What are buyer and seller leads, and why run them in one plan?
A buyer lead is a local shopper who raised a hand for a vehicle: a person in your zone who answered one of your campaigns and asked a dealership to help them buy. What triggers the workflow, and what does each lead carry?
The trigger is a form submitted inside your zone. On the buyer side, a shopper answers a campaign built around your store, your offers and, where you connect it, your live inventory. On the seller side, an owner fills out an offer request for the vehicle in their driveway. Either way the lead arrives with the person's name, number and email, the answers to the prescreening questions asked at capture, and the vehicle: the one the shopper wants, or the one the owner wants to move.
Buyer leads are a mix. Some arrive with a VIN attached because the shopper asked about a specific unit the campaign advertised, and others describe what they want in general terms. Seller leads carry the owner's vehicle and their answers about it. Every lead in your zone is delivered to you and only you, prescreened at capture and backed by a replacement review, so a bad lead costs the store nothing. How do you set up the buyer campaign and the seller campaign?
Both campaigns start in Leads Manager inside the CRM. Choose Create a New Campaign, pick Inbound Campaign for shoppers or Acquisitions Campaign for owners ready to sell or trade, then Continue to Zone Setup. In the zone editor the store draws its Sales Zone, runs Scan My Market to read the area, reviews the zip stats, sets the prescreening questions on the lead form, and adds Custom Offers for promotions that are not on the website yet, such as a trade bonus or a weekend event.

What happens in the first minute after a buyer or seller lead lands?
Each campaign feeds its own lane in Lead Feeds Manager, and the lead is pushed into the CRM instantly, so a shopper and an owner never wait in the same queue or in somebody's email. The first reply fires in the same moment from Automated Templates, which keeps separate sets for each side: Inbound Lead Automated Templates speak to a shopper about the vehicle they asked for, and Acquisitions Lead Automated Templates thank an owner for the request on their car and tell them who will call.
Assignment follows the lane. Round robin spreads buyer leads across the sales floor and sends seller leads to the short list who appraise, usually the used car manager and one or two trained salespeople. Notifications reach the assigned person on the emails and numbers they chose, with a sound alert and an on screen toast, and a manager can be put on either feed to receive a copy of every lead it delivers. By the time the phone rings, the customer has already heard from the store by name.
How do the steps run for a buyer and for a seller?
For a shopper, the salesperson calls from inside the lead with click to call, and the conversation is recorded and transcribed onto the record. The vehicle button in the text composer attaches the unit with its photos and price, the booking link from Calendar Settings lets the shopper pick a time, and the visit lands on the shared calendar. At the desk, EZ Desking builds cash, finance and lease structures in one multi pencil grid.
For an owner, the appraiser asks for photos by text and they arrive as picture messages on the thread. The trade in form with VIN scan identifies the vehicle before the visit, and the owner books the appraisal from the same kind of link. If the owner is replacing the car, the appraisal becomes trade credit on the worksheet and the seller lead turns into a buyer on the same record. Leads that go quiet on either side sit in a Follow Up Process built for that lead type, so the next text, the call reminder and the email are scheduled the moment the lead is created. Nobody has to remember whose turn it is.
What does the customer see on each side?
The shopper sees a text from the dealership by name within moments of asking, a call from a number that shows the store's name, the actual vehicle with photos and a price, and a link to pick a time that suits them. When they come in, the salesperson already knows what they asked about and what they said on the call. If they go home to think, the deal page with e-signature and deal chat keeps the conversation going from their phone.
The owner sees a request answered almost as soon as it was sent, a request for a few photos they can take from the driveway, a time they chose, and a reminder the day before. On arrival the appraiser already knows the car, so the visit is a confirmation rather than an inspection from scratch. Nobody on either side repeats information they already gave, because the form, the photos, the call and the appointment all sit on one record.
What does the manager see across both lead types?
The manager reads both lanes from the Reports dashboard on the dock, with activity, company and management reporting, and because each lead type arrives on its own feed the numbers read apart: how many shoppers asked, how fast each got a reply, how many booked and showed, and the same line for owners, all the way to how many became a purchase or a trade. The lost reason popup records why a lead ended, in the store's own categories, so the manager can tell a pricing problem from a follow up problem.
A lead the team believes is bad, such as a wrong number or a request nobody made, goes through Quality Control Requests, where the manager approves it for replacement review. Every lead in the zone is delivered, and the review stands behind each one after delivery. Which compliance checks run inside the workflow?
Both sides start from an opt in. The shopper asked to be contacted about a vehicle, and the owner asked for an offer on theirs, so the first text answers a request the customer made. A campaign that advertises financing runs under fair lending rules that forbid narrowing an audience by age, gender, income, marital status, household size, education, language or ZIP, and Leads Manager plans those campaigns around a zone and an offer. Custom Offers are written into compliant ad copy by our team, so a promotion reads well and stays clean.
Inside the CRM, the DNC Blacklist blocks a number in both directions, imports the list the store already keeps and runs a live do not call lookup. Every call is recorded and transcribed, every text carries its delivery status, and every call, text, email and voicemail sits on one communications timeline. Personal information lives encrypted in the Customer Profile, and access follows the roles the store assigns: User, Manager and Master Administrator.
