CRM for Used Car Dealerships

Used car retail has two engines, retail and acquisition. Most CRMs only ever built one of them.

A used car CRM needs to manage retail follow up and vehicle sourcing in the same system, because on a used lot every car is a purchase decision. LeadLocate covers both: exclusive local buyer leads, opt in seller leads for acquisition, plus texting, calling, desking and follow up automation. From $199 a month. See pricing.

The used car business has two engines, not one

A franchise new car store receives allocation. A used car operation has to go find every single unit it sells, then find someone to sell it to. That is two distinct sales processes running at once, competing for the same people and the same hours.

Almost every automotive CRM was built for the first process only. It models a lead arriving, a salesperson working it, and a deal closing. It has nothing at all to say about where the car came from, which on a used lot is at least half the job and in a tight market is the harder half.

That gap shows up as spreadsheets. The acquisition side ends up tracked in a notebook or a shared sheet, disconnected from the CRM, so nobody can see that the customer who just asked about a truck also has a trade you want. The store is running two systems and reconciling them by memory.

Sourcing inventory through the same system that sells it

Seller leads are the acquisition engine. They are local vehicle owners who filled out one of our vehicle offer request pages and asked to be contacted by a dealership about selling. Inbound, opt in, and delivered exclusively inside the territory you pick around your store.

Buying direct from an owner changes your economics in ways auction cars cannot. There is no buy fee, no transport, no three week float before the unit is front line ready, and no bidding against every other dealer in the region for the same car. You also get to inspect and negotiate in person rather than off a condition report.

Be clear eyed about what this is. Nothing is filtered or scored. We ask pre screening questions at capture and deliver every submitted lead in your zone, exclusively. We cannot guarantee what any individual owner will accept for their vehicle, because that is entirely their decision, and any vendor promising otherwise is selling you something they cannot deliver. What the program does is get you in front of local sellers first, which is the part you can actually control. The seller leads page goes deeper, and vehicle acquisition strategy covers how stores structure the buying process around it.

Trade-ins are acquisition too, and they hide in your CRM

The cheapest car you will ever buy is one already sitting in your service drive or attached to a retail lead. Most stores under work this badly, not through negligence but because the trade is a footnote on a sales record rather than a tracked opportunity.

The platform carries vehicle detail on the customer record with multiple slots, so a customer's current vehicle and potential trades are structured data rather than a note somebody typed. That makes a trade something you can filter on, build a campaign around, and follow up on when a unit like it goes short on your lot.

Practical version of this: when you are three days into needing a specific year and model, you should be able to ask your own database who owns one before you go to auction. That is a query, not a memory exercise, and it is the sort of thing an acquisition focused store gets right and a retail focused one never thinks to do. Trade-in leads covers the inbound version of the same idea.

Retail follow up that survives a small team

On the retail side, used car buyers shop harder and longer than new car buyers, because every unit is one of one. That means follow up depth matters more here than almost anywhere else in the business, and it is exactly what a short staffed lot does worst.

The follow up machinery is the answer: automations and task automation, follow up processes, drip campaigns, reminders and appointments. Set the cadence once and the system carries leads that a busy person would otherwise drop. Most stores badly overestimate how many touches their leads actually get, and the reporting here is honest because the communication happens inside the platform rather than on personal phones.

The communication tools themselves need to be faster than a salesperson's own phone or the team will route around them. SMS and MMS with real threading, RCS with SMS fallback, click to call with a VoIP softphone, call recording with transcription, voicemail drop, email with a real inbox and composer, and bulk email. Call transcription lets a manager review a long call in half a minute, which is what makes coaching possible without a dedicated trainer.

Desking that holds up on a used deal

Used deals carry more variables than new ones: negative equity, older payoffs, warranty products, and buyers whose approval terms move the whole structure. Desking numbers that are approximately right create unwinds.

The desking tool covers loan and lease, with a fifty state tax matrix, semimonthly payment frequency, trade credit caps and multiple lease tax methods. If you sell across a state line, which plenty of used operations do, that matters immediately, because a store running one spreadsheet built years ago for one state is quietly wrong on the other.

Deals carry through to customer facing pages, so a shopper can look at their own numbers on a link rather than a photo of a worksheet. Deal jackets, deal chats and print templates keep the paperwork and the conversation attached to the deal. More on the desking tool page.

Credit challenged buyers are a large share of used volume

Used lots see more subprime and thin file customers than franchise new car stores do, and those shoppers open with the approval question rather than the vehicle question. The store that answers it first, respectfully, usually gets the appointment.

SecureWebX handles secure credit applications and apply links, which are shareable application URLs you can text directly to a customer instead of asking them to drive over and fill out paper. That single change, moving the application to where the customer already is, tends to lift completion noticeably compared with asking someone to come in first.

Compliance is a genuine selling point rather than a tax. Texting is consent based and opt outs are honored. Financing campaigns run under fair lending rules that forbid narrowing an audience by age, gender, income, marital status, household size, education, language or ZIP. Any vendor offering to help you target around those rules is handing you a liability. See subprime auto leads for how these buyers are sourced.

What it costs and how used stores usually start

CRM Only starts at $199 a month if you have your own lead sources. Lead Data Only is $599. Buyer lead programs start at $799, seller lead programs at $999, and the Buyers and Sellers Hybrid Plan at $1,599. Skip A Month at $199 exists for stores with genuine seasonality. Details are on the pricing page, and everything is month to month with no long term contract.

Two common starting points. Stores that are inventory constrained start with the seller side, because a car they could not buy is a sale they could never make, and acquisition is usually the binding constraint in a tight market. Stores with plenty of inventory and a slow floor start with buyer leads instead. The Hybrid Plan exists because most used operations eventually want both engines running, and running them in one system is the entire point.

The honest limits

We are not a dealer management system. No general ledger, accounts payable, payroll, parts or repair orders, and we do not sell one. If you need a DMS you need a DMS, and this runs alongside whatever you use, without requiring an integration with it.

We are also not a reconditioning workflow tool, an appraisal valuation book, or an auction platform. Where those overlap with what we do, we handle the customer and the deal rather than the vehicle operations behind them.

What we are is both sides of a used car business in one system: finding the cars, finding the buyers, and the communication, follow up and desking that connect the two. If you are comparing specific vendors, the alternatives comparison is written to be useful rather than flattering.

Frequently Asked Questions

Can it help me source inventory, not just sell it?

Yes, and that is a main reason used stores choose it. Seller leads are local owners who asked to be contacted about selling their vehicle, delivered exclusively inside your territory, so you can buy direct instead of competing at auction.

Do I need a DMS integration or an inventory feed?

No. Neither is required. If you do have an inventory feed, Inventory Link can ingest it and advertise your actual vehicles with VIN, trim, mileage, price and photos.

Does the desking tool handle multi-state deals?

Yes. It covers loan and lease with a fifty state tax matrix, semimonthly frequency, trade credit caps and multiple lease tax methods, which matters if you sell across a state line.

How are subprime customers handled?

SecureWebX provides secure credit applications and apply links you can text to a customer. Texting is consent based, opt outs are honored, and financing campaigns run under fair lending rules.

What does it cost?

CRM Only from $199 a month, Lead Data Only from $599, buyer leads from $799, seller leads from $999, and the combined Hybrid Plan from $1,599. Month to month, no long term contract.

Are leads shared with other dealers?

No. You pick a territory around your store and leads inside that zone are delivered to you exclusively, not resold to multiple dealerships.
