What are manager lead copies?
Every lead a store receives has an owner: the salesperson round robin picked, the BDC agent the feed points to, or the rep who claimed it first. Manager Lead Copies add a second pair of eyes without taking the lead away from its owner. A manager is placed on a lead feed, and from then on every lead that feed delivers also goes to that manager, by email and in the CRM, beside the salesperson who owns it. The salesperson still works the lead. The manager simply knows it exists, from the first second, without asking anybody.
That sounds small until you count the leads a sales manager never hears about. In most stores the manager learns about an internet lead when it turns into an appointment, or when it turns into a complaint. With manager copies on, the manager sees each new lead and its source as it arrives, and can look at the lead in LeadLocate CRM an hour later to see whether anyone answered. The copies are set per feed, which is the part that makes them practical. How does a sales manager use lead copies on a normal day?
Picture a Monday at a store with eight salespeople. By nine in the morning the weekend has left fourteen leads in the CRM: website forms, the store's exclusive local leads from LeadLocate, two leads from a third party provider. The sales manager has a copy of every one of them in the inbox, so the morning meeting starts with the list instead of a question. Who has the couple asking about the minivan? Has anyone called the trade-in from Saturday night? The manager already knows the answers are on the lead records and can open each one to see the texts that went out.
During the day the copies keep arriving as the leads do. When a lead lands at eleven and the assigned salesperson is at lunch, the manager sees it at eleven, not at two. Can I copy a manager on new leads from one source only?
Yes, and that is how most stores set it up. Manager copies are chosen feed by feed, so each lead source can copy a different person, several people, or nobody. The default feeds, the ones through which LeadLocate delivers a store's exclusive local leads, carry manager copies, and any lead source the store adds for itself can carry them too with one tick when the source is created.
There is also a store wide default for leads that arrive without a feed, such as a lead a salesperson adds by hand on the desktop or from the phone app. Set the default once and those leads copy the same managers. A single button puts the default recipients on every feed at once, for the store that wants the GM on everything, and any feed with its own recipients keeps them. Several managers can be listed on the same feed, separated by commas, so the sales manager and the general manager can both take copies of a new provider for its first month and then trim the list.
Where do manager copies live in the CRM?
With the lead sources. Open Account Settings under Billing and Admin and choose Lead Sources. The Default Manager Copies drawer holds the store wide recipients, with Save Default and Apply to All. The Your LeadLocate Feeds drawer lists every feed LeadLocate delivers for the account, each with a Manager Copies button that shows who is on it. Every source the store adds for itself carries a Manager copies box and its own recipient list in the same form that sets its label and assignment.
The copies themselves arrive where a manager already looks. The email copy lands in the manager's inbox, on the desk or on the phone, and the lead is in the CRM on desktop and on the LeadLocate phone app, beside the salesperson who owns it. What do manager copies replace?
The usual substitutes are a forwarding rule and a shared inbox. A store sets up a group mailbox for lead notifications, points every provider at it, and asks the managers to keep an eye on it. That works until a provider changes its address, a manager leaves and the forwarding rule goes with their mailbox, or the inbox fills with so many notifications that nobody reads it. Worse, the group inbox only knows about leads that came in by email. Leads entered by hand and many website forms never show up in it at all.
Manager copies replace all of that with a setting on the feed. The copy follows the lead, not the mailbox, so it arrives for feed leads, form leads and leads entered by hand alike. When a manager joins or leaves, the store changes the recipients on the feed and every source is up to date the same minute. There is nothing to rebuild in an email program and nothing a departing employee can take with them.
There is also the cost nobody invoices: the lead that sat unanswered because the one person who saw it was off that day. A copy to the manager is the cheapest insurance a store can buy against that, and pairing it with round robin lead assignment means the lead already has an owner when the manager sees it.
How do manager copies support compliance and accountability?
A lead that a manager has seen is a lead the store can account for. When a customer asks why they were contacted, or why nobody called back, the manager already has the lead, its source and the time it arrived, and the customer's communications timeline shows every call, text and email the salesperson sent, with who sent it and when. The store answers from the record, not from memory.
Copies change who knows about a lead, not who owns it. The assigned salesperson stays the owner, the customer hears from one person, and nobody double texts a shopper because two people thought the lead was theirs. The store's do not call blacklist applies to every lead whichever feed it came through, and user roles (User, Manager and Master Administrator) set who does what in the CRM. Every lead in your zone is delivered to you and only you, and a manager who sees each one on arrival is the first to spot a bad lead and send it to the replacement review.
How do I turn on manager copies?
Open Account Settings, choose Lead Sources, and open Default Manager Copies. Type the managers' email addresses, separated by commas, and click Save Default. Click Apply to All if the same people should be on every feed. To give one feed its own recipients, open Your LeadLocate Feeds, click Manager Copies beside the feed and save the list. For a source the store added itself, open the source, tick Manager copies, enter the recipients and save.

What should I pair manager copies with?
Manager copies tell the manager a lead arrived. Lead notifications and alerts decide how each salesperson hears about it, with notify emails and numbers and per user preferences. Call alerts and keywords do for phone calls what copies do for leads: the manager picks the words that matter, such as trade in, cancel or payment, and chooses All Calls or Alert Calls Only.
