Dealership Campaign Management Software
Most stores do not have a campaign problem. They have a list problem, a consent problem and a measurement problem wearing a campaign costume.
What campaign management actually has to do in a store
Generic marketing platforms describe campaigns as content. In a dealership a campaign is mostly logistics, and the content is the easy part.
A real campaign has to answer five questions before a single message goes out. Who exactly is on this list and where did the consent come from. Which of those contact details are still live. What happens when someone replies, because in this business a meaningful share will reply and a text reply that lands in an unmonitored queue is worse than no campaign. Who follows up on the non responders, and when. And afterward, what did it produce in appointments and deliveries rather than opens.
Most dealership campaign failures happen in those five, not in the copy. A store sends four thousand emails from an unauthenticated domain to a list last cleaned in 2019, gets a delivery rate nobody checks, and concludes email does not work. Another sends a text blast, gets two hundred replies into an inbox nobody owns, and burns goodwill it spent years building.
So the useful question when evaluating software is not how pretty the builder is. It is whether the platform handles lists, consent, replies, cadence and measurement as first class problems.
The four channels you can actually run here
Naming the specific tools rather than describing benefits, because dealers cannot ask for what they do not know exists.
Text. SMS campaigns with campaign lists, plus MMS for images. RCS with automatic SMS fallback, so on handsets that support it your message carries branding and richer formatting, and on handsets that do not, it still arrives as a normal text. Replies land in a real threaded SMS inbox where a salesperson picks up the conversation with full history rather than starting cold.
Email. Email campaigns with lists, a real inbox, a composer, an archive, and bulk email with recipient management for the larger sends. Email domain authentication is part of the setup rather than an afterthought, which is the difference between landing in an inbox and landing nowhere.
Voice. Voicemail recording and voicemail drop with recipient lists, so one recorded message can go to a defined group without anyone sitting through ring tones. Trigger calls for outbound patterns, and through AutoMail, IVR and tracked numbers so inbound response to a campaign is routed and counted.
Paid. A paid ads module with targeting, alongside the Leads Manager self service campaign builder and its zone editor, which is where you define the territory a campaign covers. More on that in dealership marketing software.
Lists are where campaigns are won
Every experienced marketing person in this industry has the same story: the campaign that worked was the one with a tight list, and the campaign that embarrassed everyone was the one sent to everybody.
Segmentation in a dealership is not complicated, it is just skipped. Customers by what they drive now. Customers by how long ago they bought. Leads by source, because a shopper from a marketplace behaves differently from one who filled out a form on your own site. Service customers who have drifted past their usual interval. Sold customers approaching the point where a trade makes sense. Unsold shoppers from ninety days ago, who are the single most under worked group in most stores.
The platform gives you campaign lists, distribution lists and recipient management on the bulk side, so a segment is a saved object you can reuse rather than an export you rebuild every month. Contacts and contact import handle the inbound direction, and a shared customer profile means a person is one record across sales, service and marketing rather than three.
The discipline that matters more than any feature: build the list before you write the message. A campaign designed around a message and then aimed at whoever is available is how stores end up sending a lease offer to somebody who paid cash two years ago. See aged lead reactivation campaigns for the segment most stores leave on the floor.
Hygiene and deliverability, the unglamorous half
This is the part that most dealers have never seen inside a CRM, and it is the part that quietly decides whether anything else works.
There is a built in email validator and a built in phone validator. Before a send, you can check the list rather than discovering its condition through bounce rates. That protects two things: your sending reputation, which is slow to build and fast to lose, and your team's time, since nothing demoralizes a BDC faster than a call list where one in four numbers is dead.
Email domain authentication is configured properly so mail is sent as you rather than on behalf of some third party, which is increasingly the difference between the inbox and the spam folder as mailbox providers tighten their rules.
A blacklist with import and platform wide opt out handling means suppression is enforced everywhere rather than per campaign. Someone who opts out of service marketing does not get a sales blast next week, which is both a compliance matter and a trust matter.
One honest note on numbers. Carriers actively filter high volume messaging, and no vendor controls that. What good tooling does is keep your list clean, your consent documented and your sending patterns reasonable, which is what keeps you on the right side of the filters. The campaign is the easy part. The cadence is the job.
A single send is not a campaign, it is an announcement. What produces appointments is what happens on days two, five, twelve and thirty, and that is where almost every store runs out of energy.
Automations and automation lists let you build the sequence once and let it run. Follow up processes attach a defined cadence to a lead or a segment. Drip leads with a drip editor handle the long horizon, which is where used car buyers actually live, since plenty of them are ninety days from being ready. Task automation puts the human steps on somebody's list rather than in somebody's memory, and reminders and appointments carry the scheduled touches.
The important design point is that automation and human work share one inbox. An automated text and a salesperson's reply appear in the same thread, so nobody has the experience of being messaged by a machine and then asked the same question by a person. Lead distribution with rules decides who owns the reply, and distribution lists keep it fair rather than first to click.
If the sequence side is what you are missing, automotive marketing automation software covers it in depth.
