How to Set up the Referral Program in LeadLocate

Give every salesperson a referral link, put the form on your site, and pay real rewards from the same page that records the sale.

The Referral Program in LeadLocate CRM lives on the dock at the bottom of the screen. Setting it up means opening the page, setting the reward and the payout connection in Payout Settings, copying Your Personal Referral Link and the Shared Team Referral Link into your delivery texts and signage, and turning on the Referrals tab in the website editor so the public form shows on your site.

Step by Step

  1. Open the Referral Program

    Sign in to LeadLocate CRM on the desktop and click Referral Program on the dock at the bottom of the screen. It sits next to Design Studio. The page opens with your links at the top and the payout tools below.

  2. Set the reward

    Open Payout Settings. Enter the reward amount the store pays for a referral that earns it and connect the payout method the rewards are sent through. This is a one time setup for the account, done by a manager.

  3. Copy your links

    Next to Your Personal Referral Link use Click to copy and paste the link into your delivery text template. A manager copies the Shared Team Referral Link for signage at the service counter and for posts that are not tied to one salesperson.

  4. Put the form on your site

    Open the Website Editor and turn on the Referrals tab so the referral form appears on the store website and as a pop up on the public booking page. Customers who reach the form through a personal link are attributed to that salesperson.

  5. Send a test referral

    Open your personal link in a browser, fill out the form with your own details and click Submit Referral. The referral arrives in the lead inbox sourced to you, and the Referral Program page shows it as pending against the referrer.

  6. Pay a reward when it is earned

    When a referred customer buys, open the Referral Program page, find the referral and click Send Referral Payout. The reward goes to the referrer in the amount you set and the line appears in Payout History.

Before you start

Every user in LeadLocate CRM can open the Referral Program and copy their own link. Setting the reward and connecting the payout method needs a Manager or Master Administrator role, and so does the website editor. Decide the reward amount, who is eligible and whether a reward requires a completed sale before you open Payout Settings; those rules differ by state and by what you sell, and they are decisions the dealership makes with its own counsel. The CRM records what you decide; it does not decide for you.

Have the payout method ready to connect, and decide where the links will live. The most effective spot is the delivery text, which you can put into an Automated Template so nobody has to remember to send it. What you should see

The Referral Program page shows Your Personal Referral Link for the signed in user and the Shared Team Referral Link for the store, each with a copy control. Payout Settings shows the amount you set and the connected payout method. On your website and on the public booking page, the referral form is visible and asks for the referrer's name and contact details, the full name of the person being referred, what they are looking for and an optional note.

Your test referral appears in the lead inbox as a lead with the referral as its source and the referrer's name on the record, assigned to the salesperson whose link was used. On the Referral Program page it shows as pending. After you send a test payout, Payout History lists the reward with the amount, the date and the referral it belongs to. That record is the point of the program: every reward is tied to a name, a referral and a sale.

If it did not work

The link opens a page that says the referral link was not found. The link was copied incompletely or from an account that is no longer active. Go back to the Referral Program page, use Click to copy again rather than selecting the text by hand, and paste the whole link.

The referral did not show up in the inbox. Check that the form was submitted, not just opened; the form has required fields for the referrer and the person referred and will not submit without them. Then check the lead inbox filter, since a referral lands as a lead with the referral source and may be hidden by a source filter.

The payout did not send. The payout method is not connected or the reward amount is blank in Payout Settings. A manager completes both and tries Send Referral Payout again. The form is not showing on the site because the Referrals tab in the website editor is off; turn it on and reload the page.

Print the physical piece: Design Studio on the dock builds a referral card with the link on it, the thing a salesperson hands over at delivery. Put the personal link into the delivery text on the Automated Templates page so it goes out on every sale. Tips from the floor

Ask at the happiest moment, which is delivery. The link in the delivery text does more than any sign. Pay the reward the day the deal funds, not at month end; a customer who gets a reward the same day tells someone. Keep the amount simple and the same for everyone, and put the shared team link on a card at the service counter where customers wait with time to read it. Read Payout History against the deals it produced each month so the general manager sees what the program cost and what it returned.
