Heavy Equipment Dealer Software

A sales CRM for the dealership that sells excavators, loaders and lifts to contractors: text the unit with photos from the yard, desk it as a fleet purchase, send a credit application link the owner signs from the job site, and keep every account in one record.

LeadLocate heavy equipment dealer software is the LeadLocate platform run by an equipment dealership: the LeadLocate CRM for every contractor and fleet conversation, EZ Desking with a universal field set that covers fleet units, SecureWebX for secure online credit applications with document uploads, and Inventory Link for equipment listings with photos. A feed and DMS access are not required, and plans start month to month with CRM Only.

What is different about selling heavy equipment?

A piece of heavy equipment is measured in hours, not miles, and it is bought by someone who has a job waiting for it. A contractor with a bid in hand wants to know what you have on the yard today, what attachments come with it and when it can be on a truck. A rental fleet buys on a schedule and sells back on a schedule. A municipality has a purchasing process with more signatures than a car deal. All of them want the model, the serial number, the hours, the undercarriage and the service history before they want anything else, and all of them are working outdoors when they call, not sitting at a desk.

The dealership is different from a car store too. Parts and service carry the building, the salesperson covers a territory the size of several counties, and the desk is a manager between two other jobs. The sales cycle runs from a same day emergency replacement to a fleet renewal that takes a season, and the people involved change along the way. That is why the tools on this page are the ones that live on a phone and keep the whole account in one record: the texting inbox, the desking worksheet, the credit application link and the calendar.

Heavy equipment dealer software, the way this page uses the term, is the sales side of the business: leads, conversations, the deal, the credit application and the units a buyer sees online. Your dealer management system keeps parts, service, rental, warranty, accounting and title work, and the platform sits beside it. The industries hub describes every dealer type the same way.

Which LeadLocate features carry the weight at an equipment dealership?

Start with the Customer Profile, one shared buyer record with co-buyer support and encrypted personal data. An equipment account is a company, an owner and a foreman who does the calling, and the profile holds all of it with the unit they want, the trade they are turning in and every call, text, email and voicemail in one communications log. When the foreman changes, the history does not leave with him.

The Two Way Texting Inbox is where the day happens. A territory salesperson answers from the phone app, sends a walkaround of the machine as MMS with delivery status on every bubble, and taps the vehicle button in the composer to drop the exact unit into the thread with its photos, stock number and price. Calls on the tracking number are recorded and transcribed, so the conversation about the hydraulic warranty is readable by the manager later, and Team Chat keeps sales, parts and service in one place.

Then the deal tools. EZ Desking has a field set that is universal across auto, RV, powersports, marine, buy here pay here and fleet, so a loader pencils as cash or finance on the same worksheet a truck store uses. SecureWebX puts a branded credit application link in every text and email so the owner signs from the job site. Follow Up Processes run the drip on the fleet that renews next spring, and the Calendar gives every salesperson a booking link with booking hours so a demo on the yard gets scheduled without three phone calls. The rest of the LeadLocate CRM sits around those.

How do I desk a machine with a trade, a term and my state's taxes?

Open the lead, press Start New Deal, and the unit, the buyer and the co-buyer are already on the worksheet. Choose Cash or Finance, set the term and rate, add the trade with its payoff, and the payment recalculates as you type. The 50 state tax matrix handles where the store sits, trade credit caps and semimonthly frequency are there for the stores that need them, and deal defaults are centralized so every salesperson starts from the same fees. The multi pencil grid puts the three structures a contractor asked about side by side, and goal seek bays work backward from the monthly number the owner said the job can carry.

When a fleet takes more than one unit, Duplicate Deal copies the structure so the second machine takes a minute. When the owner wants to show a partner or an accountant, the deal goes with them: a customer deal page, branded to your store, opens with a PIN and shows the pencil, the revisions and a place to sign, which the deal pages with e-signature page walks through. Deal Chat lets the buyer ask a question on that page and the salesperson answer it in the CRM, and print packets with payment ranges cover the buyer who wants paper on the truck seat.

