TheCRM / CRMSuite Alternative for Car Dealerships

Move to a CRM that brings its own exclusive local leads, puts calls and texts on the same record, and carries the deal from the desk to the customer's phone.

Dealers look for a TheCRM or CRMSuite alternative when they want leads and CRM from one vendor, a phone system inside the CRM, and desking that reaches the customer. LeadLocate is an automotive CRM with exclusive local leads built in, calling with transcription, RCS texting, DealTracker desking and SecureWebX credit applications, sold month to month from $199.

What TheCRM and CRMSuite are

CRMSuite is a web based automotive CRM from CRMSuite Corporation, and TheCRM is the name its mobile app carries in the app stores. That is why dealers search for the two names together: they are the same product family seen from the desktop and from the phone. Public listings describe CRMSuite as a CRM built for auto dealers of different sizes, with reporting, analytics and artificial intelligence features, and the app as a full version of the desktop that lets users send texts, manage email, view their MyDay list, check inventory, and work their inbox and lead pools from a phone.

The company also lists in person training, webinars, documentation and a knowledge base as part of how it supports stores. For a dealership that values a vendor who shows up to train the floor, that matters, and it is worth asking about when you compare.

Packaging, pricing and features change over time. Confirm current pricing and terms with the vendor directly, and ask for the current module list in writing so you compare the same things side by side.

Why stores start looking for a CRMSuite alternative

Stores rarely switch CRMs because of a single feature. They switch because the day feels stitched together from too many vendors. These are the reasons we hear most often from managers who call us.

The CRM waits for leads instead of bringing them. Most dealership CRMs are built to work what other vendors send. Stores want a platform where lead supply and lead handling come from the same company, on the same bill, reported in the same place.

The phone lives somewhere else. When calls run through a separate system, recordings and notes never quite make it onto the customer record, and managers coach from what a rep remembers.

The deal stops at the desk. Shoppers want to review numbers, sign and upload documents from their phone before they come in. Desking that ends in a printout slows every deal down.

Acquisition matters as much as retail. Used car managers want local owners who asked for an offer arriving in the same inbox as buyers, not in another tool.

Flexibility. Month to month terms let a store run a new platform on one team and decide on its own numbers.

What dealers moving from CRMSuite gain

Leads that arrive already inside the CRM. In Leads Manager your store draws its zone with the zone editor, chooses the campaign type, writes the prescreening questions and sets Custom Offers, and our team builds and runs the campaigns from those selections on the webXintel Ads Network, included with every plan. Every lead in your zone is delivered to you and only you, prescreened at capture, and backed by a replacement review, so a bad lead costs you nothing. Buyer leads are a mix of VIN specific and open shoppers, and opt in seller leads come from local owners who asked for an offer on their vehicle.

A phone system on the lead. Each source gets a tracking number, inbound calls follow the IVR flow you build with your own audio, and every call is recorded and transcribed on the lead. Call Alerts check each transcript for the words you choose, and a manager picks All Calls or Alert Calls Only.

Texting that looks like a modern phone. SMS and MMS with delivery status on every bubble, RCS with automatic SMS fallback, Texting Chatbots, bulk texting, trackable short links and scheduled sends. The AI writing assistant and AI merge fields draft the message, and Jax, the bilingual AI assistant, answers the rep in English or Spanish. See texting and calling in one CRM for the full rundown.

Clean contact data. The Phone Validator and Email Validator put a validity dot on every lead, and a live do not call lookup sits on the DNC Blacklist page.

A whole platform behind one login. The CRM, SecureWebX, Inventory Link and the My LeadLocate account portal open from a single sign on, with Team Chat, Design Studio and the Referral Program on the dock.

The mobile app, compared on the jobs that matter

TheCRM is the mobile face of CRMSuite, so the app deserves a fair comparison on real work rather than a feature count. Here is what a LeadLocate rep does from the phone app during a normal shift.

The day starts on the Workspace with appointments, reminders and to dos, and a News to be aware of panel with dealer industry news. The rep answers texts in the SMS inbox, replies to email, and works customer questions in the Deal Chats inbox. Calls go out from the VoIP dialer, and inbound calls open the call alert screen so nothing rings unseen. The rep records a voicemail greeting right in the app.

When a walk in shows up, the New Lead button on the bottom dock creates the record in seconds, the driver license scan fills in the customer, and VIN lookup decodes the trade. Quick Schedule sends the customer the rep's own booking link. The inventory list opens with a detail sheet for each unit, and the inventory picker drops a car into a text as MMS with photos and price.

Deals keep moving on the phone too. Deal Tracker desking and the deal jacket are in the app, so a rep can photograph a pay stub into the jacket while the customer is still on the lot. Team Chat keeps the desk and the floor talking, the File Library holds brochures and forms, and the Quick Access PIN and biometric login get the rep in without typing a password.

The design principle is simple: nothing a salesperson needs should require walking back to a desktop.

Desking and financing that reach the customer

DealTracker EZ Desking builds cash, finance and lease structures in a multi pencil grid with goal seek bays, a 50 state tax matrix, three lease tax methods, semimonthly payment frequency and trade credit caps. OEM incentives appear inside the deal view through the Incentives Showroom, and the field set covers auto, RV, powersports, marine, buy here pay here and fleet.

The customer sees the deal on a PIN protected deal page skinned to your store, with a revision view and e-signature. Digital retail on the deal page walks through build, document review, deal review and a shipping quote, and PencilRecap turns any pencil into a shareable recap sheet. The Road to Sale checklist on every deal keeps the desk and the salesperson on the same step.

On the finance side, SecureWebX apply links open a five step credit application with co applicant support, ITIN or SSN, and document uploads. The dealer console tracks stipulations with upload to fulfill, generates adverse action notices, runs OFAC screening and keeps a full audit log, and Send to Lender shares an application with the lender you choose through a code gated, expiring, revocable, watermarked link. Our page on CRM with credit applications goes deeper.

A switching plan that protects the pipeline

The goal of a CRM switch is simple: no lead lands in a gap while the store moves. This is the order that works.

  1. Export before you give notice. Pull customers, leads, notes and appointments from CRMSuite in the format your agreement provides, then load them with contact import and clean the overlap with merge duplicates.
  2. Set up the team. Add users with roles and permissions, set notification preferences, and install the phone app for every rep.
  3. Repoint every source. Build a feed per source in the Lead Feeds Manager, connect website forms through your form intake link, and put managers on the feeds that matter with Manager Lead Copies.
  4. Load the cadence. Follow Up Processes and Automated Templates per lead type send the first touch the second a lead arrives.
  5. Prove it on one team first. Three to four weeks, measured on time to first response, touches per lead and appointments set.

Video training, Live Training and Schedule Training are included with every plan. Our migration checklist covers every step in order.

Questions to ask both vendors

Use the same list in every meeting and write down the answers. What is the full monthly cost for everything we use, and what does it renew at? What is the term and the cancellation process? What can we export, and does it include communication history? Are leads included, are they exclusive, and how is the territory defined? What happens with a bad lead? Can reps call, text, desk and send a credit application from the phone?

LeadLocate is month to month with no long term contract. CRM Only starts at $199 a month and lead plans start at $799. Every account is set up for your market, usually the same day, and an inventory feed or DMS access is not required to start.

We cannot guarantee lead counts, appointments, close rates or sold units, because those depend on your market, your inventory and your team, and no vendor can. What you get is every lead in your zone and a CRM that works it from the first second. See it on real lead flow in the demo.
