How to Use My Office in LeadLocate
My Office is your own desk inside the CRM: a canvas you lay out with the widgets you actually use, saved as spaces, one click from the dock and still there when the laptop is replaced.
Step by Step
Open the canvas
Click My Office on the dock, the bar across the bottom of the CRM that also holds Marketing Tools, the Referral Program, Design Studio, My Inventory, SecureWebX, Reports and Jax. The desk opens full screen over whatever you were doing and closes back to it. Everything on it belongs to you; another user signing in at the same store sees their own desk, not yours.
Put the first three things on it
Start small or you will never use it. A sticky note with the customers you promised to call before ten. A to-do list for the day. A timer or a reminder for the one thing you always forget. Drag each widget where you want it and let go; the canvas saves as you work, so there is no save button to hunt for and nothing is lost if you close it in a hurry.
Drop a link and decode a VIN
Paste a URL onto the desk and it becomes a link card with the page title and picture, so a desk full of links is readable at a glance instead of a column of blue text. Paste a seventeen character VIN into the VIN decode widget and it comes back as year, make, model and trim, which is how you know what a customer's trade actually is before she pulls onto the lot.
Have something read to you
Text to speech reads a note or a pasted message aloud, which is useful when a manager left you six paragraphs and you are walking to the lot. The image widget generates a quick visual when you need to show an idea and the store has no photo of it. Tell the customer it is an illustration, not the car, and then walk her to the closest unit on the lot.
Save it as a space, then make a second one
A layout is a space, and you keep as many as you want. Most people end up with two: a desk space with everything, and a lighter floor space with the notes and the VIN decode up front, because on the lot you want two things and not ten. Switching between spaces is one click, and each one keeps its own widgets exactly where you left them.
Keep files on the desk
Drop a file on the canvas and it stays on your desk, reachable by you and nobody else. This is the scratch pile, not the store's library. Anything the whole team needs, or anything you will send to a customer, belongs in the Files menu instead, where it has folders, sharing and a record of what went out.
Before you start
There is nothing to turn on and nothing extra to pay for. My Office is part of LeadLocate CRM for every user, on every plan, from the first login. If you can sign in at a desk, the button is on the dock.
It is a desktop habit. The canvas wants a screen you can arrange things on, so that is where to set it up. The phone app carries the working tools instead, the inbox, the dialer, the Workspace and the VIN lookup, and its sign in screen asks for your Quick Access PIN with Use email instead underneath when the PIN is not handy. What you should see
A full screen canvas, empty the first time, with the widgets you add sitting where you dropped them. Sticky notes, to-do lists, small spreadsheets, timers, reminders, link cards, images, files and freehand ink are all widgets, and they behave the way a desk behaves: you move things around until the layout matches how you work, and then you stop thinking about it.
You should also see it survive things. Close the canvas and reopen it and everything is where you left it. Sign in from a different machine and the desk is there, because it lives on your account rather than on the computer. That is the whole difference between this and the sticky notes around a monitor: a new laptop, a new phone or a new month does not cost you your desk.

If it did not work
You cannot find the button. It is on the dock at the bottom of the desktop CRM, first in the row. If you are on the phone app you are looking at a different set of tools; open the CRM at a desk.
A widget moved back where it was. Drop it and pause for a second before you close the canvas. The desk saves as you work, and a drag that is still in flight when the window closes is the one case where a position does not stick.
A teammate cannot see what you put on your desk. That is correct. My Office is one person's desk. For anything the store shares, use Team Chat for the conversation and the Files menu for the documents.
You want the same layout for everyone. A store-wide space a manager designs, or a widget your dealership wants that is not on the canvas today, is available on request, and our team puts it in production for your dealership.
What belongs on the desk, and what belongs on the lead
The desk is for your working notes: the three calls before ten, the link to the truck a customer sent you last night, the VIN you decoded in the drive lane. Anything that is really about the customer belongs on the customer's record, and the reason is practical rather than legal. A note about a buyer that lives only on your desk is a note your manager cannot see when you are out, the BDC cannot see when the customer calls, and nobody can act on when the customer walks in on your day off.
So put what the store needs on the lead: the status, the tags, the appointment, the notes on the record, the conversation itself. Personal information, including a co-buyer's, belongs in the Customer Profile, where the store keeps it encrypted and where every user with the right role finds it. Keep the desk for how you work, keep the lead for who the customer is, and the store never loses a customer because one person's notes went home with them.

The dock around My Office is worth learning as a set. Design Studio makes the business cards, referral cards and print pieces a rep hands out.
