Trailer Dealer Software
Sixty units in an open yard, a contractor who wants a price by text before lunch, and a cash deal desked in four minutes: the platform answers with the exact unit, pencils it on a phone and takes the application when there is one.
What is different about selling trailers?
A trailer buyer is usually buying a tool. The landscaper needs a tandem axle before the season starts, the contractor wants an enclosed unit that fits the truck he already owns, the horse owner is choosing between two floor plans, and the guy on the phone wants to know whether you have a sixteen foot dump in stock and what it costs out the door. They are not romanced, they are answered. The store that texts back the exact unit with a photo and a price in five minutes gets the sale; the one that says "swing by the yard and we will look" gets the next call.
The unit is simple and the yard is not. A trailer store carries dozens or hundreds of units, many of them the same model in three sizes, spread across an open lot with no showroom. Much of the business is cash or a short finance term, a real share of it is repeat business from the same contractors, and a good share of the buyers are businesses that buy two at a time. The margin per unit is thin enough that a salesperson who spends twenty minutes on a spreadsheet for a cash deal is losing money on it.
Trailer dealer software, as this page uses the term, is the sales side of that business: the inbound text, the exact unit, the four minute pencil, the application when there is one, and the yard online so the buyer can see it before he calls. Your dealer management system, where you run one, keeps parts, service, accounting and title work. The industries hub lays out the whole family of dealer types the same way.
What is a dealership CRM for a trailer store, and which features matter?
A dealership CRM is the system that holds every buyer, every conversation and every deal in one record, so the contractor who called in March is a name with a history when he texts in September. For a trailer store, three features do most of the work. The Two Way Texting Inbox comes first: one thread per buyer, delivery status on every bubble, MMS pictures from the yard, and the vehicle button in the composer that drops the exact unit into the message with photo, description, stock number and price. Answering "do you have a sixteen foot dump" becomes a tap.
Second is EZ Desking. The worksheet's field set is universal across auto, RV, powersports, marine, buy here pay here and fleet, so a trailer pencils as cash, finance or lease on one screen with the trade, the fees, the term and the tax rules for your state, and the customer sheet matches the screen. A cash deal takes minutes. Third is the phone, since a trailer store sells from the yard. Tracking phone numbers per source, a VoIP softphone in the browser, click to call from the lead, call recording, and a Forward Calls To ring list built from your own users mean the yard phone rings the people who are actually on the lot.
Around those sit the rest of the LeadLocate CRM: Lead Feeds Manager for every source you already pay for, Automated Templates for the inbound lead nobody has claimed, Follow Up Processes for the contractor who is "waiting on a job to close", Bulk Texting for the whole customer list before the season, and the phone app so the same inbox, dialer and inventory list are in the salesperson's pocket in the yard.

How do I get a yard of sixty units online without a feed?
Most trailer stores have no inventory feed and no photographer, which is exactly the store Inventory Link was built for. If your units are on your dealership website, Inventory Link imports them from that website with your permission; twenty eight website platforms are recognised, and our team puts a connection in production for your dealership on request when yours is outside the list. The import inventory from your website page walks through it. If you do have a feed, connect it and use the feed editor for the field that always arrives wrong. A feed and DMS access are not required.
Every trailer carries a VIN, so VIN decode runs on each unit and the automotive database fills in what the decode knows. Stock number overrides keep the tag on the tongue and the number in the text message in agreement, which matters when a yard has six of the same model. Promo photos and stock imagery cover the units that arrived without pictures, and edit vehicle and photos is where the first image gets set, since that image is what a contractor judges from his truck. Add a vehicle in the portal handles the trade and the used unit that exists nowhere else.
From there the yard goes to work. The inventory website builder publishes a site and regenerates it as the yard turns, the embeddable inventory widget puts live inventory on the website you already own with one line of code, and the vehicle finder lets a buyer type "enclosed, seven wide, ramp door" in plain words and get the unit that matches. The dealer page collects the store under one address, Schedule a Visit rises from the bottom of the phone screen, and every request lands in the CRM with the unit attached so the first reply names the trailer.
