Commercial Truck Dealer Software

A CRM built for the buyer who earns a living with the unit: text the truck with photos, desk it as a fleet purchase, send a credit application link that reaches an owner operator in the cab, and keep the whole fleet account in one record.

LeadLocate commercial truck dealer software is the LeadLocate platform run by a truck dealership: the LeadLocate CRM for every owner operator and fleet conversation, EZ Desking with a universal field set that covers fleet units, SecureWebX for secure online credit applications, and Inventory Link for truck pages and text ready photos. A feed and DMS access are not required, and plans start month to month with CRM Only.

What is different about selling a commercial truck?

A commercial truck is bought to earn money, and that changes the buyer completely. An owner operator whose tractor is down is losing revenue every hour it sits, so they want a straight answer on the unit today, not a brochure. A fleet manager is the opposite: a long cycle, a replacement schedule, a purchasing process with more than one name on it, and a habit of buying three at a time when the numbers line up. Both buyers ask about the engine, the transmission, the axle ratio, the wheelbase and the body before they ask about the color, and both bring a trade with a lot of miles and a story about the last dealer.

The store is different too. A truck dealership is a parts and service operation with a sales desk attached, and the person selling the unit is often standing in the yard or on the service drive when the call comes in. Nobody is waiting at a monitor for a lead to arrive, so the tools that matter are the ones that live on a phone: the texting inbox, the desking worksheet, the credit application link and the calendar.

Commercial truck dealer software, the way this page uses the term, means the sales side of the business: leads, conversations, the deal, the credit application and the inventory a buyer sees online. Your dealer management system keeps parts, service, warranty, accounting and title work, and the platform sits beside it. The industries hub describes every dealer type the same way.

Which LeadLocate features carry the weight at a truck dealership?

Four features do most of the work. The Two Way Texting Inbox comes first, because drivers text from the road and fleet managers text from the shop floor. A salesperson answers from the desktop or the phone app, sees delivery status on every bubble, sends walkaround pictures as MMS, and taps the vehicle button in the composer to drop the exact unit into the thread with its photo, mileage, stock number and price. Calls are recorded and transcribed, so the spec conversation a buyer had with your salesperson on Tuesday is readable by the manager on Thursday.

The second is the Customer Profile, one shared buyer record with co-buyer support and encrypted personal data. A commercial sale usually has two names on it, the business and the person who runs it, and the profile holds both, with the trade and the unit they want in one place. The third is EZ Desking, whose field set is universal across auto, RV, powersports, marine, buy here pay here and fleet, so a tractor desks on the same screen a car store uses, with a multi pencil grid for the three ways a fleet buyer might want to structure it.

The fourth is SecureWebX, which puts a branded credit application link in every text and email so an owner operator fills it in from the cab and the store sees it in the application inbox within the minute. Around those sit the rest of the LeadLocate CRM: Follow Up Processes for the fleet that replaces units on a schedule, tracking phone numbers per lead source, In-Store Now for the units physically in the yard, and Team Chat so sales and the service counter talk in one place.

How do I desk a truck with a trade, a term and my state's taxes?

Open the lead, press Start New Deal, and the unit, the buyer and the co-buyer are already on the worksheet. Choose Cash, Finance or Lease, set the term and rate, add the trade with its payoff, and the payment recalculates as you type. The 50 state tax matrix handles where your store sits, trade credit caps and semimonthly frequency are there for the stores that need them, and deal defaults are centralized so every salesperson starts from the same fees rather than the last deal they touched. Goal seek bays let a manager work backward from the payment a fleet controller said they can carry.

When a fleet buys more than one unit, Duplicate Deal copies the structure so the second and third trucks take a minute instead of a rebuild. When the buyer wants to take it to a partner, the deal goes with them: a customer deal page, branded to your store, opens with a PIN and shows the pencil, the revisions and a place to sign, which the deal pages with e-signature page walks through. Deal Chat lets the buyer ask a question on that page and the salesperson answer it in the CRM, a PencilRecap sheet is the one page version for the office, and print packets with payment ranges cover the buyer who still wants paper.

