ProMax CRM Alternative for Car Dealerships
An honest comparison for independent stores, including the reasons to stay exactly where you are.
Name the actual problem before you shop anything
Every CRM search starts with a specific irritation, and the irritation is worth writing on a piece of paper before you take a demo. In our experience they sort into four groups, and only three of them get solved by changing vendors.
You are buying leads and software separately. One invoice for a lead provider, another for the CRM, and your own people gluing them together. Consolidating is a genuine reason to look.
The communication tools are behind where your customers are. Your shoppers text. If texting, calling and email are not first class inside the system, salespeople drift to personal phones, and once that happens your reporting stops describing reality.
Cost and terms. The bill grew at renewal, or you are paying for modules the store does not open, or the contract length is longer than your confidence in the vendor.
Process problems wearing a software costume. Leads sit for hours. Follow up dies after two touches. Nobody logs anything. A new CRM makes this more visible, which helps, but the fix is management. Switching to solve a discipline problem is how a store ends up switching again in eighteen months and blaming the second vendor too.
What ProMax is known for
ProMax is a long established automotive platform aimed largely at independent and franchise dealers who want CRM, desking, inventory and credit related tooling from a single vendor. Its public reputation is built on the desking and credit side rather than on marketing: pulling everything a store needs to structure a deal and work a credit challenged customer into one place, with compliance functions attached.
For a store whose entire business model is built around subprime and buy here pay here, that combination is meaningful. When the same vendor supplies the desk, the credit workflow and the compliance record, there are fewer seams for something to fall through, and fewer conversations that start with two systems disagreeing.
We are deliberately not going to characterize their current feature list, pricing or contract terms in detail. Products change, packaging changes, and a comparison page written by a competitor is the worst possible source for that. Verify anything that will drive your decision directly with the vendor. We hold ourselves to the same standard and expect you to check our claims too.
What LeadLocate is built around
LeadLocate came at the problem from the lead side. It is a lead generation platform with a full CRM built around it, sold to dealerships and to individual salespeople month to month.
On the lead side you choose a territory around your store, and every submitted lead inside that zone is delivered to you exclusively rather than resold to three other dealerships. There are two families. Inbound buyer leads from in market shoppers, and opt in seller leads from local owners who filled out a vehicle offer request and asked to be contacted about selling their car. Nothing is filtered or scored on the way through. Pre screening questions are asked at capture, everything in the zone is delivered, and lead problems are handled by post delivery replacement review rather than by a promise made up front.
On the software side: lead management with distribution rules, SMS and MMS, RCS with automatic SMS fallback, a click to call dialer with a VoIP softphone, call recording with transcription, voicemail drop, email with a real inbox and composer, bulk email, automations and follow up processes, drip campaigns with a drip editor, appointments and reminders, desking covering loan and lease with a fifty state tax matrix, lead pages, personal salesperson websites, a free live chat widget, document AI for VIN scanning and document reading, and three layers of reporting.
There are also two tools most dealers do not expect a CRM to include at all: an email validator and a phone validator, built in house, so a campaign is checked before it goes out rather than repaired afterward.

Choose ProMax if
We would rather say this now than have you switch and switch back in a quarter.
- Credit and compliance tooling is the center of your business, not an accessory to it, and your desk depends on it daily.
- Your staff has years of muscle memory in the system and your process is genuinely working. Changing a working process is a cost with no offsetting benefit.
- You already have lead sources you are satisfied with and do not want a vendor to supply leads.
- You have integrations wired into it that would be expensive to rebuild, and rebuilding them buys you nothing.
- Your complaint is really about follow up discipline, in which case a new login will not fix it and you will have spent a month finding that out.
Choose LeadLocate if
The case for moving is strongest when several of these are true at the same time.
- You want leads and CRM on one bill from one vendor, instead of paying two and stitching them together yourself.
- You want exclusive local leads in a territory you define, rather than shared internet leads that three stores are calling within the same minute.
- Your team lives on text and you want SMS, MMS, RCS, a real dialer, call transcription and voicemail drop inside the same record as everything else.
- Contract length is a sticking point and you want the ability to leave if we stop earning it.
- You want individual salespeople able to run on the platform, with their own site and their own mobile workspace, not just the store.
- You do not have, or do not want to depend on, a DMS connection or an inventory feed. Neither is required to operate.
- You are also trying to buy cars from the public, in which case the seller leads side is worth looking at on its own merits.
