Run a Referral Payout Program From the CRM
From the delivery text to the reward, every step of a referral program happens inside LeadLocate CRM: the link, the form, the lead with the referrer's name on it, and the payout sent from Payout Settings.
What is a referral incentive, and why does it need to live in the CRM?
A referral incentive is a reward a store gives a person for sending it a customer who buys. The person can be a past customer, a service customer, a friend of a salesperson, a local business owner, anyone with a phone and a reason to say your name. The reward is usually a fixed amount per delivered vehicle, and the whole thing works only when four things happen in order: the store asks at the right moment, the referral is captured somewhere it will be worked, the sale is credited to the right referrer, and the reward actually arrives. The reason it has to live in the CRM is attribution. A referral that arrives as an email to the general manager gets typed into the system by somebody who was not on the call, the source gets lost, and three weeks later two salespeople and a referrer are arguing about who gets paid. When the referral form itself creates the lead, sourced to the referrer and assigned to the salesperson whose link was used, that argument never starts. The reward decision is a click on a record that already knows the answer.
Referrals are the cheapest customers a dealership will ever acquire and the ones most likely to be handled on a sticky note. A program with a real payout and a real record changes both halves of that.
What triggers the program? A delivery, and the text that follows it
The trigger is the moment a customer is happiest, which is the hour after delivery. The salesperson's delivery text, sent from the CRM, ends with Your Personal Referral Link, which the rep copies with one click from the Referral Program page on the dock. The store does not rely on the rep remembering: Automated Templates carry the link in the delivery message and again in the thirty day follow up, so every customer is asked at least twice without anyone thinking about it.
The physical version rides on the same link. Design Studio prints a referral card with the rep's link and a code, an NFC card that opens the form with a tap, and the business card the customer keeps in a wallet. The shared team referral link goes on a sign at the service counter and at the cashier window, where people who never met a salesperson still see it. The website editor's Referrals tab puts the form on the store's public site, and the public booking page carries a Referrals pop up that opens the same form.
A referral campaign is the tool for a specific push. The store creates one for a service customer program, a month where the reward is doubled, or a drive around a single model, and the campaign carries its own reward and its own message so the store can see what each push produced.

Step by step: what happens when someone clicks the link?
The referrer lands on the store's public referral form. It asks for her own name and contact, the full name and phone of the person she is referring, what that person is looking for, and an optional note about budget or timing. She submits it and is done; nobody at the store has to do anything for the referral to exist.
The submission becomes a lead in the Leads inbox, sourced to her referral and assigned to the salesperson whose personal link she used, or distributed by round robin if it came through the shared team link. The rep gets the same notification any new lead produces, with the sound alert and on screen toast, and the lead record shows the referrer's name and note at the top. The Referral Program page lists the referral as pending against the referrer.
The rep works the lead like any other, with one difference in the first message: it opens with who referred them and why the store is reaching out. The two way texting inbox carries the conversation, the vehicle button attaches a unit with photos and price, and the rep's booking link books the appointment. When the referred customer buys, the deal closes in EZ Desking and the lead status changes, and the referral moves from pending to earned.
How does the payout actually get sent?
The manager opens the Referral Program page, finds the earned referral, and sends the reward. The amount and the payout connection live in Payout Settings, set once by a Manager or the Master Administrator, so the person sending the reward is not deciding the amount at the moment of sending. The reward is a real gift card style payout delivered to the referrer, and every reward sent is written to Payout History with the referrer, the referred customer, the amount and the date.
The store funds the rewards it chooses to send, in the amounts it sets, and nothing else. There is no per reward fee to a separate referral platform and no spreadsheet reconciling gift cards bought at a drugstore against a list of names. The referrer gets a message that the reward is on its way, which is the moment she decides whether to refer a second person.
Two things stay with the store's own systems on purpose. An employee referral bonus, where a salesperson is paid for a lead a coworker brought in, is a payroll matter and belongs in the store's own accounting. And the decision to pay only on a completed delivery, or to pay a smaller amount on an appointment that shows, is the store's policy; Payout Settings records the amount and Payout History records what was paid, and the policy is the dealership's to set with its own counsel.
What does the manager see, and what does the referrer see?
The manager sees the program in three places. The Referral Program page shows every referral, pending and earned, by referrer and by salesperson, along with each campaign and its results. Payout History shows what the program cost. The Reports dashboard puts the referral source next to every other lead source, so the general manager can compare referral leads to website leads and campaign leads on deliveries and gross, which is the number that decides whether the reward amount is right.
The referrer sees a form that takes a minute, a message that her referral was received, and a reward that arrives when her friend buys. What she does not see is a login, an app to install or a dashboard to check. That matters, because a referral program is judged by people who are not customers of the software, and the ones that ask a referrer to create an account lose most of them at that screen.
The referred customer sees a text from a real salesperson that mentions the person who referred them, and then the same experience any lead gets: a vehicle with photos, a booking link, a deal page with the numbers. He is more likely to answer that first text than a cold one, because a name he knows is in it, and that is the whole advantage of the program.
Referral bonus program examples: three ways stores run it
The delivery program is the default. Every delivered customer is asked at delivery and again at thirty days, through the delivery text and the follow up templates, and the reward is a fixed amount per delivered referral. It runs on its own once the templates carry the link, and it is the program most stores should build first.
The service counter program uses the shared team link. The sign at the service counter and the cashier window carries the team link and a code, service customers refer while they wait, and leads that come through the team link go round robin to the floor. A referral campaign created for it gives the store a separate count, so the service manager can see what his counter produced without it blending into the sales floor's numbers.
The local business program is the one with the biggest upside and the most manual asking. A salesperson gives a referral card and an NFC card from Design Studio to a barber, a gym owner or an insurance agent who talks to a hundred people a week, and that person's referrals come through the salesperson's personal link. The reward can be larger, because the volume is larger, and a campaign with its own amount handles that. All three run on the same page, the same form and the same Payout History.
Where are the compliance checks in a referral program?
A referral form collects a phone number from a person who is not the one being contacted, and that shapes the first message. The referred customer did not ask to hear from the store; his friend did that for him. So the first text names the referrer, says why the store is reaching out, and makes stopping easy. A reply of stop lands on the record and every texting tool in the CRM honors it across the store, not per salesperson. Before any bulk message goes to a list that includes referred numbers, the DNC Blacklist runs a live do not call lookup and holds the store's own list of numbers never to contact.
The reward side has rules that vary by state and by what is being sold, and some states treat a referral fee tied to a vehicle sale differently from a thank you gift. The amount, who is eligible and whether a reward requires a completed sale are decisions the dealership makes with its own counsel. What the CRM does is record them: Payout Settings holds the amount, Payout History holds every payment with a date and a name, and the lead record holds the source, so a question about who was paid what and for which sale has an answer that took no digging.
The referrer's own information is stored in the Customer Profile with personal information encrypted, under the same User, Manager and Master Administrator roles that control the rest of the CRM. LeadLocate stores consumer data to run this, and the Privacy Policy describes what is held.
