How to Blacklist a Number in LeadLocate

When a customer says stop, one click hides them from every list, every inbox and every campaign in the store. Here is where the click is.

To blacklist a number in LeadLocate CRM, open the lead and click Blacklist in its button row, then confirm. To add a number that has no lead, open Billing & Admin, then DNC Blacklist, click Add to Blacklist and enter the name, phone and email. Blocked contacts disappear from Leads, Contacts and the inbox.

Step by Step

  1. Blacklist from the lead

    Open the lead in Leads or open the customer's text thread. In the button row, next to In Store Now, Print and Delete, click Blacklist. The CRM warns that the contact will be hidden from all CRM views; confirm, and the customer is gone from every screen.

  2. Or open the DNC Blacklist page

    For a number that is not on a lead, open Billing & Admin in the main menu and choose DNC Blacklist. The page is titled Do Not Call Blacklist and lists every blocked contact with who added it, its activity and when it was blocked.

  3. Add the contact

    Click Add to Blacklist. Fill in Contact Name, Contact Phone and Contact Email; any one of the three is enough, but the more you enter, the more the block catches. Under the phone field the live do not call lookup reports the line type and whether the number is on the national registry.

  4. Save and check the row

    Save the form. The contact appears in the list with your name under Added By, and the Activity column carries a small counter whose label reads Leads in the CRM matching this contact, so you can see how many leads the block just hid. If it reads no leads, the number or email did not match any lead in the account.

  5. Import a list

    To bring over a do not contact list from a previous CRM, click Import, drop a CSV with Name, Phone and Email columns on the Import DNC Blacklist panel, and use Back to Blacklist when it finishes. Every contact in the file is hidden as soon as the import completes.

  6. Remove one if you must

    On the entry, click Remove from Blacklist and confirm with Yes, Remove. The contact is restored to the views it came from. Do this only when the customer has asked to hear from you again.

Before you start

The Blacklist button on the lead is there for every user, because the person who reads the stop request is the person who should act on it. The DNC Blacklist page sits under Billing & Admin, so if you do not see that menu, ask your master administrator to add the contact or to import the list. Have the number or the email address exactly as the customer used it; the block matches on what is stored, so a number with a typo blocks nothing.

Know what the block does. A blacklisted contact is hidden from Leads, Contacts and the inbox, and is left out of bulk texting and bulk email lists. The block works both ways: inbound texts and calls from that number are stopped too, and the entry counts what it stopped. What you should see

After you confirm from the lead, the lead is gone from the list and from the rep's inbox, and from the manager's list and any scheduled bulk text. On the Do Not Call Blacklist page the contact appears as a row under the Contact, Added By, Activity, Blocked and Options columns, with the name, phone and email you entered. The Activity column carries two small counters: how many leads in the CRM match this contact, and, once the block has stopped something, how many inbound messages it stopped, with the time of the last one on the counter's label.

The lookup under the phone field is the other thing to read. It reports the line type, so a landline is told from a mobile, and whether the number appears on the national do not call registry, checked on demand against a current source rather than a list the store downloaded months ago. What the store does with that fact is the store's policy; the blacklist is the tool to act on it with one click. The caller ID and contact validation page covers the related checks on a lead.

If it did not work

The customer is still texting a rep. The block is keyed on the number the customer writes from. If they text from a second number, add that number too; the Add to Blacklist form takes a phone, an email or both, and one entry per number is fine.

The lead is still in the list. The entry was saved with a number formatted differently from the lead, or with only an email while the lead has only a phone. Look at the entry's Activity counter; if it reads no leads, remove the entry with Remove from Blacklist and add it again with the phone or email exactly as the lead carries it.

The import took the file but nothing was blocked. The CSV needs Name, Phone and Email column headings in the first row. Open the file, fix the headings, and run Import DNC Blacklist again.

Someone removed a contact by mistake. Add them again from Add to Blacklist. The activity on the new entry starts from zero, and the removal and the re-add both show who did them.

Tips from the floor

Make the Blacklist button the store's only answer to a stop request. Not a note on the lead, not an email to the team, the button. Import the old list on day one, before the first bulk text goes out, so the store's history of opt outs does not reset with the new CRM. And before any campaign to a list of uncertain origin, run the doubtful numbers through the lookup on the Do Not Call Blacklist page; it takes seconds and the entry records that it was checked.
