What a CRM change really costs beyond the invoice
The subscription difference is usually the smallest number in the decision. The expensive parts are the ones no vendor quotes you.
- Data. Establish before you give notice what you can export, in what format, and whether communication history comes with it. After notice is the worst possible time to discover the answer.
- Overlap. Budget for paying two vendors for a few weeks. Cutting over with no overlap is the most reliable way to lose leads during a transition.
- Adoption. Expect a productivity dip of two to four weeks while habits reset. This is a management cost, not a training cost, and it is the one that decides whether the change sticks.
- Repointing. Every source that posts into your current CRM has to be redirected: website forms, third-party lead providers, chat, phone numbers. Build the list before you start.
- Historical reporting. Your comparison numbers stay behind unless you pull them. Export the reports you will want next year while you still have access.

A safer way to evaluate than a rip and replace
You do not have to move the whole store to find out. Pilot instead.
Run one team, or one lead source, on the new platform for three to four weeks while everything else stays where it is. Point a defined slice of lead flow at it, keep the same people on the phones, and change nothing else so the comparison stays clean. Then measure three things against the same period on your current system: median time to first human response, number of touches per lead before the trail goes cold, and appointments set per hundred leads.
Those three numbers will tell you more than any demo, and they are hard to argue with in a manager meeting. Month to month pricing exists so this is possible without a commitment. If the pilot goes badly you have lost a month and learned something concrete. If it goes well, you expand on evidence instead of enthusiasm, which is also how you carry the rest of your staff with you. Questions to put to both vendors, ours included
Take this list into every demo. The answers separate vendors faster than any feature grid.
What is the all-in monthly cost with every module we actually need, and what does it become at renewal? How long is the term and what is the cancellation process? Exactly what can we export if we leave, in what format, and does it include texts, emails and call records? Who owns the customer data? How long is implementation and what does the store have to supply? What does support look like at 6pm on a Saturday, which is when a dealership actually needs it? If leads are included, are they exclusive to us, how is the territory drawn, and what happens when a lead is bad?
Write down what you hear. A vendor comfortable being pinned down in writing is usually the one still worth having in year three. We will answer all of it, including the uncomfortable ones: we are not a manufacturer-certified CRM, we do not sell a management system, and our integration depth with third-party systems is more limited than an enterprise product. Is LeadLocate a direct replacement for AutoRaptor?
For lead management, texting, email, calling, follow-up automation, reporting and desking it covers the same ground and adds an in-house voice stack and lead supply. It is not a manufacturer-certified CRM, so a franchise store with program requirements should check those first.
Does LeadLocate include leads or just software?
Both options exist. CRM Only is $199 per month if you have your own sources. Plans that include exclusive local leads start at $799 per month, with seller-side Marketplace Acquisitions from $999 and the Buyers and Sellers Hybrid Plan from $1,599.
Can we run both CRMs during the transition?
Yes, and we recommend it. A few weeks of overlap costs less than the leads a hard cutover loses. Point one source at the new system first and keep everything else running.
Do we need a management system integration or an inventory feed?
Neither is required, which is why brokers and individual salespeople run on the platform. If you do have an inventory feed, Inventory Link ingests it and advertises your actual vehicles.
How are the leads different from shared internet leads?
