Scheduled Text Messages for Dealerships

The customer said text me Monday after nine. The rep writes it now, picks Monday at nine, and the CRM sends it on time from the store's number, with the whole team able to see it waiting.

Scheduled text messages for dealerships let a salesperson write a text, email or voicemail drop now and send it at a set time. In LeadLocate CRM the Messaging, Email and Voicemail Automation windows require a send time, every queued message shows on the lead's Scheduled tabs and in one Scheduled Messages panel, and managers see the whole team's queue.

What are scheduled text messages for dealerships?

Scheduled text messages for dealerships are texts a salesperson writes now and the CRM sends later, at the date and time the customer asked for. In LeadLocate CRM the same scheduling covers emails and voicemail drops, and all three wait in one queue with the lead they belong to: messages a person scheduled, steps from Follow Up Processes and appointment confirmations. Each one goes out from the store's texting number or email address and lands on the customer's thread when it sends, with its delivery status under it.

The design rule is simple. A scheduling window always needs a send time, so every message in the queue has a time someone chose on purpose. If the rep wants to text right now, the window says so in plain words and points to Send a Text instead. The older Text Automation and Email Automation items in Marketing Tools open these same windows, so there is one way to schedule and one place to see everything that is waiting. The Text Automation page covers the triggers that send on their own; this page is the queue behind every one of them.

How does a dealership use scheduled messages on a normal day?

Saturday, 9:40 a.m. A customer on the phone says she works through Monday morning and asks the rep to text her Monday after nine. He clicks the clock beside Text on her lead, the Messaging Automation window opens with Send at first, he taps the Monday 9 AM quick time, picks the follow up template, adds a line about her trade, and clicks Schedule Text. The card appears on the lead's scheduled texts tab with the time on it, and he is on to the next customer before she has hung up her phone.

At 2:15 a BDC agent sends a customer a recap and schedules a second email for Tuesday at 2 PM from the Email Automation window, because the customer wants to look at numbers after his day off. At 4:30 a third rep schedules one of his recorded voicemail drops for tomorrow morning from the Voicemail Automation window. Each message takes its place in the queue with the name of the person who wrote it.

At 7:00 p.m. the sales manager clicks the clock in the Messaging header and the Scheduled Messages panel slides out. He sets Status to Coming up and When to Tomorrow and sees 42 messages across the team. One reads Will not send, because that customer called in and asked to be put on Do Not Call, so it never leaves. Another customer replied this afternoon asking for her text at noon instead of nine, so the manager opens the card and changes the time. The words and the rep's signature stay exactly as the rep wrote them.

Where do scheduled messages live in the CRM?

There are three ways in, and all three show the same queue. On a lead, the clock buttons beside Text, Email and Voicemail open the Messaging Automation, Email Automation and Voicemail Automation windows. Each one puts Send at first, with quick times for In 1 hour, Tomorrow 9 AM, Tomorrow 2 PM and Monday 9 AM, then the template and the message. The schedule buttons inside a text or email conversation open the same windows, so a rep never has to leave the thread to set a time.

On the lead record, three Scheduled tabs sit beside Timeline and System Log: scheduled texts, scheduled emails and scheduled voicemail drops for that customer. Every card shows the time, the words, who scheduled it and its status, with Edit, Send now and Cancel right on the card. When a message sends, it moves to the customer's thread with its delivery status and onto the lead's timeline with every call, text and email around it.

On the phone, the LeadLocate mobile app shows a Scheduled section under the notes of an expanded lead and a clock sheet on Messaging and Email with Everyone and Mine. A rep can schedule a text from the phone and edit, send now or cancel whatever is waiting, with the dealership's own clock on screen so the time is never a guess.

The Scheduled Messages panel: the whole team's queue in one place

The clock in the Messaging, Email and Call Logs headers opens the Scheduled Messages panel, a large slide-out built for a store that sends tens of thousands of messages. Tabs split it by channel, a row of tiles shows what is coming up and what is behind at a glance, and a search box finds a message by customer name, phone number, email address or any word in it. Status narrows the list to Coming up, Sent, Not delivered, Cancelled or Everything. Who wrote it separates messages scheduled by a person from follow-up sequences and appointment confirmations. When covers today, tomorrow, the next 7 or 30 days, yesterday and the last 7 or 30 days. The list keeps loading as you scroll, page after page.

Every row uses the same status words as the lead tabs and the phone: Scheduled, Sending, Sent, Delivered, Not delivered, Failed, Cancelled, Skipped, Behind for a message more than ten minutes past its time, and Will not send. Open a row to read the whole message as the customer will see it, change it, send it now or cancel it. A manager can also cancel a whole set at once: the panel shows how many messages will be cancelled before anything changes, and each customer gets a note on the lead saying what was cancelled.

