How to Make a Call from the CRM in LeadLocate
A call placed from the lead record is dialed from the store's number, recorded, transcribed and logged on the lead. This guide covers placing it from the browser, from your own phone and from the app.
Step by Step
Open the lead and click the number
Open the customer's record and click the phone number. The softphone opens with the number loaded and dials. For a number that is not on a record, click Make a Call in the top bar, type it under Phone Number on the keypad, and press Call. Use Delete digit to fix a typo.
Allow the microphone the first time
The browser asks once for microphone permission when the VoIP Phone first opens. Allow it, and the headset or the computer's microphone becomes the phone. That single click is the whole setup for a headset user.
Or use your own phone as the handset
If you would rather talk on your desk phone or cell, pick that phone as the source the first time you trigger a call. The CRM rings your phone first, then connects the customer, and the call still leaves from the store's number and is still recorded and logged.
Turn recording on
Check Record this call on the softphone before or during the call. Tell the customer the call is recorded where your state requires it. The recording, and a transcript, attach to the lead when the call ends.
Leave a voicemail if nobody answers
When the call goes to voicemail, click Drop Voicemail and pick a recording under Select Voicemail Recording. The pre recorded message plays into their voicemail and you move to the next call.
Write the note and set the next step
Back on the lead, type what was said; the record autosaves. Set the status and schedule the follow up. The call itself is already in the communications log with its length, recording and transcript.
Find it later in Call Logs
Open Call Logs from the main menu to see every call the store made and received, with playback. In the mobile app, Call Log lists your calls and Search calls... finds one by name or number.
Before you start
You need a LeadLocate CRM login, a headset or a phone to talk on, and a customer with a number on the lead. A tracking number is provisioned for the store when the account is created and the softphone is enabled for every user; there is nothing to install. The number the customer sees on the call is that tracking number, so when they call back it rings the store's line and is logged on their lead. A rep who wants their own office number to show instead runs the caller ID verification once, covered on the caller ID and contact validation page.
Check the validity dot on the number before you dial; the Phone Validator marks dead numbers so you do not spend the morning on them. Numbers on the store's DNC Blacklist are refused. If you make calls from your desk and from the lot, the LeadLocate mobile app has the same dialer on its bottom dock, dialing from the same store number.
What you should see
The VoIP Phone is a small panel with a keypad, the Phone Number field, a Leads tab that lists your leads so you can dial one without typing, and a Calls tab with your recent calls. When the call connects, the timer runs and Record this call shows whether recording is on. When you hang up, the call appears in the lead's communications log within a few seconds with its length, and the recording and transcript follow once they are processed.
A customer who calls the store back rings the ring list a manager built under call forwarding, and the inbound call shows the caller's name from the caller ID lookup and the lead it matches, so you answer knowing who it is. Missed calls show in Call Logs with the number to return.

If it did not work
The browser will not dial, or you hear nothing. Microphone permission was denied. Click the lock or site icon in the browser's address bar, allow the microphone for the CRM, and reload. A headset plugged in after the page loaded also needs a reload to be picked up.
Your own phone never rang. The phone chosen as the source is wrong or the number on your profile has a typo. Open your profile, check the number, and trigger the call again. A phone set to reject unknown callers may block the connecting call; allow the store's number.
The call connected but there is no recording. Record this call was off, or the call was too short to keep. Turn it on before dialing; a manager can set recording to default on for the store. The call recording and transcription page covers playback and the transcript view.
The customer sees a number they do not recognize. That is the store's tracking number, by design. If your store wants its main line as the caller ID on outbound calls, run the caller ID verification for that number.

Tips from the floor
Text first, then call the ones who replied; a call that follows a text gets answered. Dial from the Leads tab on the softphone when you are working a list, so every call is logged on the right record without typing a number. Use the voicemail drop on the third unanswered call, not the first. And listen to one of your own recordings a week; it is the cheapest coaching a salesperson ever gets.
Frequently Asked Questions
Do I need a desk phone to call from LeadLocate?
No. The VoIP Phone runs in the browser with a headset or the computer's microphone. If you prefer your desk phone or cell, the CRM can ring it first and then connect the customer.
What number shows when I call a customer from the CRM?
The store's tracking number, so call backs ring the store and land on the lead. A rep can verify their own number to show it as the caller ID instead.
Are calls from the CRM recorded?
Yes, when Record this call is on. The recording and a transcript attach to the lead, and a manager can set recording to default on for the store.
Can I make calls from the mobile app?
