Wayne Reaves Alternative for Car Dealerships

An honest comparison, including the reasons to stay put and the reason a straight swap is usually the wrong idea.

Wayne Reaves is known for dealer management software and websites aimed at independent and buy here pay here stores. LeadLocate is a lead generation platform with a full CRM built in, sold month to month. They solve different problems, so the usual outcome is keeping the dealer management system you run and adding the CRM and lead layer on top.

Work out what you are actually trying to replace

This is the step that saves the most wasted demo time, and almost nobody does it first. Three different systems get lumped together under one complaint, and the fix is different for each.

The dealer management system. Inventory and cost accounting, deal posting, the general ledger, accounts payable and receivable, title and registration work, buy here pay here note servicing and collections, state reporting, forms printing. This is the operational backbone of an independent store, and it is a serious thing to change.

The CRM and communication layer. Where leads land, who works them, how customers are texted, emailed and called, what the follow up cadence is, and how a manager sees any of it.

Lead generation. Where opportunities come from in the first place.

Let us be direct so nothing further down is misread. LeadLocate is not a dealer management system, and we do not sell one. There is no general ledger, no accounts payable or receivable, no deal posting to accounting, no title or registration processing, no note servicing, no parts and no repair orders. If your frustration is with the accounting side, we are not the answer to it and you should evaluate other systems on those merits.

If your frustration is that leads are not being worked, follow up dies after two touches, and nobody can tell you what was said to a customer, that is the second and third categories, and that is what we do.

What Wayne Reaves is known for

Wayne Reaves has been serving independent dealers for a long time and is best known as a dealer management system provider, with dealer websites offered alongside it. Its typical customer is an independent used car store or a buy here pay here operation rather than a large franchise group, and the product is generally described as covering the operational side of that kind of store.

That focus is genuinely valuable. Independent and buy here pay here stores have requirements franchise oriented software often handles poorly: note servicing and payment collection, in house financing paperwork, state specific forms, and the accounting to hold it together. A system built for that audience knows things a general purpose product does not.

We are deliberately not going to describe their current feature set, packaging or pricing in detail, because vendor products change and a comparison page that guesses is worse than useless. Confirm capability, pricing and contract terms directly with the vendor before you make any decision. That applies to this page, to every other comparison page you read, and to us.

What LeadLocate is built to do

We came at the dealership from the opposite end. LeadLocate started as a lead generation platform and grew a full CRM around it, sold to stores and to individual salespeople on month to month terms.

On the lead side you choose a territory around your store, and leads submitted inside that zone are delivered to you exclusively rather than resold to three other dealerships. There are two families. Inbound buyer leads come from in market shoppers, a mix of VIN specific inquiries and open shoppers describing what they want. Seller leads are inbound and opt in: local owners who filled out a vehicle offer request and asked to be contacted about selling their vehicle. Nothing is filtered or scored. We ask pre screening questions at capture and deliver every submitted lead in your zone, and problems are handled through post delivery replacement review rather than a quality promise made up front.

On the software side: lead inbox and distribution rules, SMS and MMS with RCS and SMS fallback, click to call with a VoIP softphone, call recording with transcription, voicemail drop, an email inbox with a composer plus campaigns and bulk email, automations, follow up processes and drip sequences, appointments and reminders, DealTracker desking covering loan and lease with a fifty state tax matrix, deal jackets, customer facing deal pages with e signature, lead pages, personal salesperson websites, a free live chat widget, an email validator, a phone validator, document reading and VIN scanning, and three layers of reporting.

Alongside it sit SecureWebX for secure credit applications, apply links, document collection and a compliance module with versioned consent; My Inventory Link for feed ingest and merchandising; and AutoMail for IVR, call routing and inbound voice.

Stay with Wayne Reaves if

We would rather tell you this now than have you switch and switch back. Any one of these is a good reason to leave your current setup alone.

  • Your main need is the operational and accounting backbone: inventory costing, deal posting, the general ledger, state forms and reporting. We do not do that work.
  • You run buy here pay here and depend on note servicing, payment collection and the reporting around it. That is not something we offer.
  • Your office staff know the system cold and your month end close is clean. Disruption to accounting is expensive in ways a demo will never show you.
  • Your website and your dealer management system are wired together in a way that works, and separating them creates more problems than it solves.
  • Your actual problem is process rather than software. Leads are not worked, follow up stops after two touches, response time is measured in hours. New software makes that more visible, which helps, but the fix is management. Stores that switch vendors to solve a discipline problem tend to switch again in eighteen months.

Add or move to LeadLocate if

The case is strongest when several of these describe your store at once.

