The clean split is this. Let the agency own upper funnel media, brand presence and the campaigns that require daily platform management. Let the lead and CRM platform own the moment a human raises their hand and everything after it: routing, speed of response, follow up cadence, appointments, desking and the reporting on what closed.

Where stores waste money is duplication. Paying two vendors to buy the same clicks in the same ZIP codes at the same time, or paying an agency a management fee on top of a lead program that already includes its own campaign tools. Draw the boundary explicitly and put it in writing with both vendors.

If you do run both, insist that everything lands in one CRM. An agency reporting dashboard that lives outside the system your salespeople work in will always tell a slightly different story than the floor does, and you will spend management time reconciling instead of coaching. What switching actually costs, beyond the invoice

The monthly fee difference is usually the smallest number in a vendor change. The ones that hurt are the ones nobody quotes.

  1. Account ownership. Find out whose name is on the ad accounts. If the agency owns them, your campaign history, audiences and learning may not come with you, and that is a real loss. Ask before you sign with anyone, and ask again now.
  2. Creative and assets. Photography, video, ad copy and landing pages. Establish what is yours and get copies.

What is the total monthly cost with everything I actually need, and what does it look like at renewal? What is the contract length and what is the cancellation process? Who owns the ad accounts, the creative and the data? What exactly can I export if I leave, in what format, and does it include communication history? How is a lead defined, and if leads are included, are they exclusive to my store and how is my territory drawn? What happens when a lead is bad? What does support look like at 6pm on a Saturday? And the one most people forget: what will you show me in ninety days that proves this worked, and did we agree on that measure up front?
