How to Use the AI Writing Assistant in LeadLocate

The assistant writes the first draft of a text or an email from one line about what you want to say. You keep the part that sounds like you, and the message goes out from the store's number.

The AI Writing Assistant sits in the text and email composers inside LeadLocate CRM. Open a lead, start a message, click the assistant, and tell it what the message should do in one line. It writes a draft with the customer and the vehicle already in it. Edit the draft so it sounds like you, then send it.

Step by Step

  1. Start the message you are about to write

    From an open lead, start a text or an email. The composer opens with the customer already attached, and that context is what lets the assistant write about this buyer and this vehicle instead of writing a generic paragraph. Writing from the lead also keeps the finished message on the customer's record with the rest of the conversation.

  2. Open the assistant

    Click AI Writing Assistant in the composer. A small panel opens over the message box with a place to describe the message you want. Nothing is sent while the panel is open, so you can try three versions before anything leaves the building.

  3. Say what the message should do

    Write the job, not the sentence. Good prompts sound like a manager talking to a green pea: follow up on the used truck he looked at Saturday, answer a payment question without quoting a number, confirm the Thursday ten o'clock appointment and ask him to bring the title. One line is plenty. Add the tone if you care about it, short and friendly or straight to the point.

  4. Read the draft and make it yours

    The draft lands in the message box, where you can change every word of it. Cut anything that reads like a brochure, put your first name at the end, and keep it to the length a person would actually type on a phone. The assistant gives you a first draft in seconds; you are still the one talking to the customer, and the customer can tell the difference.

  5. Fix a message you already wrote

    When you typed the message yourself and only want the spelling and grammar corrected, use the cleanup action beside the assistant instead of asking for a new draft. It tidies what is already in the box and leaves your wording alone, which is the right tool for a note you are happy with but would rather not send with a typo in it.

  6. Drop in the vehicle and the merge fields

    Merge fields fill the customer's first name, the store name and the vehicle for you, so one saved message works for every buyer. The vehicle button in the composer attaches a unit from your inventory with its photo and price. A follow up with the actual car in it gets answered more often than a follow up that describes the car.

  7. Send it, then save the ones that work

    Send the message from the composer and watch the delivery status on the bubble. When a draft works twice, save it as a template so the rest of the floor sends the same thing without rewriting it, and so your automated follow ups use wording you already trust.

Before you start

You need a LeadLocate CRM login and a lead you are about to message. The assistant is part of the text composer and the email composer for every user on every plan, so there is nothing to switch on, nothing to buy and no key to paste anywhere. If you can send a text from the CRM, you can open the assistant.

Two things make the drafts better before you ever type a prompt. First, work from the lead record rather than a blank message, because the customer's name, the vehicle they asked about and the source of the lead are all sitting there. Second, know what you want the message to accomplish. A prompt that says write something nice gets a paragraph nobody answers. A prompt that says ask if he still wants to see the gray crossover this week gets a message you can send.

What you should see

A draft in the message box within a couple of seconds, written in plain sentences, addressed to the customer by first name, and short enough to read on a phone. If you asked for an email, the draft carries a subject line and a body with paragraph breaks. Everything is editable. Nothing sends until you press send, and nothing is saved to the lead until the message actually goes out.

Ask twice and you get two different drafts, which is the fastest way to find the one you want. Most reps settle into a rhythm of asking once, cutting the first sentence, adding their name and sending. From there the message behaves like any other message in the CRM: it leaves from the store's tracking number or the store's email domain, it lands in the conversation thread, and the reply comes back to the same place.

What should I ask the assistant for?

The prompts that earn their keep are the ones you write a dozen times a day. A first response to a fresh internet lead that answers the question they asked and offers two appointment times. A follow up on a unit that just took a price cut. A note to a customer who has gone quiet for a week, without the word touching base in it. A thank you after a test drive that asks for the appointment rather than hoping for one. An apology for a missed call that gets straight to rescheduling.

Ask for the thing you actually want to happen. Say who the customer is, what they looked at, what changed, and what you want them to do next. Say how long it should be. If the store has a house rule about not quoting payments by text, say that in the prompt and the draft respects it.

The assistant also writes the long form you avoid writing: the trade appraisal recap, the walkthrough of what to bring to a delivery, the Spanish version of a message you already sent in English. Those are the ones that used to sit in your drafts folder until the customer bought somewhere else.

If it did not work

The draft is generic. The prompt was generic. Put the vehicle, the timing and the ask in it. Follow up produces a follow up about nothing; ask if the gray crossover is still the one he wants and offer Thursday or Saturday produces a message worth sending.

It sounds like a brochure. Tell it to be shorter and to drop the adjectives, then cut the opening line yourself. The best texts start with the customer's question, not with your name and title.

You wanted a spell check, not a rewrite. Use the cleanup action next to the assistant. It corrects spelling and grammar in the message you already wrote and leaves the rest of your wording where you put it.

The message will not send after you edit it. That is the number, not the draft. Check the validity dot on the lead, and send to a mobile number the customer gave you.

Does the assistant send the message by itself?

No. It writes a draft into the composer and stops there. You edit it and press send, so nothing reaches a customer that you did not read first.

Can I use it for emails as well as texts?

Will the customer know a draft started with the assistant?
