PBS Systems Alternative for Car Dealerships
A clear comparison for dealers shopping the DMS category, plus the lead, CRM and desking layer LeadLocate runs above whichever system you choose.
Read this before you read anything else on the page
If you searched for a PBS Systems alternative, you are almost certainly shopping the dealer management system category. LeadLocate runs alongside it, and knowing that up front makes the rest of this page far more useful.
General ledger, payables and receivables, payroll, bank reconciliation, deal posting, vehicle and floorplan accounting, sales tax filing, title work, parts inventory and counter, repair orders, capacity based scheduling, technician time and warranty claims stay in the dealer management system you run. LeadLocate runs alongside that system and connects to your DMS on request.
What LeadLocate delivers is the layer above it: exclusive local leads, a full CRM built around them, the phone and messaging stack, and a desking engine. That layer runs whether your DMS is PBS or something else, and it does not require a DMS integration or an inventory feed to operate. That independence is the entire reason this page is worth your time, because it is the piece of the store that keeps producing while the back office is being argued over.
If you want the DMS comparison itself, the side by side is below. If you want the CRM comparison, start with automotive CRM alternatives instead.
What PBS Systems is generally built for
PBS Systems is a long established dealer management platform used across North America, and its reputation among dealers tends to center on a few consistent themes: broad functional coverage across accounting, sales, service and parts in one system, a willingness to work with dealers on configuration, and support that stores describe as reachable relative to the largest vendors.
That is the shape of it, and if those things describe why you bought it, be careful about trading them away. Support quality and configuration flexibility are worth real money and they are the hardest things to evaluate from a demo, because every vendor demos well.
Feature sets, module packaging, certification lists, integration fees and pricing in this category change regularly. Confirm them with each vendor directly: verify current capability, current pricing and current contract terms directly with the vendor before you make a decision, and get the answers in writing rather than in a phone call you half remember.
Every vendor in this category deserves a fair look. A dealer leaving a functioning system for reasons they cannot articulate usually regrets it, and the category is small enough that reputations are earned over years.

Why dealers shop the category at all
Four reasons come up repeatedly and all four are legitimate.
Total cost of ownership rather than the monthly line. Integration fees, per transaction charges, third party data access charges and modules you pay for but never activated are usually where the real number hides. Build the full picture before you compare anything, including what your other vendors are charged for access, since that lands on your invoice eventually. Our DMS total cost of ownership guide walks the line items.
Group standardization. When a group grows past a few rooftops, one platform across all of them makes consolidated reporting possible and lets staff move between stores without retraining. This reason usually wins arguments on its own.
Third party access. If the vendors you want cannot get data in and out at a price you accept, that is a constraint on how you run the business, not a preference.
Manufacturer or acquisition pressure. Sometimes the decision is made above you. In that case you are not evaluating, you are converting, and the whole job becomes data and training.
The reason that is not a reason: process problems blamed on software. A new system exposes those faster. It does not fix them.

Keep PBS Systems for the back office and run LeadLocate beside it if
A DMS conversion is a large project, so check these before you start one.
- You want one system of record for accounting, sales, service and parts, and you want the lead and customer side run by LeadLocate on top of it.
- Your controller is comfortable with the schedules and the close process as they stand, and nobody has produced a number that justifies disrupting it.
- Your fixed ops workflows are wired in and producing, and the cost of rebuilding them exceeds whatever you would save.
- Support responsiveness is a reason you bought, and you have not actually tested whether an alternative would match it.
- The complaint driving the search is a process complaint. Late postings and aging receivables do not have a DMS cure, and dead follow up is solved above the DMS, which is exactly where LeadLocate works.
If you are still going to shop, do it properly. The vendor evaluation scorecard and the questions to ask during a DMS demo are written to be used with any vendor, and they will make the demos comparable instead of impressionistic.
Where LeadLocate wins: the work above the DMS
Here is where LeadLocate wins, and it is not against PBS. It is against the pile of separate vendors most stores use for the customer facing side of the business.
The case is strongest when several of these are true. You are paying one vendor for leads, another for CRM, another for texting, another for a chat widget and another for a desking tool, and none of them talk to each other. You want exclusive local leads in a territory you define rather than shared internet leads three stores are calling at once. You want the sales side to keep running untouched while the back office is being converted. You are independent or a used car operation and franchise depth is surface area you pay for and do not use. Or you want individual salespeople to be able to run on the platform, not just the store.