The Deal Jacket collects the license, the insurance certificate, the trade photos and anything else from a phone camera through a QR code, the driver license scanner fills the customer record from the card, and the Road to Sale checklist shows the manager what is done and what is missing on every deal in the Desking menu. The desking tool page makes the general case for desking inside the CRM.

How do I list equipment online when the unit has a serial number, not a VIN?

Inventory Link takes your units from whatever you have. If your dealership runs an inventory feed, connect it through Inventory Feeds and correct any field that arrives wrong in the feed editor. If the only place your machines exist online is your own website, Inventory Link imports them from that website with your permission; twenty eight website platforms are recognised, and our team puts a connection in production for your dealership on request when yours is outside that list. A feed and DMS access are not required.

Equipment is exactly what the add a vehicle screen in the portal was built for. Trucks and trailers that carry a VIN run through VIN decode and the automotive database. A machine with a serial number is added by hand with photos and a typed description, and vehicle text parsing turns that description into a clean record, so the model, the hours and the attachments a salesperson typed in the yard become a listing a buyer can read. Stock number overrides let the number on the machine match the number in the text message, and promo photos and stock imagery fill in for the units that arrived without pictures.

From there the machines go wherever you want them. The inventory website builder publishes a site with AI assisted copy and regenerates it as the yard changes, the embeddable inventory widget drops live inventory into the website you already own, and the vehicle finder lets a contractor type what they mean and get the units that match. The Schedule a Visit sheet rises from the bottom of a phone screen, and every request lands in the portal and in the CRM with the unit attached, so the first reply names the machine.

How does financing work for a contractor buying equipment?

SecureWebX is the secure credit application system in the platform, and it fits equipment because the application travels by link and carries documents. Every dealer gets branded apply links, each one customizable with extra sections, custom fields, document uploads and disclosures, so the application asks for what your equipment lenders ask for and the owner attaches the paperwork on the spot. The salesperson sends the link from the texting inbox or the email composer. The buyer completes five steps, personal, residence, employment, income and review, adds a co-applicant when the company and the owner both sign, notes the down payment and the trade, and signs with consent captured against versioned terms. An abandoned application feeds back to the CRM so someone follows up.

Inside the dealer console, the application inbox and pipeline show status, assignee, amount and notes. Send to Lender shares an application with any lender you choose as a code gated, expiring, revocable, watermarked link with a lender response portal, which is how a dealer works several equipment lenders without a login for each. Stipulations get uploaded to fulfill, supporting documents attach to the submission, adverse action notices generate from the application record, OFAC screening runs, and state specific disclosures are yours to add and edit. The credit pull itself runs on your own bureau account, stored in your settings.

Worksheets in SecureWebX carry the same cash, finance and lease pencils as CRM desking, and a pencil built in the CRM can be pushed straight onto the application. When your lender or DMS wants the application in a particular format, SecureWebX exports it in the format it expects, in STAR XML, CSV, JSON or fixed width, over SFTP, a REST call, PGP encrypted mail or a secure portal. Two factor authentication, encryption at rest and a full audit log sit under all of it.

Where do heavy equipment leads and marketing come from on the platform?

Start with what you already have. Lead Feeds Manager takes every source your dealership already pays for, the website form, the equipment listing sites, the manufacturer's inquiries, and pushes each lead into the CRM the instant it arrives, on its own feed with its own Automated Templates. Lead Pages builds a landing page for the auction week or the year end program in an afternoon, with its own URL, and the free live chat widget on your website turns a contractor browsing at night into a text thread. Every source carries a tracking phone number, so you see which one the calls came from.

LeadLocate's exclusive lead plans are built around car shoppers, so an equipment dealer starts software first and puts the campaign tooling to work on the lead side. Leads Manager is a self service campaign builder with a zone editor, zip stats, a market scan and offers, so a dealer whose territory covers half a state can draw it. It runs two ways, a managed path and a bring your own accounts path, and either way our team launches and manages every campaign from the selections you make, on the managed webXintel Ads Network or in the ad accounts you connect yourself. Ask for a campaign built around your machines and our team puts it in production for your dealership.

