How to Review Applications in the Inbox in SecureWebX
Every credit application your store takes lands in one list with a status, an owner and the documents attached. This is how a finance office works that list.
Step by Step
Open the applications list
Click the SecureWebX button on the dock in the LeadLocate CRM and go to Applications. This is the store's whole credit pipeline in one place, not one salesperson's view, so whoever is on the desk sees everything that has come in and what shape it is in.
Read the board before you read a file
The dashboard opens with Applications by status and Recent applications. Thirty seconds here tells you where the day is: what came in overnight, what is sitting in a status nobody has touched, and what is waiting on a document. Work the board from the top, oldest untouched file first, because an application that has been ignored since yesterday is the one about to buy somewhere else.
Open the application
Click Open application from the list, or Open application profile for the full customer record. You get the personal, residence, employment and income detail, the co-applicant if there is one, the trade section, any documents the customer uploaded, the apply link it arrived on and the Application ID to quote when your team talks about it.
Put a name and a status on it
Set the assignee and move the status the moment you open the file. An application with an owner gets worked; an application sitting in the pipeline with nobody's name on it is everybody's job, which means it is nobody's. Add a note saying what you did, because the next person to open this file will be reading that note at eight on a Saturday morning.
Ask for whatever is missing
Use the notice on the application record to request the item you need instead of texting from your own phone. Stipulations take an upload to fulfill, so a pay stub or a proof of residence comes back attached to the application rather than living in somebody's camera roll. Screening runs on every application, and OFAC results sit with the record.
Work it toward a structure
Attach a worksheet and pencil the deal in cash, finance or lease at parity with the CRM desking engine, then share the application with the lender you choose. The share is code gated, expiring, revocable and watermarked, and the lender answers in their own portal page, so nothing about the file leaves your control.
Find an older application when you need it
Use Search applications to pull a file up by name, email or reference. If the list comes back with No applications found, widen the search before you assume it is gone; archiving keeps records rather than removing them, so old files are still there to be found.
Decide how your store gets told
In the apply link settings, How do you want to receive applications? and Receiving applications control how a new submission reaches your people. Set it so the desk knows within seconds, because the store that opens the file while the customer is still on the couch is the store that sells the car.
Before you start
You need the SecureWebX console and a role that can see applications. The console opens from the dock in the CRM with the login you already use, and every sign in uses two factor authentication, so a file full of customer credit information is never one stolen password away from being open. Users are invited with roles, so salespeople can send links and the finance office can work what comes back.

What you should see
A dashboard with live counts, a status board and the recent arrivals, then a list you can search. Each row carries the applicant, the status, the assignee and the Application ID. Open a row and the whole file is on one page: the five steps the customer completed, the co-applicant, the uploaded documents, the notes your team has left, the apply link it came from, and the signed consent showing the exact version of the terms and disclosures the customer agreed to.
Documents open in a viewer that is watermarked with print and download gated, and every upload is virus scanned before anyone in your store touches it. Application data is encrypted at rest, and a full audit log records who viewed, edited, shared and exported the file. None of that is a setting somebody has to remember to switch on; it is how the console works on the day it is created.
From the open file you can attach worksheets, raise stipulations, share securely with a lender, generate an adverse action notice from the record, and export to your lender or DMS in the format it expects.

How should a finance office work the inbox?
Set a rule that nothing sits unassigned past the hour it arrived. The single biggest difference between stores that convert credit applications and stores that collect them is not software, it is whether a person's name goes on the file the day it shows up.
Work oldest untouched first, then newest. Call before you email, and email before you wait. When an application is missing something, say exactly what you need in the notice: your two most recent pay stubs, not proof of income. Write a note on the file every time you touch it, even when the note is that you left a voicemail, because that note is what lets the manager pick the deal up on your day off.
Keep the statuses honest. A pipeline where everything is in one middle status tells you nothing on a Monday morning. A pipeline where each file is where it actually is lets a manager look at Applications by status and see the week coming.
Watch which apply link the business arrives on. If the personal links are producing and the website link is quiet, that is a message about your website, not about your reps.
If it did not work
The list is empty. If you see No applications found, the filter or the search is too narrow. Clear it and look at Recent applications. If the store genuinely has none yet, send an apply link to your own phone and submit a test file so the desk knows what to expect.
You cannot find a file the customer says they sent. Search by email address rather than name, since people apply under a formal first name they never use. Check whether they started and stopped instead of submitting; a started application comes back to the CRM as follow up for the salesperson.
Two files for the same customer. They filled it in twice. Work the complete one, note the other, and move on.
A document will not open. The viewer is deliberately gated, so print and download are controlled by your role. Ask a manager to open it or to adjust your access rather than asking the customer to send it again.
Nobody knows a new application arrived. That is the setting under How do you want to receive applications? on the apply link. Point it at the people who work the desk and the problem goes away.
