How to Set up Lead Feeds in LeadLocate

Every lead source gets a feed, every feed gets an owner and a first message, and every lead lands in one inbox carrying where it came from.

You set up lead feeds in LeadLocate CRM from the Lead Feeds Manager under Billing & Admin. The default feeds are already there; you set who each one assigns to and whether it texts the rep. To add a website form or a third party provider, add your own source with a Feed Label and an assignment, then hand the source the feed's intake email, webhook or form address.

Step by Step

  1. Open the Lead Feeds Manager

    In the desktop CRM open Billing & Admin and choose Lead Feeds Manager. The Lead Feeds table lists every feed the account has, starting with the default feeds marked 🔒 Permanent, which are how LeadLocate delivers your exclusive local leads.

  2. Set assignment on each feed

    For each feed choose who receives its leads: All (Round Robin) spreads them across the floor, Single sends every lead to one user, and Unassigned (Up for Grabs) leaves them open for the first rep to claim.

  3. Set what happens on arrival

    Switch on Instant Push so each lead appears in the CRM as it arrives, SMS Notify so the assigned rep's phone buzzes, and Auto 1st Msg if the feed's first text should go out under the rep's name. Allow Manager Copies copies a manager on every lead from the feed.

  4. Add your own source

    Open Custom Source Feeds and use Add your own lead sources. Under New Lead Source type a Feed Label your team will recognize on a lead row, such as the provider's name or the website form it represents.

  5. Choose routing and status

    Set Lead Assignment to Round Robin, Single User or Unassigned (everyone can claim), and pick a Default Status for New Leads so leads from this source land in the status you want. Add Manager Email Addresses and Manager Phone Numbers under Manager Copies if a manager should see every one. Click Save Feed.

  6. Hand the source its address

    The saved feed shows its Intake Email, its Webhook URL and its lead form address. Use Copy intake email for a provider that sends lead emails, Copy URL on the webhook for a site that can post data, or link the form from your site. Whichever the source supports is the one it gets.

  7. Write the first message

    Open Automated Templates. Under Inbound Lead Automated Templates the Company Default (used to set up new feeds) set is what a new feed starts with; write the first text and email for this feed so the customer hears from a named salesperson the moment the lead lands.

Before you start

You need to be a Manager or the Master Administrator, because the Lead Feeds Manager is under Billing & Admin. Have a list of every place a lead can come from: the website forms, each third party provider, the chat widget, landing pages, any list you load by hand. Each is a feed. Decide for each one who should own its leads and whether a manager should be copied; the round robin lead assignment page explains the rotation if you have not set one before.

For a provider, find out whether it sends leads by email or can post to an address; most send email. For your own website, find out from whoever built it whether the form can email an address or post data. The Lead Feeds Manager page describes the four intake routes and what each is for.

What you should see

Every lead, from every feed, arrives as a row in the same Leads view of the LeadLocate CRM with its feed label on the row, so a rep knows what the customer asked for and where. The assigned rep gets the text if SMS Notify is on, the first message goes out if Auto 1st Msg is on, and the manager on Manager Copies sees the lead land. A custom feed keeps an Activity Log of what it received, so the first lead from a new provider is visible there within moments of the provider sending it.

A month later, the Leads view filtered by feed tells you what each source sent, which is the number you need at the provider's renewal call. The lead source attribution page covers that side.

If it did not work

The provider's leads are not arriving. Open the feed's Activity Log. Nothing there means the provider is still sending to the old mailbox; resend the intake email address and ask them to confirm it is live. An entry marked Parse failed or Intake unknown means the message arrived but did not read as a lead, usually because the provider changed its format; describe it on the contact page and our team wires the intake hook for that source.

Leads arrive with nobody on them. The feed's assignment is Unassigned, or the user it points at is no longer active. Set Round Robin or a live single user and save the feed.

The feed shows Feed inactive. The Active box on the feed was unchecked, which pauses it without losing its history. Check it again and save.

Related tasks

A feed without a first message is a lead without a first text, so write the templates for each feed in Automated Templates and let a Follow Up Process take over after that. Add users and roles first if the people you want in the rotation are not on the account yet, and set notification preferences so the assigned rep actually hears the text. Tips from the floor

Label feeds the way your reps talk, not the way the provider's invoice reads. Give every third party provider its own feed even if two of them go to the same people, because the label on the row is the only way to know which one earned its money. Turn on Allow Manager Copies for a new provider's first month and turn it off once you trust it. And when you drop a provider, uncheck Active on its feed rather than deleting it, so the history of what it sent stays for the next renewal argument.

Where is the Lead Feeds Manager?

Under Billing & Admin in the main menu of the desktop CRM, next to Automated Templates, Follow Up Processes, User Management and Account Settings. Only a Manager or the Master Administrator sees it.

What are the default feeds?

The permanent feeds through which LeadLocate delivers the exclusive local leads included in the Inbound, Marketplace Acquisitions and Buyers and Sellers Hybrid plans. Their assignment and settings are editable and they behave like any other feed in the Leads view.

How do I get a third party provider into the CRM?

Add a custom source feed with a Feed Label and an assignment, save it, and give the provider the feed's intake email address or webhook URL. Their leads then create records in the Leads view labeled with that feed.

Can different sources go to different people?

Yes. Each feed has its own assignment: round robin, a single user, or unassigned so everyone can claim. Custom source feeds add a Default Status for New Leads and manager copies per feed.