How do I desk a cash deal in four minutes and a financed one in ten?
Open the lead, press Start New Deal, and the buyer and the unit are already on the worksheet. For the cash buyer, choose Cash, confirm the fees and the tax handling from the centralized deal defaults, and the customer sheet is ready to text or print. For the financed buyer, choose Finance, set the term and rate, add the trade with its payoff, and the multi pencil grid lays out the two or three structures side by side while the goal seek bays solve for the payment he named on the phone. The 50 state tax matrix applies the right rules for where you sit, and semimonthly frequency is there for the buyer paid that way.
The output fits the buyer. A customer deal page, branded to your store and opened with a PIN, shows the pencil and its revisions with a place to sign, and Deal Chat on that page lets the contractor ask about the spare tire mount without another call. PencilRecap is the one page recap for the partner who signs the checks, and print packets with payment ranges cover the buyer who wants paper. Duplicate deal is the tool for the business that wants the same unit twice with two sets of numbers.
The Deal Jacket takes the driver license, the insurance card and the trade photos from a phone camera through a QR code, the identity scanner reads a license into the customer record, the trade in form scans the trade VIN, and the Road to Sale checklist tells the manager what is left. Deal status, the visit log and deal history keep the record straight when a buyer comes back for a second unit in the fall. The general case for desking inside the CRM is on the desking tool page.
How does financing work when a trailer buyer needs it?
Plenty of trailer deals are cash, and the ones that are not travel by link. SecureWebX gives the store branded apply links, each customizable with extra sections, custom fields, document uploads and disclosures, so a store that sells to businesses can ask for the business name and the extra documents its lender wants. The buyer completes five steps, personal, residence, employment, income and review, adds a co-applicant when there is one, enters an ITIN where that is the right number, and signs with consent captured against versioned terms. Bot protection guards the public form, and an abandoned application feeds back to the CRM so someone follows up.
The dealer console shows every application in an inbox and pipeline with status, assignee, amount and notes. Send to Lender shares an application with any lender you choose as a code gated, expiring, revocable, watermarked link with a lender response portal, which is how a store with two equipment lenders and a local bank works all three from one screen. Stipulations get uploaded to fulfill, supporting documents attach to the submission, adverse action notices generate from the record, OFAC screening runs, and state specific disclosures are yours to add and edit.
Worksheets in SecureWebX carry the same cash, finance and lease pencils as CRM desking, and a pencil built in the CRM can be pushed onto the application. When the lender or your DMS wants the file in a particular format, SecureWebX exports it in the format it expects. Two factor authentication on every sign in, encryption at rest and a full audit log protect the record, and the credit pull runs on the store's own bureau account.
Where do trailer leads and marketing come from on the platform?
Your existing sources come first. Lead Feeds Manager takes the website form, the listing sites and the manufacturer's dealer locator inquiries, gives each its own feed and pushes every lead into the CRM the instant it arrives, with Automated Templates answering in the first minute. Tracking phone numbers per source tell you which listing site the calls came from, which at a trailer store is most of the lead volume. Lead Pages builds the landing page for the spring sale in an afternoon, and the free live chat widget turns a website visitor into a thread in the inbox.
LeadLocate's exclusive lead plans were built around car shoppers, so a trailer store starts with the software and works the lead side with the campaign tooling. Leads Manager is the self service campaign builder with a zone editor, zip stats, a market scan and offers, so you choose the zone, the units and the offer while looking at what your market actually searches for. Our team launches and manages every campaign from the selections your store makes there, in the managed webXintel Ads Network or in your own ad accounts, and reports every lead it produces into the same inbox as your website leads. Ask for a campaign built around your units and our team puts it in production for your dealership.