Whole Team View decides who sees what. Managers see every message on the team and can switch between Everyone and one person. A salesperson sees the messages they wrote and the messages on customers assigned to them, and a card on another rep's customer explains that only that rep or a manager with Whole Team View can change it. The rule holds everywhere: in the panel, on the lead tabs and on the phone.

What do scheduled messages replace, and what does scheduling cost elsewhere?

Without a queue, follow up at a dealership runs on sticky notes, phone alarms and memory, and the promise to text Monday morning is the first thing to slip on a busy Saturday. Some reps schedule texts from their personal phones, which means the conversation and the customer walk out the door with them. Stores that buy scheduling separately usually end up with a marketing tool priced per contact that has no view of the CRM, so the rep looking at the lead has no idea a text is about to go.

Built into the CRM, the queue sits on the lead, so anyone who opens the customer sees what is about to go out and can change it. Scheduled texts and emails come with LeadLocate CRM on every plan, including CRM Only. A scheduled voicemail drop draws on the store's usage credits for ringless voicemail deliveries: the credit is set aside when the drop is scheduled and given back if it is cancelled. Each plan includes a login to start, more users are an add-on, and the details are on the pricing page.

The compliance angle: every scheduled message checks before it sends

A message written on Saturday and sent on Monday has to be right on Monday, so the checks run when the message goes, not only when it was written. A customer on Do Not Call shows Will not send on every scheduled message to that number, and the message is locked so nobody can push it out by mistake. A customer who was deleted gets the same lock. A lead that is deleted or blacklisted before the send time is cancelled when the time arrives, and a customer who texts the stop word goes on the two way blacklist, which stops the queue for that number. The DNC Blacklist page covers the live do not call lookup behind all of it.

The record is complete. Every scheduled message keeps the name of the person who wrote it, every edit is written to the lead's System Log, and every send lands on the thread with its delivery status, so a manager can read exactly what the store sent, when, and who decided it. Times are the dealership's local time on every screen, desktop and phone, so nine o'clock means nine o'clock at the store. The store's own consent practice still matters, and the TCPA compliance for dealership texting guide is the plain language version of the rules.

How do you turn on scheduled messages?

There is nothing to turn on. Scheduled texts, emails and voicemail drops are part of every account the day it opens, and Whole Team View follows the roles already set in User Management: Managers and the Master Administrator see the whole team, salespeople see their own. A scheduled voicemail drop needs a recording in Voicemail Drop Files first, which a rep records in the browser in about a minute.

Training is included with every plan, and Jax, the bilingual assistant inside LeadLocate, answers questions like how do I cancel a scheduled text right from the dock. When a salesperson leaves, switching them off with a handover moves their queued messages to the person taking over, along with their leads and appointments, so nothing promised to a customer goes missing. A scheduling rule written around your store's own process is available on request, and our team puts it in production for your dealership.

What to pair scheduled messages with

Pair the queue with Follow Up Processes, whose text and email steps wait in the same queue, so a manager sees the sequence and the personal follow ups side by side. When a Workspace task from a follow up process is snoozed or rescheduled, its queued text and email move with it, so the task list and the queue always agree. Pair it with lead notifications and alerts, so the rep knows the moment a customer answers a scheduled text, and with the vehicle button in every composer, which drops a unit with its photos and price into the message before it is scheduled.

Automated Templates handle the first text on lead receipt, appointment confirmations wait in the queue beside everything else, and the all features page shows where scheduling sits in the rest of the platform.

Frequently Asked Questions

Can you schedule a text message to a customer in LeadLocate?

Yes. Click the clock beside Text on the lead, or the schedule button in the conversation, and the Messaging Automation window opens. Pick a time in Send at or tap a quick time such as Tomorrow 9 AM, write the message or choose a template, and click Schedule Text.

Can a manager see every scheduled message on the team?

Yes. With Whole Team View, a Manager or the Master Administrator opens the Scheduled Messages panel from the clock in the Messaging, Email or Call Logs header and sees everyone's queue, or one person's. Salespeople see the messages they wrote and the ones on their own customers.

What does Will not send mean on a scheduled message?

The customer is on Do Not Call, or the customer was deleted, so the message is locked and stays unsent. It remains on the list so the team can see what was stopped and why.

Can I change a scheduled message after it is saved?

Yes, until it sends. Edit, Send now and Cancel sit on the card in the lead's Scheduled tabs, in the Scheduled Messages panel and on the phone. A manager who changes only the time leaves the words alone, and a manager's edit keeps the signature of the rep who wrote it.

Can reps schedule messages from the phone app?

Yes. The LeadLocate app shows a Scheduled section on each expanded lead and a clock sheet on Messaging and Email. A rep can schedule a text from the phone and edit, send now or cancel anything waiting, on the dealership's clock.

What happened to the Text Automation and Email Automation pages?

They open the same scheduling windows now, so every scheduled text and email lives in one queue with the lead it belongs to. Automated Templates and Follow Up Processes still handle the messages that send on their own triggers.
