Rental Car Remarketing Software

A rental company selling its own defleeted cars has hundreds of near identical units, a value shopper who wants a clean history, and a dealer buyer list for the rest. LeadLocate is the retail and wholesale sales layer for that operation.

Rental car remarketing software from LeadLocate is the LeadLocate platform set up for a rental company or a dealer that sells defleeted rental units. Inventory Link decodes each VIN and covers the photo gap on identical units, EZ Desking pencils cash, finance and lease, SecureWebX runs the credit application and shares it with any lender, and Bulk Texting moves the wholesale share to a dealer buyer list. A feed and DMS access are not required.

What is different about remarketing rental cars?

Volume and sameness. A rental operation defleets in batches, so the lot fills with forty of the same model in three colors, each with a fleet unit number, a mileage figure that is higher than the retail buyer expects for the age, and a service record that is either the best selling point on the car or the reason the buyer walks. The units are not rare and they are not special, and the sale is won on price, transparency and how quickly the buyer can get from a phone to a signed deal.

The buyer comes in two kinds. The retail buyer is a value shopper who knows a program car is cheaper than the same car at a franchise store and wants to know why: how many drivers, what maintenance was done, whether the title is clean. They shop from a phone, they text rather than call, and they want a payment before they want a test drive. The dealer buyer takes the units the retail lot will not move, ten at a time, on a text with six photos and a number, and decides in the time it takes to read it.

Fleet management software runs the rental side of the business well and the selling side not at all, and retail CRM software assumes one car and one shopper. LeadLocate sits between them as the sales layer: the listings, the texts, the desk, the deal page, the credit application and the dealer blast. This page goes through the pieces that carry the weight, named as they appear in the software, and you can see each on the recorded demo before speaking with anyone.

Which LeadLocate features carry the weight for a remarketing operation?

Four do most of it. Inventory Link takes the defleet batch from a feed, from your own website or by hand, decodes every VIN, keeps your unit numbering through stock number overrides, fills the photo gap on identical units with stock imagery until yours are shot, and publishes the lot as an inventory website, a widget and a vehicle finder. EZ Desking inside LeadLocate CRM pencils cash, finance and lease from one screen with a multi pencil grid, a goal seek solver and a 50 state tax matrix, and the universal field set already covers fleet. SecureWebX runs the credit application from an apply link texted to the buyer and shares it securely with any lender you use. Bulk Texting with recipient lists and the vehicle button in every composer move the wholesale share to the dealer buyers.

Around those sit the tools a high volume lot leans on. Round robin assignment shares inbound leads across the sales team fairly. Automated Templates answer each feed's new leads the moment they arrive, and Follow Up Processes run multi step drips per lead type. The two way texting inbox holds every buyer's thread with delivery status on each bubble, and the same inbox runs in the LeadLocate mobile app. In Store Now marks which of the forty units is on the retail lot today rather than still in the rental fleet. Reports and the Reports dashboard on the dock show who sold what.

All of it runs on one login through the LeadLocate CRM, on the desktop and in the mobile app, so the salesperson walking the lot with a buyer sees the same unit, the same photos and the same pencil as the desk.

How do I list forty identical units without photographing every one?

Bring the batch in. If your fleet system produces an inventory feed, connect it through inventory feeds in Inventory Link, with a feed editor for mapping fields and a request change form for the day the mileage column arrives wrong. If the units already show on your own remarketing website, Inventory Link imports them from there with your permission. If they are in neither place, Add a vehicle in the portal takes them by hand. Every VIN runs through decode and an automotive database with government safety and efficiency data, so the listing shows the real trim and the figures a value shopper compares. Stock number overrides keep your fleet unit numbers so the lot attendant and the listing agree.

Photos are where a defleet batch stalls, because nobody has time to shoot forty of the same car. Stock imagery and promo photos cover every listing that arrives without pictures, so no unit is advertised as a blank box, and when your own photos of a specific car exist they lead. Edit vehicle and photos is where a listing gets its real pictures once the detail shop is done with it. Vehicle text parsing tidies a description that came in as a paragraph.

