Sell to Out of State Buyers With Deal Pages and E-Sign

A buyer three states away can see the unit, read the numbers taxed for their state, sign the deal page from their phone and get a shipping quote, without a single fax.

Selling to an out of state buyer in LeadLocate CRM runs on four tools: the vehicle button that texts the unit with photos and price, EZ Desking with its 50 state tax matrix so the pencil is taxed for the buyer's state, a customer deal page with PIN access, e-signature, revision view and deal chat, and digital retail on that page with document review, deal review and a shipping quote.

What is the trigger, and why is this deal different?

The trigger is a lead with a VIN attached and an area code that is not yours. A shopper in another state found your unit, a color and trim combination or a price that does not exist near them, and submitted a form or called the tracking number. Leads like this arrive through Lead Feeds Manager like any other and get the Automated Templates reply for that feed within the minute. What makes the deal different starts with the second message: the buyer will never stand on your lot, so every step that normally happens in a showroom has to happen on their phone, and the buyer has to trust a store they have never seen.

The way to earn that trust is to be more transparent than the store down the street from them, and the tools on this page are built for exactly that: the actual car in the text, the numbers taxed for their state, a deal page that shows every revision, a signature from their phone, a credit application that runs on secure infrastructure, and a shipping quote on the same page. Title and registration stay in the process your store uses today; what changes is that nothing else has to be faxed. This is the product side of the workflow, in order, inside LeadLocate CRM.

How do we show the buyer the car without a visit?

Step one is proof the car is real. The vehicle button in every text and email composer attaches the unit from your inventory as MMS, with photos and price, so the second message the buyer gets shows the exact VIN they asked about. RCS messaging renders the pictures where the buyer's phone supports it and falls back to SMS where it does not, and a trackable short link to the unit's page reports whether the buyer opened it. Inventory Link supplies the record, with VIN decode and the vehicle database behind it, so the year, trim, mileage and equipment on the page match the window sticker.

Step two is the walk around the buyer cannot do. The salesperson shoots the car on the lot, and deal chat on the customer's deal page takes photo drops and link previews, so the underside, the tires, the one door ding and the odometer go straight to the buyer's thread rather than a personal phone. A call from the record through the VoIP softphone is recorded and transcribed, which protects both sides when a buyer asks three weeks later what was said about the tires. The VIN decode and vehicle database page explains what the record carries, including government safety and efficiency data the buyer will ask about.

How do we pencil a deal taxed for the buyer's state?

Step three is the number, and this is where out of state deals go wrong on paper. EZ Desking carries a 50 state tax matrix, so the pencil is built for the state the buyer will register in rather than yours, and the cash, finance and lease structures each apply the rules for that state. Three lease tax methods are there for the states that need them. Centralized deal defaults keep your fees the same on every worksheet, and a trade credit cap applies if the buyer is shipping a trade to you.

The multi pencil grid puts the cash figure and two finance terms side by side, and the goal seek bays back into the payment the buyer said they can live with. Because the buyer is comparing you to a store in their own town, the worksheet's honesty about their state's tax is the first thing that makes your number credible. The desking tool page covers the engine in detail, and a worksheet penciled here can be pushed into SecureWebX so the credit application carries the same numbers.

What does the buyer see on the deal page?

Step four is the customer deal page, and it is the showroom for a buyer who cannot come to yours. It is branded to your store, opened with a PIN the buyer receives, and shows the vehicle, the pencil and every revision since the first one, so a buyer who negotiated the price down on Tuesday sees the Tuesday version and the Monday version and can tell the two apart. E-signature is on the page, so the buyer signs from their phone and the signed version sits on the record. The store can share the page, revoke all shares at once, or void it.

Deal chat runs on the same page, between the buyer and the salesperson, with link previews and photo drops, so the conversation about the deal happens next to the deal rather than in a text thread the manager cannot see. PencilRecap produces a shareable recap sheet for the spouse who wants to read the numbers on their own screen. For the buyer who wants paper, the print packet with payment ranges and a finance breakdown goes into a #10 envelope with First Class postage and printed indicia, from the same screen.

How does digital retail handle documents, review and shipping?

Step five is digital retail on the deal page, which is the part of this workflow that replaces the back and forth of a remote deal. The buyer builds the deal on the page, then moves through document review and deal review, so the terms, the disclosures and the paperwork are read and acknowledged in order rather than in a pile of email attachments. A shipping quote is on the same page, so the buyer sees what it costs to get the car to their driveway next to the price of the car, which is the question every out of state buyer asks second.

To be plain about what this is: digital retail is a review flow, not a payment rail. The money moves the way your store moves it today, through your finance office and your bank, and the deal page is where the buyer reads and signs. For the physical move, Inventory Link carries a directory of transport carriers and service providers, so the shipping arrangement starts from a list rather than a search. The Deal Jacket then holds the bill of lading, the inspection photos and the signed pages, uploaded from the desk or through QR intake from a phone camera.

How does the credit application work from another state?