Then keep the accounts you already have. Follow Up Processes run the renewal drip, Bulk Texting reaches the whole customer list about a demo day with a live do not call lookup and the DNC Blacklist protecting every send, Email Automation carries the longer story, and the Referral Program pays real rewards to the contractor who sends a friend. How buyers behave once they submit a form is covered plainly on the what to expect page, and it applies to a contractor asking about a machine above his budget as much as to a car shopper.

Is this a heavy equipment dealer management system, or a sales CRM?

It is the sales CRM, and it is worth being plain about it. A heavy equipment dealer management system runs parts, service, rental, warranty claims, accounting, floorplan and title work, and yours keeps doing that. The platform is the sales layer beside it: leads, conversations, the deal, the credit application and the online listings. Where the two meet, SecureWebX exports the application in the format your DMS or lender expects, and Inventory Link reads your feed or your website rather than replacing either. The way your shop opens a work order stays entirely with your shop.

The platform is built so the yard keeps selling. Your website keeps showing your machines, because Inventory Link publishes from the feed or the site you already own. Your tracking numbers ring the list your managers set, so a contractor calling from a job site at six in the morning reaches a person. Every photo and description a salesperson typed standing next to the machine, every text thread, every deal page with its PIN and every application delivered to the console is saved and stays saved on the customer. Each product is its own application under one login, which is why your phones, your dealer management system and your website stay yours, and why an equipment dealer can add the sales layer without handing anything over.

What the platform replaces at a typical equipment dealer is the separate texting app on every salesperson's personal phone, the spreadsheet desk, the paper credit application faxed to a lender, the third party landing page tool and the habit of texting buyers a listing site link with three competitors beside your machine. The commercial truck dealer page covers the neighbouring business, and the two often run under one roof.

How does a heavy equipment dealer start?

Start with CRM Only, from $199 a month, month to month with no long term contract. It is the whole platform without a lead plan: the CRM, EZ Desking, SecureWebX, Inventory Link, the phone app and the marketing tools. Skip A Month is there for the dealer whose season follows the construction calendar, so the account rests in the frozen weeks and comes back without a new setup.

The first week looks like this. Invite your team from User Management with the roles they need, import your contacts, connect a feed or point the importer at your website, add the machines that live nowhere online by hand, and turn on the apply link so every salesperson can text it. Put the live chat widget on the website. Record the voicemail greetings in the browser. Then sell a machine the way you always have, except that the conversation, the pencil, the application and the signature are in one record you can pull up on a phone in the yard. A specialist walks through all of it on a live account when you ask through the contact page.

Frequently Asked Questions

Is LeadLocate a heavy equipment dealer management system?

No. It is the sales side: CRM, texting, calling, desking, secure credit applications and online listings. Your DMS keeps parts, service, rental, warranty, accounting and title work, and SecureWebX exports the application to your DMS or lender in the format it expects.

My machines have serial numbers, not VINs. Can I still list them?

Yes. Add the unit by hand in the Inventory Link portal with photos and a typed description, and vehicle text parsing turns that description into a clean record. Trucks and trailers that carry a VIN run through VIN decode. Either way the unit shows up in the CRM, the phone app and every text composer.

Can the desking worksheet handle a contractor buying two machines?

Yes. The EZ Desking field set is universal across auto, RV, powersports, marine, buy here pay here and fleet, and Duplicate Deal copies a finished structure so the second unit takes a minute. Goal seek bays work backward from the payment the owner said the job can carry.

Can a contractor apply for credit from the job site?

Yes. Text the branded apply link and the owner completes the five step application on their own phone, adds a co-applicant when the company signs too, uploads the documents your lender asks for, and signs there. The store sees it in the SecureWebX inbox, protected by two factor authentication and encryption at rest.

Do I need an inventory feed or DMS access to use it?

No. Connect a feed if your dealership has one. If not, Inventory Link imports the units from your own website, with twenty eight website platforms recognised, and the portal takes any machine by hand the day it arrives on the yard.

What does an equipment dealer pay to start?

CRM Only starts at $199 a month, month to month with no long term contract, and includes the CRM, EZ Desking, SecureWebX, Inventory Link, the phone app and the marketing tools. The pricing page carries the current figures for every plan.
