Mail Center: Inbound Mail Handling for Dealer Brands

Every offer page and form your store puts online generates email. Mail Center is where that email lands, gets answered, and gets logged.

Mail Center is the inbound email desk inside LeadLocate CRM for the store's brand pages. Each brand has its own inbox where replies, form leads, chatbot conversations and abandoned chats arrive. From the same screen a rep composes a reply, schedules an email for later, reuses a template, and reviews the sent log. It is part of the platform subscription.

What Mail Center is, and what it is not

Mail Center handles the inbound email generated by your store's brand pages, one inbox per brand, with composition, scheduled sends, templates and sent logs in the same place. That is the one sentence version. It is not a postal mail room and it is not a general purpose email client for a salesperson's personal correspondence; the email inbox and composer in the CRM covers that. Mail Center is narrower and, for a store running more than one brand or offer page, more useful: it is the desk where everything a brand page sends back to you gets read and answered.

The distinction matters because dealer email usually fails at the seams. A customer replies to an offer email at 9 PM, the reply lands in a shared mailbox three people can see and nobody owns, and by the time someone notices, the customer has stopped answering. Mail Center gives each brand a single inbox, so the reply has an owner and a log, and the reply the rep sends back is written from a template, scheduled if it should go later, and recorded when it goes.

The brand pages themselves, the branded pages that carry your store's offers and forms, are described on the brand offer pages page. This page is the mail side of them.

A normal day: the reply that comes in before the store opens

A store runs two brands, the franchise store and a used car outlet on the other side of town, each with its own offer page. At 7:15 AM a customer who filled out the outlet's form the night before replies to the confirmation email with a question about a trade. The reply lands in the outlet's inbox in Mail Center, not in the franchise store's, and not in a mailbox that mixes the two.

The internet manager opens Mail Center at 8:30, sees the outlet inbox has one new message, reads the question, and answers it from a template that already carries the store's name and address, edited with the two sentences that make it a real reply. She wants a second touch to go out mid afternoon if the customer has not answered, so she composes it now and schedules it for 2:30 PM. Then she checks the sent log to confirm yesterday's confirmation actually went, which it did, at 9:52 PM, which tells her the customer read it and replied within the hour.

Nothing about that took a spreadsheet, a forwarded email or a note on a whiteboard. The inbox knew which brand the message belonged to, the template did the typing, the schedule did the waiting, and the log did the remembering.

Where Mail Center lives and what is on the screen

Mail Center is a section of the LeadLocate CRM alongside the brand page tools. Its pieces are the ones you would expect from a desk that handles inbound mail: the inbox itself, message composition, scheduled emails, templates and sent logs. Each brand page has its own inbox, so a store with three brands sees three inboxes rather than one pile, and the form leads, chatbot conversations and abandoned chats that the brand pages generate sit in the same brand context as the email.

Composition is a normal email editor with the store's templates one click away. Scheduling is a date and time on the message; the email waits and goes when it should. Templates are the store's own, written once and reused by every rep who answers brand mail, which keeps the tone consistent between the person who wrote the first offer and the person who answers the reply. The sent log records every message that left, when it left and to whom.

For the salesperson who lives on the phone rather than the desktop, replies to a customer still flow through the CRM's communications log, so the LeadLocate mobile app shows the customer's history in the same place it shows the texts and calls.

What it replaces at most stores

Ask a store how its offer page email gets answered and the honest answer is usually a shared mailbox with a password on a sticky note. Everyone can read it, so nobody is responsible for it. Replies are typed from scratch, so they vary by who is on duty. Nobody schedules anything, because the mailbox has no scheduler, so the second touch either goes immediately or never. And there is no sent log outside the mailbox's own sent folder, which means a manager auditing a conversation is reading someone else's email client.

Mail Center replaces that with one inbox per brand inside the CRM, a template set that everyone uses, a scheduler for anything that should go later, and a sent log a manager can read without borrowing a login. There is no separate email service subscription and no per mailbox fee. The pricing page lists the plans; Mail Center is part of the platform on every one of them.

The store keeps its own domain and its own sending identity. Nothing about Mail Center puts your brand mail behind someone else's name.

