How to Use Referral Credits in My LeadLocate
Send another dealer our way and the credit lands on your account. Here is where to find it, how to read it and what it does to the next invoice.
Step by Step
Sign in with a login that sees billing
Credits live on the account portal rather than in the CRM, so you need the account admin or billing contact login your store named at signup. Sign in with the email and password, use the sign in link sent to your email or the code sent to your mobile, or press Use a passkey if your store set one up on that login.
Open the billing page
From the account menu, open Billing. This is the one page that carries invoices, payments and balances for the whole account, so everything in this guide happens here. If your group runs more than one subscription on the same login, read the store name at the top before you go further.
Find the Service Credits balance
Look for Service Credits. The number there is what your store currently holds, referral credits and any other account credits together, in one figure. A store that has referred two dealers and been credited for both sees the total, not two separate pots to manage.
Read where the credits came from
Open the credit lines under the balance. Each one names what put it there and when, so a referral credit reads as a referral credit and is easy to match against the dealer you sent us. Print or screenshot that view if your controller wants the trail in the accounting folder.
Let the credit come off the next invoice
You do not redeem anything. When the next invoice is raised, the credit is applied against what your store owes, and the invoice shows the smaller amount. If the credit covers the whole invoice, the balance owed is zero and there is nothing to pay that cycle.
Pay whatever is left
If a balance remains after the credit, pay it from the same page. The portal asks for the Last 4 Digits of Credit Card to confirm the payment method before it goes through, which is the check that stops a wrong click from charging the store. The receipt appears on the account as soon as the payment clears.
Before you start
You need a My LeadLocate login with billing rights. A CRM user login opens the products your store uses; the billing page, the invoices and the credit balance answer to the account admin and the billing contact your store named at signup. If the balance is not on your screen, the fix is almost always which login you used.
It also helps to know how the credit got there. A referral credit is raised when a dealership you sent us becomes a customer, and your rep records it against your account. You do not have to claim it, chase it or quote a code at checkout; the credit is placed on the account and the billing page carries it from that moment. If you have referred a store and want to be sure it is attached to your account, tell your rep the store name and the rooftop city, or use contact us and say who you sent.
What you should see
A single Service Credits figure on the billing page, with the credit lines behind it naming what each one is for. Under it, the invoice history and the payment history for the account, so you can follow a credit from the day it was raised to the invoice it came off.
On the next invoice, the credit is applied against the amount owed and the invoice shows the result. If the credit is larger than the invoice, the leftover stays on the account and reduces the one after it. Nothing sits in a separate wallet that somebody has to remember to spend, and nothing quietly disappears at the end of a term. The figure on the billing page is the whole truth about what your store holds.

How the credit affects what you pay
It comes straight off the invoice, in dollars, on the account it was raised against. That means the store sees the benefit as a smaller bill rather than as points, a discount code or a coupon that only applies to certain plans. A store on the CRM Only plan and a group on the hybrid plan use the same credit the same way, and moving between plans does not strand it. The pricing page shows what each plan costs before credits so you can work out the net for a cycle in your head.
Credits also stack with whatever else your store is doing on the account. Add ons, extra zones and extra seats all bill on the same invoice, so the credit lands against the total rather than against one line of it. If you want a credit held for a particular upcoming cycle instead of the next one, say so on a support request and your rep will note it on the account.
If it did not work
You do not see a credits figure. The login you used is a product user rather than a billing login. Sign in with the account admin email, or ask that person to open the page and send you a screenshot.
The credit you expected is not there. The dealership you referred may not have started yet, or the referral may be recorded against a different account your group owns. Tell your rep the store name and the city and it will be matched and credited.
The invoice arrived at the full amount. The credit was raised after the invoice was issued, so it applies to the next one instead. The balance on the billing page still shows it, and it comes off the following cycle.
The payment will not confirm. The Last 4 Digits of Credit Card you typed do not match the payment method on the account, usually because the store replaced the card and the old digits are in muscle memory. Check the number on the payment method, or update the payment method first and pay after.

Referring dealers is a different thing from the referral tools inside LeadLocate CRM, which your salespeople use to collect referrals from their own customers and pay them out. Both exist, and a store can run both at once: one credits the store's subscription, the other rewards the customer who sent a friend to your showroom.
Tips from the floor
Tell your rep the moment you send someone, not after they sign. A name and a city on a ticket takes ten seconds and removes any question about who referred whom. Check the credits figure the week before your renewal date so the controller is not surprised in either direction. And refer the store you would actually call for a trade: the dealers who get the most out of the platform are the ones who came in from somebody they trust.

Do I have to redeem a referral credit?
No. The credit is applied against the next invoice automatically, and whatever is left over carries to the invoice after that. There is no code to enter and nothing to activate.
What if the credit is bigger than my invoice?
The invoice goes to zero for that cycle and the remaining credit stays on the account for the next one. It follows your store even if you change plans.
How do I make sure a dealer I referred is credited to us?
Send your rep the store name and the city, or use the contact page and say who you sent. Your rep records the referral against your account and the credit appears on the billing page.
