Start by naming the actual frustration

Process problems wearing a software costume. Leads sit for hours, follow up dies after two touches, nobody works the aged pipeline. A new CRM will not fix this. It will make the problem more visible, which genuinely helps, but the repair is management attention. Stores that switch vendors to solve a discipline problem tend to switch again eighteen months later, having learned nothing and paid twice.

What Activix is publicly positioned as

What we will say is that a CRM with a long track record in a specific market usually has depth there that a newer entrant does not, and depth built around local tax treatment, local language and local dealer workflow is not something you replace casually. What switching actually costs beyond the invoice

The subscription difference is almost always the smallest number in a CRM change. The expensive parts do not appear on either quote.

  1. Data. Getting customer records, notes and communication history out in a usable format. Settle this before you give notice, not after. Ask specifically what exports, in what format, and whether message history comes with it.
  2. Overlap. Budget for paying two vendors for a few weeks. Cutting over with no overlap is the most reliable way to lose leads during a transition.
  3. Adoption. The real cost. Expect a productivity dip for two to four weeks while people rebuild habits. That is management time, not training hours.
  4. Integrations. Every third party currently posting into your CRM has to be repointed: website forms, inventory, chat, phone, third party lead providers. Build that list before you start.
  5. Reporting continuity. Your historical comparisons stay behind unless you export them. Pull the reports you will want to compare against next year while you still have access.

Pilot one store rather than betting the group

You do not have to gamble the organization to find out. The method that works is a pilot, not a replacement.

Pick one store, ideally a mid performer with a cooperative manager rather than your best or your worst. Run it fully on the new platform for three to four weeks while everything else stays where it is. Point a defined slice of lead flow at it. Then measure three things against your current system over the same window: time to first response, number of follow up touches before the trail goes cold, and appointments set. Those three tell you more than any demo agenda.

Month to month pricing exists precisely so this is possible. A vendor that requires a multi year commitment before you are allowed to evaluate is asking you to carry a risk they will not carry themselves. Questions to put to both vendors, ours included

Take these into every demo. The answers separate vendors faster than any feature grid.

What is the all in monthly cost with every module we actually need, and what is the number at renewal? What is the contract length and what is the cancellation process in writing? Exactly what can we export if we leave, in what format, and does it include communication history? Who owns the customer data? How long is implementation and what does the store have to supply? What does support look like at 6pm on a Saturday in our time zone? If leads are included, are they exclusive to our store and how is the territory drawn? What happens when a lead is bad?

No. We serve US dealerships only. If any of your rooftops are in Canada, that is a decisive reason to stay with a vendor that covers the market, and no feature comparison changes it.

Is LeadLocate a direct replacement for Activix?
