequently Asked Questions
What does a special finance manager get from LeadLocate?
A finance lead feed of its own, a five step apply link with co-applicant, ITIN, income and down payment, a shared Customer Profile with the co-buyer on it, worksheets that fit the structure to the unit, Send to Lender secure shares, a stipulations workflow, OFAC screening, adverse action notices and a full audit log, all under one login.
How are special finance leads prescreened before they reach the desk?
The consumer answers prescreening questions at capture, and every lead in your zone is delivered to you and only you with those answers attached to the record. Financing campaigns are built to fair lending standards, and a lead that turns out wrong goes to replacement review after delivery, so a bad lead costs the desk nothing.
Does LeadLocate pull credit or approve the deal?
No. The store's own credit bureau account is stored in SecureWebX and the lender decides. Send to Lender is a secure, expiring, revocable share of the application to the lender the store chooses, with a response portal.
How does the co-applicant get on the file?
The five step application supports a co-applicant directly, and the Customer Profile in the CRM is one shared buyer record with the co-buyer on it, with personal information encrypted.
How do I keep stips from killing the deal?
The stipulations workflow tracks each stip on the application with an upload to fulfill it, the request goes to the customer as a text with delivery status, the customer uploads from a phone, and the pipeline shows what is still open by file.
Can I send one file to several lenders?
Yes. Send to Lender creates a separate code gated, expiring, revocable, watermarked share for each lender the store chooses, and each lender's response lands on the record. Export formats cover the lender that wants a file instead.