Two families of leads are available. Inbound buyer leads from in market shoppers, and opt in seller leads from local owners who filled out a vehicle offer request and asked to be contacted about selling. Every lead in your zone is delivered to you and only you, prescreened at capture with the questions you choose, and backed by a replacement review, so a bad lead costs you nothing. The seller leads page covers the acquisition side.
The tools most dealers do not know exist
Vague benefit copy is useless when you are comparing software, so here is the specific surface.
Communication. SMS and MMS threading, RCS with automatic SMS fallback so richer branded messages reach supported handsets without leaving anyone out, click to call with a VoIP softphone, call recording with transcription that turns a twelve minute call into thirty seconds of reading, voicemail drop with recipient lists, trigger calls, an email inbox and composer, bulk email with recipient management, and eFax through SecureWebX. The phone system built into the CRM adds IVR, call routing and forwarding, so the phone gets answered during the morning rush instead of ringing out.
Hygiene. A phone validator and an email validator, built into the CRM. Most dealers have never seen a CRM check a list before it sends.
Desking. DealTracker covers loan and lease with a fifty state tax matrix, semimonthly payment frequency, trade-in credit caps and three lease tax methods, plus deal jackets, print templates and customer facing deal pages with e-signature. Details on the desking tool page.
Intake and compliance. SecureWebX handles secure credit applications, shareable apply links you can text, document collection, identity verification at intake and a compliance module with versioned consent. A secure Send to Lender share passes an application to the lender you choose, and applications export in the format your lender or DMS expects.
How to evaluate without betting the store
You do not have to rip anything out to find out whether this works for you, and you should not.
Run one store, or one team inside one store, on the platform for three to four weeks while everything else stays exactly where it is. Point a defined slice of lead flow at it. Then measure three things against your current setup over the same period: time to first response, number of follow up touches before the trail goes cold, and appointments set. Those three tell you more than any demo, and they are the three that move units.
Month to month pricing exists so this is possible. A vendor asking for a multi year commitment before you can evaluate is asking you to carry a risk they will not. A pilot costs you one month and gives you real numbers. If it goes well you expand with evidence instead of hope. Piloting a new CRM at one dealership lays out the mechanics.
We cannot guarantee lead volume, close rates or sales results, and no vendor can, because the buyer makes the final call. What we will do is show you real numbers from the pilot and let you decide monthly. Pricing sits on the pricing page and you can reach a human at 844-376-2274.
Frequently Asked Questions
How does LeadLocate work with PBS Systems?
Side by side. PBS is a dealer management system, and LeadLocate is the lead and CRM layer that runs alongside it. Accounting, parts, repair orders and title work stay in whichever DMS you keep, and LeadLocate connects to it on request. We deliver the lead generation, CRM, communication and desking layer that runs alongside whichever DMS you keep.
Do we need a DMS integration to use LeadLocate?
No. Neither a DMS integration nor an inventory feed is required to operate, which is why brokers and individual salespeople can run on it. If you do have an inventory feed, Inventory Link can ingest it and advertise your actual vehicles.
What should we compare when shopping DMS vendors?
Total cost including integration and third party access fees, what it costs your other vendors to reach your data, exact export rights and formats, conversion timeline commitments, and support availability on a Saturday afternoon. Get all of it in writing before signing.
Are the leads exclusive to our store?
Yes. You define a territory and leads submitted inside that zone come to you and are not resold to other dealerships. Every lead is prescreened at capture with the questions you choose and backed by a replacement review, so a bad lead costs you nothing.
Can we run LeadLocate during a DMS conversion?
That is one of the better times to have it. Because it runs independently of the DMS, the lead inbox, phones, texting and follow up cadences keep working while accounting, parts and service are being converted.
What does it cost and how long are we committed?
CRM Only starts at $199 per month and plans including exclusive local leads start at $799. Everything is month to month with no long term contract, built for US dealerships. Current figures are on the pricing page.
Ask us whether we fit before you sit through a demo
We will tell you straight if the DMS category is what you actually need. If the gap is above it, we will map a territory and show you real numbers. Month to month.
