What Is Round Robin Lead Distribution?
Everybody in turn, nobody skipped, and no lead waiting for a manager to decide. What the rotation fixes and where stores add rules to it.
Round robin lead distribution assigns incoming leads to salespeople one at a time in a fixed rotation, so each rep receives the next lead in turn. It replaces the scramble for whoever is nearest the screen and the manager assigning by hand, and it makes both the order and the workload visible to the whole floor.
What does round robin mean?
The phrase is borrowed from a tournament where everybody plays everybody, and it keeps the same sense here: everybody in turn, in order, back to the top. A list of reps is in the rotation, a lead arrives, the next rep on the list gets it, and the pointer moves along one place. When it reaches the end it goes back to the beginning. That is the whole mechanism, and its virtue is that nobody has to decide anything at the moment a lead lands, which is the moment when the store can least afford a decision.
Round robin is one of a handful of distribution methods a store can choose. Shotgun sends a lead to everyone at once and the fastest rep claims it. Hand assignment leaves it with a manager. Skill based routing sends leads by product, language or experience. Round robin sits in the middle: mechanical, predictable and fair by construction. Related terms are defined in the automotive sales glossary.
How does it play out on a dealership floor?
Say five salespeople are in the rotation and 20 internet leads come in on a Tuesday, illustrative figures only. Each rep gets four. Nobody gets the good ones because they sat closest to the desk, nobody gets eleven because the manager likes them, and nobody can claim at the end of the month that they were starved. The rep who gets the lead is notified on their phone, the lead has an owner within a second of arriving, and the clock on the response time starts against a person rather than against the store in general.
That last part is why most stores adopt it. A lead with no owner is a lead nobody is embarrassed about, and unowned leads are where response time goes to die. The rotation makes ownership automatic. The manager's job shifts from deciding who gets what to watching what each owner does with their share, which is a far better use of a manager, and the difference between a five minute response and a fifty minute one is worth more than any argument about who deserves the next one.

Where does a plain rotation need help?
In four places every store eventually runs into. Availability: the rotation should skip the rep who is off today and the one who left in March, or a quarter of the store's leads are sitting on a screen nobody opens. Fit: a Spanish speaking customer and a fleet inquiry both want a particular person, not the next one in line. Capacity: a rep already working thirty live conversations is not the best home for the thirty first. And accountability: a lead that is assigned and then ignored needs to come back into play rather than age quietly.
Stores solve these with rules on top of the rotation rather than by abandoning it. Distribution lists put the right group of reps behind a given source. Routing rules send a source, a brand or a rooftop to the people who handle it. Notifications make an assignment impossible to miss. Once those are in place the rotation does what it is good at, which is deciding the ordinary case instantly and without argument.
How does LeadLocate handle round robin?
LeadLocate CRM assigns leads in a round robin across the users a store chooses, and the same rotation is available on the shared calendar so appointments are spread the same way leads are. Lead distribution rules and distribution lists decide which group of reps a given source feeds, and the assignment happens when the lead arrives rather than when somebody gets around to it. The feature is described on round robin lead assignment and set up in a few clicks in how to set up round robin.
For a group, routing rules work per rooftop, so a lead for one store goes to that store's people and shows up on the group's reporting all the same, covered on multi rooftop lead routing. The rep who receives a lead gets a notification on the phone app and on the desktop, the lead is theirs on every screen, and every text, call and email that follows sits on that customer record for the manager to read. The comparison shopping version of this subject, what to look for in a system, is on CRM with round robin lead distribution.
Round robin, shotgun or skill based routing?
Shotgun distribution sends every lead to every rep and lets the fastest one take it. It produces quick first responses and a floor that learns to fight, and the reps who lose the race stop trying. Skill based routing sends a lead to whoever is qualified for it, which is right for specialized inventory and awkward for a store where everybody sells everything. Hand assignment gives a manager total control and makes the manager the bottleneck at exactly the wrong moment.
Round robin is the default most stores land on because it is predictable, it is defensible in a pay plan conversation, and it can be modified rather than replaced: put the right people in the rotation, let rules handle the exceptions and let the turn handle the rest. A store that wants a different behaviour altogether, weighting the rotation by performance or by how many live conversations a rep already has, can have it: that is available on request, and our team puts it in production for your dealership.
Frequently Asked Questions
What does round robin mean in lead distribution?
It means leads are handed out one at a time in a fixed rotation. The next lead goes to the next rep on the list, and when the list runs out the rotation starts again at the top, so every salesperson gets a turn without anyone deciding in the moment.
Is round robin fair to a top salesperson?
It is equal, which is not the same thing. Stores that want their best closers on particular sources use distribution lists and routing rules to put the right group behind that source, then let the rotation handle the order inside it.
What happens if a rep is off that day?
They should be out of the rotation, because a lead assigned to somebody who is not working is a lead nobody answers. In LeadLocate a store chooses which users are in the rotation, and routing rules decide which group a source feeds.
Does round robin work across multiple rooftops?
Yes. Routing rules work per rooftop, so leads for one store go to that store people while a group still sees everything on one set of reporting.
Give every lead an owner the second it lands
Watch a lead arrive, take its turn in the rotation, notify the rep on their phone and start its response clock against a name, on a live account.
