The difference that usually decides it

Strip away the feature grid and the comparison comes down to one structural question: who is responsible for the top of your funnel.

A CRM vendor's honest position is that lead generation is your job. They will manage, route, remind and report on whatever arrives. If your marketing is producing, that division of labor works and the CRM's job is to stop leakage.

Our position is that for a lot of stores, particularly independents and used car operations, the leakage is real but the shortage is bigger. There is a second order effect worth naming. When leads and CRM come from the same vendor, nobody can blame the other vendor. Every dealer who has run a lead provider against a separate CRM knows that conversation: the lead vendor says the leads are fine and the store is slow, the CRM vendor says the data is dirty. What switching actually costs, beyond the invoice

The subscription difference is usually the smallest number in a CRM change. The expensive parts never appear on a quote.

  1. Data. Getting customer records, notes and communication history out in a usable format. Establish exactly what you can export, in what format, and whether message history comes with it, before you give notice rather than after.
  2. Overlap. Budget for paying both vendors for a few weeks. Cutting over with no overlap is the most common way a store loses leads during a change.
  3. Adoption. The real cost. Expect a productivity dip for two to four weeks while habits reform, and budget management attention rather than training hours.
  4. Integrations. Every third party that posts into your current CRM has to be repointed: website forms, inventory, chat, phone, third party lead providers. Build that list before you start.
  5. Reporting continuity. Pull the historical reports you will want to compare against next year while you still have access to them.

Pilot instead of betting the store

You do not have to decide this from a demo. Run one store, or one team inside one store, on the new platform for three to four weeks while everything else stays where it is. Point a defined slice of lead flow at it so the comparison is fair.

Measure three things against your current system over the same period: time to first response, number of follow up touches per lead before the trail goes cold, and appointments set.