Step six is financing, and it runs in SecureWebX rather than in an email. The salesperson texts an apply link branded to the store, and the buyer completes the five step online credit application on their phone: personal, residence, employment, income and review, with co applicant support, ITIN as well as SSN, income, down payment and a trade in section. E-signature and consent are captured with versioned terms, the form has bot protection, and the application lands in the SecureWebX inbox with its status, assignee and amount. An application the buyer abandons halfway feeds back to the CRM for follow up.

From there, Send to Lender shares the application with the lender of your choosing as a code gated, expiring, revocable, watermarked share, with a lender response portal, and stipulations come back with upload to fulfill. When the deal funds through a lender that wants a file, the application exports in the format that lender or your DMS expects, and eFax numbers per store and partner cover the lender that still wants a fax. State specific disclosures are added per store, which matters when the buyer's state is not yours, and adverse action notices generate from the application record when the answer is no. The SecureWebX page lays the whole console out.

How does the paperwork get signed and delivered?

Step seven is signatures and documents, in three lanes. The deal page carries e-signature for the pencil and the recap. The Deal Jacket takes the buyer's driver license, insurance card and proof of residence through QR intake from their own phone camera, and the identity scanner reads the license into the customer record, so the buyer photographs a card rather than typing it. Every file in the jacket can be renamed, rotated, previewed and deleted, and the whole jacket is the record the finance office works from.

For the documents that need ink, the print packet goes out in a #10 envelope with First Class postage and printed indicia from the CRM, and comes back the same way. Title and registration paperwork stays in the process your store already uses for its own state and the buyer's, which is a deliberate limit: LeadLocate is the customer layer next to your DMS, not a replacement for it. What the store gains is that everything before the title, from the first photo to the signed deal page to the funded application, happened on one record instead of across a fax machine, a personal phone and three email accounts.

What does the manager see, and which compliance checks are inside?

The manager sees the deal the way the buyer does, plus the history. Deal history and verification show every revision and who made it, the visit log records each open, the Road to Sale checklist shows which step the deal is stuck on, and deal status syncs across the record. The communications log holds every call, text, MMS, email and voicemail with delivery status on each message and the recording on each call, which is the whole conversation with a buyer nobody at the store ever met in person. The Reports dashboard on the dock rolls it into activity, company and management reporting.

The compliance checks are inside the steps. The customer deal page is PIN protected, e-signed and versioned, and can be revoked. SecureWebX adds two factor authentication on every sign in, encryption at rest, a full audit log, virus scanning on uploads, OFAC screening, a watermarked, print and download gated PDF viewer, and an archive never delete policy, so the application record survives for the years a regulator can ask about it. State disclosures and the privacy notice are set per store. Personal information in the Customer Profile is encrypted, and the DNC Blacklist blocks a number in both directions with a live do not call lookup behind it.

How do we start, and what does it cost?

Everything on this page is on every plan of LeadLocate CRM, with SecureWebX and Inventory Link launched from the same login, month to month, with no long term contract. CRM Only is $199 per month for a store with its own lead sources; plans that add exclusive local leads start at $799, and current figures are on the pricing page. An inventory feed and DMS access are not required; when you have a feed, Inventory Link takes it, and when you do not, it imports inventory from your own website.

Setup for this workflow is short: confirm the 50 state tax matrix defaults in Desking, brand the customer deal page, turn on digital retail with the shipping quote, customize the apply link with the disclosures for the states you sell into, and add the transport carriers you use to your directory. The platform is built so your store keeps selling across state lines: each product is its own application under one login, every deal page, credit application and shipping quote is safe with the account, and your DMS, your main phone line and your dealership website stay the store's own. Frequently Asked Questions

Can the pencil be taxed for the buyer's state instead of mine?

Yes. EZ Desking carries a 50 state tax matrix, so the cash, finance and lease structures apply the rules for the state the buyer will register in, with three lease tax methods for the states that need them, and the same numbers push into the SecureWebX worksheet.

How does the buyer sign without coming in?

On the customer deal page, which is branded to your store, opened with a PIN, and carries e-signature. The signed version sits on the record with every earlier revision, and the store can share, revoke or void the page.

Does LeadLocate collect the buyer's money?

No. Digital retail on the deal page is a review flow: build, document review, deal review and a shipping quote. The money moves through your finance office and your bank the way it does today, and the deal page is where the buyer reads and signs.

How does the credit application get to a lender in another state?

Through Send to Lender in SecureWebX, a code gated, expiring, revocable, watermarked share to the lender you choose, with a lender response portal and stipulations with upload to fulfill. The application also exports in the format the lender or your DMS expects.

Who handles title and registration?

Your store, through the process it already uses for its own state and the buyer's. LeadLocate is the customer layer next to your DMS: the photos, the pencil, the deal page, the signatures and the application live on one record, and the title work continues where it always has.

How does the car get to the buyer?

A shipping quote sits on the deal page next to the price, and Inventory Link carries a directory of transport carriers and service providers to arrange the move. The bill of lading and delivery photos go into the Deal Jacket.