Where campaigns should land, which is not your home page
Sending paid or outbound traffic to a generic site page is the most common waste in dealership marketing. The message promised something specific, the page delivers a menu, and the visitor leaves.
Lead pages is a landing page builder with per page URL settings, so each campaign gets its own destination built around one offer, one vehicle or one segment. Because the pages and the CRM are the same system, a submission is a lead in the inbox instantly with the source attached, rather than an email that someone forwards.
Personal salesperson websites and per salesperson inventory sites through My Inventory Link give your people something of their own to promote, which is what turns a team that intends to market into a team that does. A free live chat widget on your existing site catches the visitors who are not ready for a form. And customer facing deal pages mean a follow up can carry real numbers rather than an invitation to come in and discuss it.
Practical rule: one campaign, one page, one measurable action. Our page on landing page optimization goes further.
Measurement that survives a manager meeting
Open rates do not sell cars. The numbers worth reporting are contacts made, appointments set, appointments shown and units delivered, tied back to the campaign that produced them.
Three reporting modules cover activity, company performance and a management roll up, so a salesperson's activity, a store's throughput and an owner's summary are not the same report at three zoom levels. Call history with tracked numbers per campaign closes the loop that most attribution misses, because a large share of response to dealership advertising still arrives as a phone call rather than a form.
Two cautions worth stating. First, attribution in retail automotive is genuinely hard. Customers see a mailer, search your name, click an ad, and call the store, and every platform involved will claim the same sale. Treat the numbers as directional and compare like with like over time rather than trusting any single figure. Second, we cannot guarantee response rates, appointment volume or units, and no vendor honestly can, because it depends on your inventory, your pricing, your market and your people. What software does is make the disciplined version easy and give you real numbers afterward. See marketing attribution software.
Consent, and the rules that are not optional
Outbound marketing in this industry sits inside real rules, and treating them as a formality is how a store buys itself a problem far larger than any campaign was worth.
Texting is consent based. Opt outs are honored across the entire platform rather than per list. The blacklist exists so a suppression is permanent unless you deliberately change it. Quiet hours, identification of who is messaging, and a working opt out instruction are basic hygiene, not extras. Our page on TCPA compliance for dealership texting covers the ground, though your own counsel should review your process rather than a vendor page.
Anything touching financing sits under fair lending rules as well, which means a financing campaign cannot narrow its audience by age, gender, income, marital status, household size, education, language or ZIP. If a vendor offers to help you target around that, they are selling you liability and describing it as an advantage. We will not do it.
None of this is a reason to market less. It is a reason to market from lists you built honestly, which perform better anyway because the people on them asked to hear from you.
What it costs and how stores usually start
A rollout that avoids the common failure, which is buying a platform and then running the same three campaigns you always ran.
- Clean one list before you send anything. Run it through the email and phone validators. The result usually settles an internal argument about whether the database is any good.
- Start with the unsold shoppers from the last ninety days. Cheapest audience, warmest, and it produces a result in days rather than quarters.
- Build one landing page per campaign, not one page for all of them, and put a tracked number on it.
- Assign the reply inbox to a person by name with a response time expectation, before the first send rather than after the first hundred replies.
- Report units, not opens, from the first campaign onward, so the standard is set while expectations are still being formed.
Pricing is month to month with no long term contract. CRM Only starts at $199 a month, programs that include exclusive local leads start at $799, Marketplace Acquisitions for the seller side starts at $999, and the Buyers and Sellers Hybrid Plan starts at $1,599. No inventory feed and no integration with the dealer management system you run are required. Everything is on the pricing page, or contact us and we will look at your list situation before recommending anything.
Frequently Asked Questions
Which channels can we run campaigns on?
Text with SMS and MMS campaigns plus RCS with automatic SMS fallback, email with campaign lists and bulk email with recipient management, voicemail drop with recipient lists, and paid advertising through the ads module with targeting.
Can we clean a list before we send to it?
Yes. There is a built in email validator and a phone validator, so you check the list in advance instead of learning its condition from bounce rates and dead call attempts. Email domain authentication is part of setup.
What happens when someone replies to a campaign text?
It lands in a real threaded SMS inbox alongside the full history, and lead distribution rules decide who owns it. Automated messages and salesperson replies live in the same thread, so the customer never gets asked the same question twice.
How are opt outs handled?
Platform wide rather than per campaign, backed by a blacklist with import. Someone who opts out of one type of marketing does not receive another type next week, which matters for both compliance and trust.
Can we tell which campaign produced a sale?
You get three reporting modules plus tracked numbers per campaign, which closes the phone loop most attribution misses. Be realistic though: retail automotive attribution is genuinely hard and every platform involved will claim the same sale.
Will campaigns guarantee more appointments?
No. We cannot guarantee response rates, appointment volume or units, and no vendor honestly can, because it depends on your inventory, pricing, market and people. What the software does is make the disciplined version the easy one.
Run one clean campaign and judge us on it
We will validate a list, build the landing page, put a tracked number on it and show you what it produced. Month to month, no long term contract.
