How to Set up the DNC Blacklist in LeadLocate

Load the numbers you must never contact once, and every list and inbox in the CRM obeys it.

Setting up the DNC Blacklist in LeadLocate CRM means loading the contacts your store must never call or text, so they disappear from Leads, Contacts, the inbox and every campaign list. You open DNC Blacklist under Billing and Admin, import your existing list by CSV, add single contacts with a live do not call lookup, and teach the floor to block from the lead row.

Step by Step

  1. Open the DNC Blacklist page

Sign in as a Manager or Master Administrator. Open Billing & Admin in the main menu and choose DNC Blacklist. The page is titled Do Not Call Blacklist and lists every blocked contact, who added it, and a spam count for entries that have stopped inbound traffic.

  2. Import the list you already have

Export the do not contact list from your previous CRM or the BDC's spreadsheet as a CSV with Name, Phone and Email columns in that order. Press Import, drop the file on the Import DNC Blacklist panel or choose it, and confirm with Import DNC List. Press Back to Blacklist to see the entries.

  3. Add a single contact with the live lookup

Press Add to Blacklist. Enter the Contact Phone with its country code and the page reports the line type and the national do not call registry status beneath the field. Press Pull Name to fill Contact Name from the number, add a Contact Email if you have one, and save.

  4. Block a customer from the lead itself

When a customer replies with a stop request, the rep opens the lead and presses Blacklist in the row actions. The CRM warns that the contact will be hidden from all CRM views; the rep confirms, and the customer is gone from every screen without anyone emailing the team.

  5. Check the result

Search for the contact on Leads and Contacts. They are absent from both, from the SMS and email inboxes, and from the recipient lists for bulk texting and bulk email. The blacklist entry shows Blocked with the Added By name.

  6. Remove an entry only on purpose

To unblock someone, open the entry and press Remove from Blacklist. The page warns that the contact will reappear in Leads, Contacts and Inbox views; press Yes, Remove to confirm. Unblocking is a decision, not a click.

What do you need before you start?

You need a Manager or Master Administrator login to reach DNC Blacklist under Billing & Admin, and a CSV of your existing opt outs with Name, Phone and Email columns in that order. Phone numbers with a country code let the live lookup run. Any user can press Blacklist on a lead, so the floor needs to know that the button exists and that it is the store's only accepted way to honor a stop request.

Nothing needs to be turned on. The blacklist is part of LeadLocate CRM on every plan, active from the first day of the account and empty until you fill it. The live lookup checks a number against the national registry and reports the line type on demand, against a current source rather than a copy downloaded months ago. What a store does with the result is the store's decision; the CRM gives the rep the fact and a one click way to act on it.

What should you see when it works?

The Do Not Call Blacklist table shows every blocked contact with Added By, an activity column, the Blocked marker and a spam count. A blacklisted contact is hidden from the Leads list, the Contacts list, the SMS and email inboxes and every campaign list, on the desktop and in the LeadLocate mobile app alike. A rep never has to remember that a customer asked to be left alone, because the rep never sees the customer again.

The block works both ways. A blacklisted number that texts or calls in is stopped at the door, and the spam count on the entry climbs each time, which is how the blacklist doubles as a spam filter for your tracking numbers. Every contact attempt before the block is still in the communications log on the lead, so the store can show what was sent before the request and that nothing was sent after.

What if it did not work?

The import loaded nothing, or the wrong fields. The CSV columns are out of order or the header row is missing. Rebuild the file as Name, Phone, Email in that order, open Import again and drop it on the Import DNC Blacklist panel.

The lookup shows nothing under the phone field. The number was entered without a country code, or with letters and spaces the field does not read. Enter digits with the country code first and the line type and registry status appear beneath Contact Phone.

A blocked customer is still visible. The rep pressed Blacklist but did not confirm the warning, or the customer exists twice with a second number that was never blocked. Confirm the block, then search Contacts for the other record and block it too. Merging duplicate leads first keeps one record per customer so a stop request on one is not undone by another.

Which related tasks come next?

The blacklist is the hard stop; the tasks around it are what it protects. Run contact import alongside the blacklist import so your opt outs arrive with your customers. The do not call scrub and blacklist feature page covers the page in detail, including the two way block, and bulk texting is the campaign the blacklist quietly scrubs before it goes out.

For checking a whole list rather than one number, the Phone Validator flags registry status and line type across a file. Every call, text and email stays in the log described on call recording and transcription, which is the record behind the control. The rest of the guides are on the help center.

Tips from the floor

Make the Blacklist button on the lead the store's rule for every stop request, and retire the note field, the spreadsheet and the email to the floor. Each of those lives in one place while contact attempts come from five. Run the lookup on any list of uncertain origin before a campaign, and read the spam counts once a week to see what the block is keeping out of the inbox.

A store that wants more, such as an automatic block when a customer replies with a stop word, a scheduled scrub of every list against the registry, or one blacklist shared across a group of rooftops, can have it: it is available on request, and our team puts it in production for your dealership. Describe it through contact us.

Frequently Asked Questions

What columns does the DNC import need?

Name, Phone and Email, in that order, in a CSV. Drop the file on the Import DNC Blacklist panel and the contacts disappear from every view as soon as the import completes.

Does blacklisting delete the customer's record?

No. The record and its history stay, hidden from Leads, Contacts, the inboxes and every campaign list. Remove from Blacklist brings it back into view if the store decides to.

Can a salesperson block a customer, or only a manager?

Any user can press Blacklist on a lead they are looking at and confirm the warning. The DNC Blacklist page itself, with the import and the full table, is for Managers and Master Administrators.

Does the blacklist stop the customer from texting us?

Yes. The block works in both directions. Inbound texts and calls from a blacklisted number never reach an inbox, and the entry counts how many were stopped.