Form leads, chatbot conversations and abandoned chats in the same brand inbox

Email is only one thing a brand page sends back. The same page generates form leads when a customer fills in the offer form, chatbot conversations when the page's texting chatbot answers a visitor, and abandoned chats when a visitor starts a conversation and leaves. Mail Center keeps those in the brand inbox context, so the rep answering the outlet's email is also the rep who sees the outlet's form lead and the outlet's abandoned chat, rather than three different people looking at three different tools.

An abandoned chat is worth a sentence of its own. A visitor who typed a question and closed the tab is a person who was interested enough to ask. Most stores never see that visitor at all. In Mail Center the abandoned chat is a row in the brand inbox, which means it is something a rep can follow up on the way they would follow up a form lead. The texting chatbots page describes the bots that text back; the live chat for car dealers page covers the website chat side.

Form leads from the brand page also feed the CRM's lead handling, so the customer becomes a lead with an owner, a status and a follow up process, not just a message in an inbox.

Scheduled emails, templates and the sent log

Three small tools do most of the work in Mail Center. Scheduled emails let a rep write the follow up now and send it later, which is how a store keeps a second touch from going out thirty seconds after the first. Templates give every reply the same bones: the store's name, its address, its hours, the offer the customer asked about, with room for the two sentences that make it personal. The sent log is the audit trail, every message that left, when and to whom.

Used together they turn a reactive inbox into a paced conversation. A rep answers the morning's replies from templates, schedules the afternoon's follow ups, and checks the log before leaving to confirm nothing is stuck. A manager reviewing the brand's week reads the log rather than asking each rep what they sent.

Where a store wants a longer, automatic sequence rather than a hand scheduled email, the email drip automation in the CRM carries it; Mail Center is for the replies a person should write.

The compliance angle: every brand email logged, sent from your own domain

Commercial email carries obligations, and a store running several brands carries them several times over. The sent log in Mail Center is the record of what each brand sent, when and to whom. When a customer asks what they were sent, the answer is a row in the log rather than a search through a shared mailbox. Because every reply goes out through the CRM, it is also part of the customer's communications log, which holds their calls, texts and voicemails in the same place.

Sending identity matters as much as the record. The CRM's email domain authentication lets the store send from its own domain rather than a generic one, so brand mail carries the store's name and passes the checks receiving mail systems apply. Contact hygiene sits beside it: the email validator shows validity on the lead so a rep is not writing to an address that bounces. None of this is a substitute for the store's own email compliance practice; it is the record and the identity that practice needs.

How to turn it on, and what to pair it with

Mail Center is part of the LeadLocate CRM subscription, so there is nothing to buy separately. A store that already has brand pages has brand inboxes; the first thing to do is write the templates, because every reply after that gets faster. Then schedule the standard second touch, and get in the habit of reading the sent log at the end of the day. Anything a store needs beyond that is available on request, and our team puts it in production for your dealership.

Pair Mail Center with the Lead Feeds Manager so form leads from each brand page land in the right feed and the right rep. Pair it with Automated Templates so the first text and email to a brand page lead go out on receipt without anyone typing them. Pair it with Bulk Email when the message is to a list rather than to one customer. The all features list shows where Mail Center sits among the rest.

Every vendor has downtime. If we are unavailable, the email already in your customers' inboxes is already there, your domain stays yours, and the log of what was sent is kept; what you would wait on is the inbox screen. The contact page reaches a person during an interruption, and the pre-recorded live demo shows the inbox before you sign up.

Frequently Asked Questions

Is Mail Center for postal mail or email?

Email. Mail Center handles the inbound email your store's brand pages generate: replies to offer emails, form leads, chatbot conversations and abandoned chats, each in the inbox for its brand.

Does each brand get its own inbox?

Yes. A store with a franchise brand and a used car outlet sees two inboxes, so a reply to the outlet's offer page lands with the outlet, not in a mixed pile.

Can I schedule an email to go later?

Yes. Compose the message, set the date and time, and it waits. That is how a store keeps a second touch from leaving thirty seconds after the first.

Is there a record of what was sent?

Yes. The sent log records every message that left Mail Center, when and to whom, and each reply also lands in the customer's communications log alongside their calls and texts.

How is Mail Center different from the CRM email inbox?

The CRM email inbox is a rep's general inbox. Mail Center is the desk for brand page email specifically, with one inbox per brand and the form leads, chatbot conversations and abandoned chats from that brand in the same context.

Does it cost extra?

No. Mail Center is part of the LeadLocate CRM subscription on every plan listed on the pricing page, with no per mailbox fee.