The Deal Jacket collects the license, the insurance card, the trade title photos and anything else from a phone camera through a QR code, the driver license scanner fills the customer record from the card, and the Road to Sale checklist shows the manager what is done and what is missing on every deal in the Desking menu. The desking tool page makes the general case for desking inside the CRM.

How do I merchandise trucks online without a feed or a photographer?

Inventory Link takes your units from whatever you have. If your store runs an inventory feed, connect it through Inventory Feeds and correct any field that arrives wrong in the feed editor. If the only place your trucks exist online is your dealership website, Inventory Link imports them from that website with your permission; twenty eight website platforms are recognised, and our team puts a connection in production for your dealership on request when yours is outside that list. A feed and DMS access are not required, which matters most to the single rooftop truck store.

Every unit that carries a VIN is run through VIN decode and the automotive database, and vehicle text parsing turns a typed description into a clean record for the specialty bodies and upfits that arrive as a paragraph rather than a row. Stock number overrides let the number on the door match the number in the text message, and promo photos and stock imagery fill in for the units that arrived without pictures. From there the trucks go wherever you want them: the inventory website builder publishes a site and regenerates it as the yard changes, and the embeddable inventory widget drops live inventory into the website you already own.

The vehicle finder is where a truck buyer types what they mean, a day cab with an automatic under a certain mileage, and gets the units that match instead of five dropdowns. Brand offer pages give each make you carry a page with a lead form beside it, the dealer page pulls the whole store together, and the Schedule a Visit sheet rises from the bottom of a phone screen. Every request lands in the portal and in the CRM with the unit attached, so the first reply names the truck.

How does financing work for an owner operator or a small fleet?

SecureWebX is the secure credit application system in the platform, and it fits a truck store because the application travels by link. Every dealer gets branded apply links, each one customizable with extra sections, custom fields, document uploads and disclosures, so the application asks for what your commercial lenders ask for and the buyer attaches the documents on the spot. The salesperson sends the link from the texting inbox or the email composer. The buyer completes five steps, personal, residence, employment, income and review, adds a co-applicant when the business and the owner both sign, enters an ITIN where that is the right number, notes the down payment and the trade, and signs with consent captured against versioned terms. An abandoned application feeds back to the CRM so someone follows up on the driver who stopped at step three.

Inside the dealer console, the application inbox and pipeline show status, assignee, amount and notes. Send to Lender shares an application with any lender you choose as a code gated, expiring, revocable, watermarked link with a lender response portal, which is how a truck store works several commercial lenders without a login for each. Stipulations get uploaded to fulfill, supporting documents attach to the submission, adverse action notices generate from the application record, OFAC screening runs, and state specific disclosures are yours to add and edit. The credit pull itself runs on your own bureau account, stored in your settings.

Worksheets in SecureWebX carry the same cash, finance and lease pencils as CRM desking, and a pencil built in the CRM can be pushed straight onto the application. When your lender or DMS wants the application in a particular format, SecureWebX exports it in the format it expects, in STAR XML, CSV, JSON or fixed width, over SFTP, a REST call, PGP encrypted mail or a secure portal; the export formats page lists them. Two factor authentication, encryption at rest and a full audit log sit under all of it.

Where do commercial truck leads and marketing come from on the platform?

Start with what you already have. Lead Feeds Manager takes every source your store already pays for, the website form, the listing sites, the manufacturer's inquiries, and pushes each lead into the CRM the instant it arrives, on its own feed with its own Automated Templates. Lead Pages builds a landing page for the year end fleet program or the trade in event in an afternoon, with its own URL, and the free live chat widget on your website turns a browsing owner operator into a text thread at eleven at night. Every source carries a tracking phone number, so you see which one the calls came from.

LeadLocate's exclusive lead plans were built around car shoppers, so a truck store starts software first and runs the lead side on the campaign tooling. Leads Manager is a self service campaign builder with a zone editor, zip stats, a market scan and offers, so a dealer whose customers run a freight corridor can draw the zone that matches it. It runs two ways: a managed path, where our team launches and manages campaigns in the managed webXintel Ads Network from the selections you make in Leads Manager, and a bring your own accounts path, where you connect your own ad accounts and our team launches and manages every campaign in them from the same selections. Ask for a campaign built around your units and our team puts it in production for your dealership.