  • You need more opportunities, not better bookkeeping. You want exclusive local leads in a territory you define rather than shared internet leads three stores are calling at the same time.
  • You want the acquisition side too. Opt in seller leads from local owners who asked to be contacted are how a lot of independents are sourcing inventory now. The seller leads page explains how it works.
  • Your texting and calling live on personal cell phones, so the store loses the conversation whenever somebody quits.
  • You want desking that covers loan and lease with real state tax handling, and a customer facing deal page they can sign, rather than a printed worksheet and a calculator.
  • You want secure credit applications and apply links you can text, with consent and document collection recorded properly.
  • Contract length matters to you. Month to month means we have to keep earning it.
  • You do not want to depend on an integration project. No DMS integration and no inventory feed is required to operate, though we can ingest a feed if you have one.

The answer most stores land on: run both

This is the honest recommendation for the majority of dealers reading this page, and it is worth stating plainly even though a comparison page is supposed to argue for a switch.

Keep the dealer management system you run for what it is good at. Inventory records, deal posting, accounting, note servicing, titles and state reporting stay exactly where they are. Add the CRM and lead layer on top for what that system was never built to do: exclusive lead flow, texting and calling with recording and transcription, automated follow up, campaigns, desking with real tax handling, and reporting that shows you response time and touch counts.

The reason this works cleanly is that our platform does not require a DMS integration to function. No project, no data mapping exercise, no waiting for two vendors to schedule each other. You are not asking your office manager to relearn the accounting system in the middle of a busy month, and you are not putting your month end at risk to fix a follow up problem.

Later, if you decide to change the operational system as well, you can do it without also moving your customer communication history, because that history now lives somewhere separate. That is a genuinely lower risk sequence than changing everything at once, and it is what we would advise a friend to do.

What a change actually costs, beyond the invoice

If you are considering replacing an operational system rather than adding a layer, budget for the parts nobody quotes.

  1. Data extraction. Settle this before you give notice. Ask exactly what you can export, in what format, and whether customer notes and payment history come with it. Your leverage is highest before you sign anything and lowest the day you announce you are leaving.
  2. Overlap. Plan to pay two vendors for several weeks. Cutting over with no overlap is how stores lose records and momentum.
  3. Accounting continuity. If the general ledger moves, your close will be harder for at least one cycle. Do it at the quietest point of your year, never during tax season.
  4. Adoption. Expect a productivity dip for two to four weeks while habits reset. Budget management attention, not just training hours.
  5. Reconnections. Every website form, lead provider, payment processor and phone line that touches the old system has to be repointed. Make that list before you start, not during.

Our CRM migration checklist works through the customer side in order, and switching from Wayne Reaves covers the operational sequencing in more detail.

Questions to ask both vendors, including us

Take these into every demo and write down the answers. Vendors comfortable being pinned down in writing tend to be the ones still worth having in year three.

What is the total monthly cost with every module we actually need, and what is the price at renewal? What is the contract length and what is the cancellation process? What exactly can we export if we leave, in what format, and does it include customer communication history? Who owns the data? How long does implementation take and what does the store have to supply? What does support look like at six on a Saturday evening, and is it a person who knows car dealerships? If leads are included, are they exclusive to my store, how is my territory defined, and what happens when a lead is bad?

On that last one, our answer is that nothing is filtered or scored, every submitted lead in your zone is delivered exclusively, and problems go through post delivery replacement review. We cannot guarantee lead counts, close rates or results, and no vendor honestly can, because those depend on your market and your team. If you want to see it running rather than described, start with the demo or contact us and ask directly.

Frequently Asked Questions

Is LeadLocate a replacement for Wayne Reaves?

Not for the operational side. We do not sell dealer management software, so there is no general ledger, deal posting, title work or note servicing. For lead generation, CRM, communication, follow up and desking we cover ground a dealer management system generally does not.

Can we keep our current system and add LeadLocate?

Yes, and that is what most stores do. No DMS integration and no inventory feed is required to operate, so there is no data mapping project and no waiting on two vendors to schedule each other.

Do you support buy here pay here stores?

On the sales, lead, communication and desking side, yes, and many independents run this way. Note servicing, payment collection and the accounting behind in house financing are not things we provide.

Are the leads exclusive to my store?

Yes. You define a territory and leads submitted in that zone come to you rather than being resold to other dealerships. Nothing is filtered or scored, and lead problems are handled by post delivery replacement review.

What does it cost?

CRM Only starts at $199 per month if you have your own lead sources. Inbound buyer lead plans start at $799, Marketplace Acquisitions at $999 and the Buyers and Sellers Hybrid Plan at $1,599. Everything is month to month.

How should we compare fairly?

Get both vendors to quote the total monthly cost with every module you need, the contract length, the renewal price and the export terms in writing. Features change, so verify current capability with each vendor rather than trusting any comparison page.