The contractors you already sold are the best list you own. Bulk Texting reaches them before the season with the DNC Blacklist and a live do not call lookup guarding every send, Email Automation carries the ones who prefer email, and the Referral Program pays real rewards to the buyer who sends a crew mate. Design Studio prints the business card and the referral card the salesperson hands over in the yard. How consumers behave after they submit a form is explained on the what to expect page, and a buyer asking about a unit above his budget is still a buyer.
What stays in my DMS and my shop, and where does the platform fit?
The fit is simple, said plainly. Where a trailer store runs a dealer management system, it keeps parts, the service and installation tickets, accounting, floorplan and title and registration, exactly as it does today. The platform is the sales layer beside it: leads, texts, calls, the pencil, the application, the signature and the yard a buyer sees online. The meeting points are simple. SecureWebX exports the application to your DMS or lender in the format it expects, and Inventory Link reads your website or your feed rather than becoming the place your inventory lives.
That design is what keeps a trailer store selling around the clock. Your website shows your units, your tracking numbers forward to the ring list you set, the texts and unit cards you send sit on the buyer's phone, the deal pages you share open with their PIN, and the applications you deliver are in the console. Every lead, thread, call and document the store creates is held safe and stays the store's own property, and your phones, your DMS and your website stay yours. The platform is built so your store keeps selling, whether a contractor is hooking up at seven in the morning or a buyer is reading your yard online at midnight.
What the platform replaces at a typical trailer store is the texting from a personal phone, the spreadsheet or the calculator on the counter, the paper application faxed to a lender, the landing page vendor, and the habit of sending buyers a listing site link with a competitor's unit beside yours. Everything it includes, module by module, is on the platform page.
How does a trailer dealer start, and what does it cost?
Start with CRM Only from $199 a month, month to month with no long term contract. It is the entire platform without a lead plan: the CRM, EZ Desking, SecureWebX, Inventory Link, the phone app and the marketing tools. Skip A Month covers the dead weeks of winter at a northern yard, so the account rests when the lot does and comes back for spring without a new setup.
The first week is short. Invite the team from User Management with the roles they need, import the contacts from the notebook by the register, point the importer at your website or connect a feed, add the units that live nowhere else, and turn on the apply link so every salesperson can text it. Put the live chat widget and the inventory widget on the site, set the ring list so the yard phone reaches the people in the yard, and record the voicemail greetings in the browser. Then sell a trailer the way you always have, with the text, the pencil, the application and the signature in one record on the phone in your pocket. A specialist walks through it on a live account when you ask through the contact page.
Frequently Asked Questions
Is LeadLocate a trailer dealer management system?
No. It is the sales side: CRM, texting, calling, desking, secure credit applications and the yard online. Parts, service, accounting and title work stay in your DMS where you run one, and SecureWebX exports the application to your DMS or lender in the format it expects.
Can I put my whole yard online without a feed or a photographer?
Yes. Inventory Link imports the units from your own dealership website with your permission, with twenty eight website platforms recognised, decodes every VIN, adds promo photos and stock imagery to units without pictures, and publishes an inventory site or a widget on the site you already own.
Does the desking worksheet handle a trailer, not just a car?
Yes. The EZ Desking field set is universal across auto, RV, powersports, marine, buy here pay here and fleet, so a trailer pencils as cash, finance or lease with the trade, fees, term and your state tax rules on one screen, and a cash deal takes minutes.
Can a business buyer apply for financing through the platform?
A buyer applies through the branded apply link, which the store can customize with extra sections, custom fields and document uploads for the business name and the documents its lender wants. Send to Lender then shares the application with the lender of your choice as a code gated, expiring link.
How does a salesperson answer a price request by text?
From the Two Way Texting Inbox, on the desktop or the phone app. The vehicle button drops the exact unit into the message with photo, description, stock number and price, sent as MMS with delivery status on the bubble.
What does it cost a trailer store to start?
CRM Only starts at $199 a month, month to month with no long term contract, and includes the whole platform without a lead plan. Skip A Month covers a slow winter. The pricing page carries the current figures for every plan.