Then keep the customers you already sold, because a fleet that bought two units last year is the best lead in the building. Follow Up Processes run the replacement cycle drip, Bulk Texting reaches the whole fleet list with a live do not call lookup and the DNC Blacklist protecting every send, and the Referral Program pays real rewards to the driver who sends a friend. How consumers behave once they submit a form is covered plainly on the what to expect page, and a driver who asks about a unit above their budget is still a real buyer.

What stays in my DMS and my shop?

Say it plainly, because the wrong answer costs a store months. Your dealer management system keeps the parts counter, the repair orders, the technician time, the warranty claims, accounting, floorplan and title work. The platform is the sales layer beside it: leads, conversations, the deal, the credit application and the online inventory. Where the two meet, SecureWebX exports the application in the format your DMS or lender expects, and Inventory Link reads your feed or your website rather than replacing either. Nothing about the way your shop books a service job changes.

The platform is built so the yard keeps selling. Your tracking numbers forward to your own ring list, so your phones stay your phones. Your website keeps showing your trucks, because Inventory Link publishes to the site you already own rather than taking it over. Every spec sheet texted to an owner operator, every deal page shared with a fleet manager and every credit application delivered to the console is held safely on the record it belongs to, ready the moment a salesperson opens it again. The selling layer is built to be the steadiest part of the week, and everything that is your store's stays your store's.

What the platform replaces at a typical truck store is the separate texting app, the spreadsheet desk, the paper credit application faxed to a lender, the third party landing page tool and the habit of texting buyers a link to a listing site with three competitors beside your unit. The fleet and commercial sales page covers the department that sells to accounts rather than individuals, and much of it applies to a truck store's fleet desk.

How does a commercial truck dealer start?

Start with CRM Only, from $199 a month, month to month with no long term contract. It is the whole platform without a lead plan: the CRM, EZ Desking, SecureWebX, Inventory Link, the phone app and the marketing tools. Skip A Month is there for the store whose season runs with the harvest or the construction calendar, so the account rests in the slow weeks and comes back without a new setup.

The first week looks like this. Invite your team from User Management with the roles they need, import your contacts, connect a feed or point the importer at your website, and turn on the apply link so every salesperson can text it. Put the live chat widget on the website. Record the voicemail greetings in the browser. Then sell a truck the way you always have, except that the conversation, the pencil, the application and the signature are in one record you can pull up on a phone in the yard. A specialist walks through all of it on a live account when you ask through the contact page.

Frequently Asked Questions

Is LeadLocate a commercial truck dealer management system?

No. It is the sales side: CRM, texting, calling, desking, secure credit applications and online inventory. Your DMS keeps parts, service, repair orders, warranty, accounting and title work, and SecureWebX exports the application to your DMS or lender in the format it expects.

Can the desking worksheet handle a fleet purchase of several units?

Yes. The EZ Desking field set is universal across auto, RV, powersports, marine, buy here pay here and fleet, and Duplicate Deal copies a finished structure so the second and third units take a minute. Goal seek bays work backward from the payment the buyer said they can carry.

Can a salesperson text a driver a specific truck with photos?

Yes. The vehicle button in every text and email composer drops the unit into the message with its photo, mileage, stock number and price, sent as MMS with delivery status on the bubble. The same button is on the phone app, so it works from the yard.

Can an owner operator apply for credit from the cab?

Yes. Text the branded apply link and the buyer completes the five step application on their own phone, co-applicant included, uploads the documents your lender asks for, and signs there. The store sees it in the SecureWebX inbox, protected by two factor authentication and encryption at rest.

Do I need an inventory feed or DMS access to list my trucks?

No. Connect a feed if your store has one. If not, Inventory Link imports the units from your own dealership website, with twenty eight website platforms recognised, and you can add a unit by hand in the portal the day a trade lands, with photos and a typed description that vehicle text parsing turns into a clean record.

What does a commercial truck dealer pay to start?

CRM Only starts at $199 a month, month to month with no long term contract, and includes the CRM, EZ Desking, SecureWebX, Inventory Link, the phone app and the marketing tools. The pricing page carries the current figures for every plan.
