How to Tag a Lead in LeadLocate

A tag is the name label on a customer's number or email. Set it once from the conversation and every inbox in the store shows it.

In LeadLocate CRM a tag is the name label attached to a customer's phone number or email address, and it is what the texting and email inboxes show for that conversation. To tag a lead, open the customer's thread from Messaging, click Edit name beside the name, type the tag and click Save. The label follows the number everywhere.

Step by Step

  1. Open the conversation

    Go to Messaging on the desktop CRM and open the customer's text thread, or open the email thread from the email inbox. The customer's current name sits at the top of the thread next to the number or address.

  2. Click Edit name

    Click the pencil labeled Edit name beside the name. The name turns into a text field with the current label already in it and the cursor selected, so you can type over it.

  3. Type the tag

    Type the label you want the store to see. Use the customer's real name if the caller ID name is wrong or missing, and add the one thing the floor needs after it if it helps, such as the vehicle or the word trade. Keep it short; it has to fit an inbox row.

  4. Save it

    Click Save or press Enter. Press Escape or click Cancel to back out without changing anything. A blank name is refused, so the field always carries something.

  5. Check the inbox

    Click Go Back to Inbox. The thread now shows the tag you typed, and so does the same conversation in the LeadLocate mobile app.

Before you start

Tagging happens in the conversation, not on the lead form, because the tag belongs to the number or email address the customer wrote from. Any user who can open the thread can set it, and there is nothing to turn on. You need the customer's thread to exist, which means at least one text or email in either direction. A brand new lead that has never messaged does not have a thread yet; send the first text from the lead with Send a Text and the thread is there.

Understand what the tag replaces. When a number texts the store for the first time, the inbox shows the caller ID name if the lookup found one, or the bare number if it did not. The tag overrides that. It is stored against the number or address for the whole account, so a customer who texts three different reps shows the same label in all three inboxes. What you should see

After you click Save, the field returns to a plain name showing what you typed, and a short confirmation appears. Back in the inbox list, the conversation row shows the tag instead of the caller ID name or the raw number, and the lead's name in Leads updates to match, because the two are kept in step. On the phone, the texting inbox in the LeadLocate mobile app shows the same label the next time it refreshes.

The tag does not change the number or the address, and it does not touch the messages. Every text, picture and delivery status on the thread stays exactly where it was. The two way texting inbox page covers what else the thread carries.

If it did not work

You do not see the pencil. The Edit name control shows only on a thread that is attached to a lead. If the conversation came in from a number the CRM has no lead for, click Add to Contacts first so there is a record to name, then reopen the thread.

The old caller ID name came back. Save was not completed, usually because the field was left empty or the page was closed before the click. Open the thread again, click Edit name, type the tag and press Enter, then wait for the confirmation before you leave.

The tag shows on text but not on email. Text and email conversations are keyed separately, one by phone number and one by email address. Set the tag on the email thread as well, from the same pencil, and both inboxes agree.

You want to label the lead, not the person. If what you need is a marker such as has a trade or wants a lease, use the row color on the lead and Filter by Color in the inbox, or add a custom status. Those are covered in the statuses and tags guide above.

Related tasks

A tag fixes the name; the rest of the record is fixed on the lead. The caller ID and contact validation tools show where the original name came from and whether the number is live. Tips from the floor

Tag the thread the moment you learn the customer's real name, because the caller ID name is often a spouse, a business or nothing at all, and a BDC agent picking up the thread on your day off should not have to guess. Keep the label to a name and one word; the inbox row is narrow on the phone. And if the store has a naming habit, such as putting the vehicle after the name, make it the same habit for everyone so the inbox reads the same way for every user.

Frequently Asked Questions

Where does the tag show up?

On the conversation in the texting inbox and the email inbox, on the desktop CRM and in the mobile app, and on the lead's name, because the two are kept in step when you save.

Is a tag the same as a status?

No. A status is where the lead is in the process and is set from the status dropdown on the lead. A tag is the name label on the customer's number or email and is set from the conversation.

Does tagging change the phone number or the messages?

No. Only the displayed name changes. The number, the address and every message on the thread stay exactly as they were.

Can I tag a customer from the mobile app?

The desktop thread carries the Edit name control. A tag set there shows in the mobile app's texting inbox as soon as it refreshes.