Then publish. The inventory website builder puts the whole remarketing lot on a site of its own with AI assisted copy, and regenerates when the next batch lands. The embeddable inventory widget renders the same live units inside the rental company's existing website, which is where a renter who liked the car they drove last week goes looking. The vehicle finder, called Locate, lets a shopper type what they want in plain language and finds the closest match, with the request landing in the CRM with the unit attached. The import from your website page covers the no feed path in detail.

How do I desk and close a program car with a value shopper?

The shopper wants a payment before a test drive, so give them one. Start New Deal from the lead, open EZ Desking, and lay cash, finance and lease across the multi pencil grid with centralized deal defaults behind it so every salesperson starts from the operation's fees and rates. The goal seek bays solve backward from the payment the shopper named, the 50 state tax matrix handles the buyer from across the line, and trade credit caps and the semimonthly frequency are there when needed. Trade in capture records the car they are giving up with the VIN read through a phone camera, photos, and the documents pulled in through a QR scanner.

Then share it. The customer deal page gives the buyer a private, store branded page unlocked by a one time passcode where they review the unit, the numbers and the documents, chat with the salesperson with photo drops, and sign. The digital retail controls add a build step, a document review, a deal review and a shipping quote for the buyer in another city. Print packets with payment ranges cover the buyer who wants paper, and PencilRecap produces a shareable recap for the one who needs to talk to a spouse first.

Transparency closes program cars, and the deal vehicle checks inside a SecureWebX worksheet, title, stolen, sales, auction and warranty, let the desk show the buyer a clean check before they ask. The Deal Jacket holds the service history you export from your fleet system, uploaded from a desk or read in through a phone camera by QR intake, so the answer to how it was maintained is a document rather than a promise. Deal history and verification keep the record of every step, and the identity scanner reads the driver license into the customer record in a second.

How does financing work for a rental remarketing buyer?

Through SecureWebX. Every store gets branded apply links, a salesperson texts one from the CRM, and the buyer completes the five step application on their phone, personal, residence, employment, income and review, with a co-applicant if needed, ITIN as well as SSN, a down payment and a trade section, signing the consent with versioned terms. The application lands in the SecureWebX inbox with status, assignee, amount and notes, and an abandoned application feeds back to the CRM so the shopper who stopped at step three gets a text.

A remarketing operation often works with a handful of lenders that like program cars, and Send to Lender is a code gated, expiring, revocable, watermarked share of the application to any lender of your choosing, with a response portal on the lender's side and a decision webhook back. It is a secure share rather than a lender portal integration, which is why it works with a credit union or a regional bank the same way. Stipulations with upload to fulfill, supporting documents per submission, OFAC screening and adverse action notices generated from the record complete the file. The store's own bureau account is stored for the store's own pulls; LeadLocate does not pull credit.

Worksheets attached to the application run the same cash, finance and lease math as CRM desking and print a deal recap PDF for the lender, and a pencil built in the CRM pushes into SecureWebX instead of being rekeyed. When the lender or your accounting system wants the application in its own format, the export formats cover STAR XML, fixed width, CSV and JSON over SFTP, an API, PGP encrypted email or a secure portal, set up once per destination.

Where do buyers for defleeted units come from?

Start with the renters you already have. Contact import brings the customer list in, Bulk Email with recipient management and email domain authentication send the sale announcement from your own domain, and Bulk Texting with recipient lists reaches the ones who rented last month. Lead Pages, the landing page builder, gives the sale a page of its own, the free live chat widget answers the first question on the site, and tracking phone numbers per source tell you which campaign the buyer saw. Every reply lands in the LeadLocate CRM inbox with the unit attached.

The Inbound plan adds buyer leads in your zone: a mix of VIN specific shoppers who asked about a unit on your pages and open shoppers who described what they want, every submitted lead in the zone delivered to you and only you, with the prescreening answers from capture on the record. A value shopper with a smaller budget than the unit they asked about is a real lead; nearly every buyer intends to negotiate. The used car leads page describes that shopper and the what to expect page explains how they behave once they submit. A lead your team judges bad is backed by replacement review, so it costs you nothing.