The credit challenged customer, handled honestly
This deserves its own section, because it is the most common reason a store shopping ProMax hesitates about us, and because vendors in this category overclaim constantly.
Here is exactly what we do. SecureWebX provides secure online credit applications, apply links you can text to a customer so they complete the application on their own phone rather than at your desk, an application inbox, document collection, identity verification at intake, worksheets that run the same desking engine as the CRM, a compliance module with versioned consent, and eFax. Applications feed straight into the customer record, so the salesperson and the desk are looking at the same thing.
Here is exactly what we do not do, and it matters. No eContracting. No direct lender portal integration or submission. No automated decisioning. No menu selling with product rating. If your workflow depends on any of those, keep the system that provides them, because we would be a step backward and no amount of enthusiasm on a demo changes that.
On the lead side, the honest position is the same. We can send campaigns to credit challenged shoppers and there are subprime auto leads available as a program, but financing campaigns run under fair lending rules that forbid narrowing an audience by age, gender, income, marital status, household size, education, language or ZIP. Any vendor promising you a targeted credit tier is describing something they should not be doing.
What a switch really costs, beyond the subscription
The monthly difference is usually the smallest number involved. The costs that hurt are the ones nobody quotes.
- Data. Establish what you can export, in what format, and whether communication history comes with it. Do this before you give notice. After notice, your leverage is gone.
- Overlap. Budget for paying two vendors for a few weeks. Cutting over cold is the most reliable way to lose leads during a change.
- Adoption. The real cost. Expect a productivity dip of two to four weeks while people rebuild habits, and budget management attention rather than only training hours.
- Integrations. Everything that currently posts into your CRM has to be repointed: website forms, third party lead providers, chat, phone, inventory. Make that list before you start.
- Reporting continuity. Pull the historical reports you will want to compare against next year while you still have access to them.
The CRM migration checklist puts this in order and is written to be used with any vendor.
Run a trial instead of a rip and replace
You do not have to bet the store to find out. Put one team, or one store if you run several, on the new platform for three to four weeks while everything else stays exactly where it is. Point a defined slice of lead flow at it. Then measure three things against the same period on your current system: time to first response, how many follow up touches a lead gets before the trail goes cold, and appointments set. Those three tell you more than any demo ever will.
Month to month pricing exists so this is possible. A vendor that requires a multi year commitment before you can evaluate is asking you to carry a risk they will not carry themselves.
Take the same questions into every demo, ours included. What is the total monthly cost with every module I actually need, and what is it at renewal? What is the term and how do I cancel? What can I export if I leave, in what format, and does it include communication history? Who owns the customer data? What does support look like at 6pm on a Saturday? If leads are included, are they exclusive, how is my territory defined, and what happens when a lead is bad? Write the answers down. Vendors comfortable being pinned down in writing tend to be the ones still worth having in year three. If you want ours answered live, start with the demo. We cannot guarantee results, and neither can anyone else in this category.
Frequently Asked Questions
Is LeadLocate a direct replacement for ProMax?
For lead management, communication, follow up and desking it covers the same ground, and it adds lead generation. It is not a replacement if your workflow depends on eContracting, lender portal submission or automated decisioning, none of which we build.
Does LeadLocate include leads or just software?
Both are available. CRM Only starts at $199 per month if you already have lead sources. Plans that include exclusive local leads start at $799 for inbound buyer leads, $999 for Marketplace Acquisitions and $1,599 for the Buyers and Sellers Hybrid Plan.
Can we work credit challenged customers on it?
Yes, through SecureWebX: secure online credit applications, apply links you can text, document collection, identity verification at intake, worksheets and a compliance module with versioned consent. There is no lender portal submission or automated decisioning.
Do we need a DMS connection or an inventory feed?
No. Neither is required to operate, which is why brokers and individual salespeople can run on the platform. If you do have an inventory feed, My Inventory Link can ingest it and advertise your actual vehicles.
How does the desking compare?
The engine covers loan and lease with a fifty state tax matrix, semimonthly payment frequency, trade credit caps and three lease tax methods, and the customer facing deal page shows the shopper the same numbers with e-signature on the page.
How long does a switch take?
Less than an enterprise implementation because there is less to configure, but plan for a few weeks of overlap and a short adoption dip. Trial one team first rather than moving the whole store on a single Monday.
Trial one team before you move the whole store
We will map a territory around your store, run the CRM on live lead flow for a few weeks, and give you a straight number. Month to month, so staying is your decision every month.
