How to View a Receipt in My LeadLocate
Your controller wants proof of what was paid, when, and on which card. Every cleared payment on your account has a receipt behind it, and it takes three clicks to put your hands on.
Step by Step
Sign in with a billing login
Receipts live on the account portal rather than in the CRM, so use the account admin or billing contact email your store named at signup. Sign in with the password, the sign in link sent to your email or the code sent to your mobile. A product user login opens the applications your store uses but not the money.
Open the billing page
From the account menu, open Billing. Everything about what your store has been charged and what it has paid sits on this one page: the balance, the invoice list and the payment history. If your group holds more than one account on the same login, read the store name at the top before you go hunting.
Choose Transactions for payments, Invoices for bills
Click Transactions to see what your store has actually paid, in date order, each row with its amount. Click Invoices instead if what you want is the bill rather than the proof of payment. Controllers usually want both: the invoice for the expense and the receipt for the reconciliation.
Open the payment you want
Click the row. The PAYMENT RECEIPT opens as a clean, printable document with your store's name, the billing contact and the amount at the top. If two payments in a month look alike, match them on the amount and the Receipt Date: rather than guessing from position in the list.
Read the four fields that matter
Receipt Date: is the day the payment cleared. Invoice: names the bill it paid. Payment Method and Card Last 4 say which card was charged. Reference: is the number to quote if anyone ever needs to ask about this exact payment, and Account #: identifies your store.
Print it or save it
Use your browser's print command to send the receipt to the printer or save it as a PDF for the accounting folder. The layout is built for paper, so it prints on one page with the borders and the shading intact. Email that file to whoever asked and you are finished.
Before you start
You need a login with billing rights on My LeadLocate. The account admin and the billing contact your store named at signup both have it; a salesperson's CRM login does not, which is by design, because the person selling cars has no reason to be reading the store's payment history.
It also helps to know what you are actually being asked for. A receipt proves a payment cleared. An invoice states what was owed. A bookkeeper closing a month usually wants the receipt, a GM approving a spend usually wants the invoice, and a lender or a CPA asking about a line on the P and L wants both. The billing page carries all of it, so you can answer any of those three in the same visit.
What you should see
A printable document, not a screenshot of a table. The PAYMENT RECEIPT opens with your store's name, the billing contact and the service address at the top, the amount paid in large type, and the detail underneath: Receipt Date:, Invoice:, Reference:, Account #:, and the Payment Method with the Card Last 4 of the card that was charged.
Nothing sensitive is on it. The card is identified by its type and its last four digits, which is exactly what a bookkeeper needs to match a line on a bank statement and nothing more. If your store paid part of a balance with account credits, the receipt shows what was actually charged, so it always reconciles against the bank rather than against the sticker price of the plan.

Receipt, invoice, or both?
Use the invoice when someone is asking what the store is paying for. It lists the subscription, the add ons and the term, and it is the document a dealer principal reads before approving a renewal. Use the receipt when someone is asking whether it was paid. It carries the date, the amount, the reference and the card, and it is the document that closes a line in the books.
Both live on the same billing page, and both are permanent. Invoices keeps every bill your store has ever been issued and Transactions keeps every payment your store has ever made, so an audit two years from now is a matter of scrolling rather than emailing your rep. Pull them yourself at eleven at night if that is when the month closes; nobody has to be awake to send them to you.
If it did not work
The payment is not in the list. It may have cleared after you loaded the page. Refresh, then check the date range you are looking at, and confirm you are on the right store if your group holds several accounts.
You see invoices but no payments. You are on Invoices rather than Transactions. The two lists answer different questions and sit next to each other on the same page.
There is no billing section on your screen. The login is a product user rather than a billing login. Sign in with the email that owns the subscription, or ask your account admin to pull the receipt and send it over.
The receipt prints across two pages. Set the browser print scale to fit the page and turn headers and footers off. Saving it as a PDF first and printing the PDF also solves it.
Your accountant wants a format the page does not produce. Ask on a support request and say what the format needs to contain. Anything your store needs that is not on the page today is available on request, and our team puts it in production for your dealership.
Related tasks
The My LeadLocate page covers the rest of the portal: invoices, the payment method on the account, service credits, add ons, the file library, support tickets and which users can launch which products. The LeadLocate Help Center has the short guides for updating the payment method, using referral credits and skipping a month.
If a receipt has you asking what the store is getting for the amount on it, read the platform page next to your products list. The CRM, the texting and calling, the calendar, the credit application intake, the website tools and the desking worksheets are all inside the plan on that invoice, and the pricing page shows where each plan sits.
Tips from the floor
Save the receipt as a PDF named with the month and the amount the moment you open it, and the next request takes ten seconds instead of three clicks. Give your controller a billing login of their own rather than forwarding receipts one at a time. Reconcile against the Card Last 4 on the receipt rather than the plan name, because that is the field that matches the bank statement. And keep the Reference: number in any email you send about a payment; it identifies that one transaction and saves an entire round of back and forth.
Frequently Asked Questions
Where are my receipts in My LeadLocate?
On the billing page, under Transactions. Every cleared payment is a row there, and clicking a row opens the printable payment receipt for it.
What is the difference between an invoice and a receipt?
An invoice states what your store owes. A receipt proves a payment cleared, with the date, the amount, the reference and the last four digits of the card. Both are kept permanently on the account.
Can I print or email a receipt?
Yes. The receipt is a printable document, so use your browser to print it or save it as a PDF, then send that file to your controller or your accountant.
Can my bookkeeper pull receipts without asking me?
Yes, if you give them a login with billing rights on the account. Your account admin adds them on the user access page, and they can then read invoices and receipts themselves.
Every payment, every receipt, on your account
Invoices, receipts and the payment history stay on My LeadLocate for as long as your store is with us. See how the rest of the platform works in the pre-recorded demo.