Advertising runs through Leads Manager, the campaign builder in the CRM with a zone editor, zip stats, a market scan and offers, and our team launches and manages every campaign from the selections your store makes there, in the managed webXintel Ads Network or in your own connected ad accounts. For the wholesale share, the dealer buyer list in Contacts, tagged by what each buyer takes, gets the batch as a picture message from the vehicle button in Bulk Texting, with trackable short links reporting who clicked before they replied.

What stays in my fleet system, my DMS and my title desk?

Say it plainly. Fleet utilization, the defleet decision, maintenance scheduling, damage and rental billing stay in your fleet management system. Title and registration, deal posting, floorplan and accounting stay in your dealer management system or your accounting department, and SecureWebX hands the finished application to those systems in the export format they expect rather than trying to be one. LeadLocate is the sales layer in front of them: the listings, the texts, the desk, the deal page, the credit application and the dealer blast.

That division is deliberate. An operation that keeps its fleet in a system built for fleets and its selling in a system built for selling is never hostage to one vendor for everything, and it keeps the month to month promise real. When a remarketing specific piece is missing for your operation, a service history field on the deal page for instance, it is available on request and our team puts it in production for your dealership.

Everything named on this page is part of the platform subscription, not a separate purchase, and the full list is on the all features page. User Management gives the remarketing team its own users under Manager and Master Administrator roles with a Quick Access PIN, and Team Chat with channels and file upload keeps the sales lot, the detail shop and the fleet office in one conversation.

What stays with your rental operation, and how do I start?

The platform is built so a remarketing operation keeps selling. Your units keep showing on your website, because Inventory Link reads from your feed or your site and adds to what you already publish rather than replacing it. Deal pages, apply links, photos and texts already sent are in your buyers' hands, and every lead, note, pencil and deal in the CRM is saved and stays saved for whoever works it next. Your phones stay your phones, your fleet system stays your fleet system, and your rental counter keeps renting. The sales layer sits beside the operation you already run, and the next import or regenerate simply brings in whatever changed on the yard.

Starting is month to month with no long term contract. A remarketing operation is usually software first, so it begins with CRM Only from $199 a month, which is the whole platform without a lead program: LeadLocate CRM, Inventory Link, DealTracker, SecureWebX, the mobile app and Jax, the AI assistant inside the CRM. Add the Inbound plan for buyer leads in your zone when the next batch lands. The current figures for every plan are on the pricing page. Give us your remarketing website address or a feed and we will show you your own defleeted units inside Inventory Link, on a pencil and on a deal page before you decide anything.

Frequently Asked Questions

Can I bring in a defleet batch from my fleet system?

Yes. Connect the inventory feed your fleet system produces, with a feed editor for mapping and a request change form for bad fields, or let Inventory Link import the units from your own remarketing website, or add them by hand. Stock number overrides keep your fleet unit numbers, and every VIN is decoded.

What about photos for forty identical cars?

Stock imagery and promo photos cover every listing that arrives without pictures, so no unit is advertised as a blank box. When your own photos of a specific car are taken after detailing, Edit vehicle and photos puts them first. The same photo appears in the vehicle button in every text and email composer.

Can a program car buyer see title and history checks before they ask?

A SecureWebX worksheet runs deal vehicle checks on the VIN, title, stolen, sales, auction and warranty, and the Deal Jacket holds the service history you export from your fleet system, uploaded from a desk or read in through a phone camera, so the maintenance answer is a document on the deal page rather than a promise.

How do I move the units the retail lot will not sell?

Keep a dealer buyer list in Contacts, tagged by what each buyer takes, and send the batch from Bulk Texting with the vehicle button, which attaches the photo and the details. Delivery status shows on every bubble, trackable short links report who clicked, and replies land in the two way texting inbox with the unit attached.

Do the lead plans deliver buyers for rental remarketing?

The Inbound plan delivers buyer leads in your zone, a mix of VIN specific and open shoppers, every lead delivered to you and only you, prescreened at capture and backed by a replacement review, so a bad lead costs you nothing. Most operations start on CRM Only and add the plan when a batch is ready to sell.

What does it cost to start?

CRM Only starts at $199 a month and includes the whole platform without a lead program. The Inbound plan starts at $799, Marketplace Acquisitions at $999 and the Buyers and Sellers Hybrid Plan at $1,599. Every plan is month to month with no long term contract, and the pricing page carries the current details.
