Remote appraisal tools bundle together jobs that fail independently, and knowing which one is broken at your store saves you from buying the wrong fix.
Capture is getting the vehicle in front of you at all: year, make, model, trim, mileage, VIN, condition and photographs, from someone standing in their own driveway. Valuation is deciding what the car is worth, usually against book values, auction results and local market comparables. The offer is presenting a number in a way the owner will act on. Follow up is what happens across the two weeks after that number, which is where nearly all of the volume actually lives.

Capture is a phone problem, so build it for a phone
Every remote appraisal starts with a person standing next to a car holding a phone, usually with two minutes of patience. Design around that and the rest gets easier.
The first decision is how much to ask. A form that wants twenty two fields before it will accept anything gets abandoned in the driveway. Ask for the minimum that lets a manager form an opinion, then get a human into the conversation and collect the rest by text. You can always ask a second question. You cannot un abandon a form.

VIN scanning and document reading, which do more than they sound like
Two capabilities most dealers do not expect a CRM to have, and both remove friction at exactly the moment a customer would otherwise give up.
The platform's document AI reads a VIN from a phone camera. Point it at a windshield, a door jamb or an insurance card and the number is captured rather than typed. Seventeen characters typed by hand on a phone produces errors at a rate that will surprise you, and a single transposed digit turns a good appraisal into a wrong one. The reason this matters for remote appraisal is that the difference between a captured car and a lost one is usually four minutes of friction. Removing the VIN typing, removing the second form, removing the request to come in before you will give a number: each of those recovers a share of the people who were willing but not patient.
Photographs are the appraisal, so ask for the right ones
A remote appraisal is only as good as what you can see, and untrained owners photograph cars the way they photograph pets: too far away, at a bad angle, with the flaws politely out of frame.
The fix is to tell them exactly what you want, in the order you want it. Four corners of the vehicle from about ten feet. The dash with the odometer visible and the ignition on. Both front seats and the rear seat. The tires, all four, showing tread. Any damage, close, with something for scale. Under the hood. And a short video walking around the car, because a video catches things a still frame hides.
MMS with real threading is what makes this practical. Photos land inside the same conversation as the numbers, in order, attached to the customer record, rather than scattered across a salesperson's personal phone where nobody else can find them next Tuesday. RCS with automatic SMS fallback means customers on supported handsets get a richer message and nobody is left out.
Set expectations honestly at the same moment. A number given from photographs is a preliminary number, subject to inspection, and telling the owner that up front costs you nothing and prevents the argument that otherwise happens when the car arrives with a repaint and two mismatched tires.
Appraisal requests that arrive already asking

A number by itself persuades nobody. Owners who submit a car for appraisal are almost always talking to more than one buyer, and they are deciding on the whole experience, not just the figure.
Speed is the first variable and the one most stores lose on. An appraisal request submitted at 8:40 on a Saturday evening that gets its first human contact Monday at ten has, in practice, been given away. Automations and follow up processes can acknowledge instantly and put a real person into the thread quickly, which is not the same as automating the offer itself.
Specificity is the second. Explain what the number is based on: mileage, condition from the photos, what the market for that unit is doing locally. Owners are more reasonable than dealers expect when the reasoning is visible, and considerably less reasonable when a number arrives with no explanation.
Then keep everything in one thread. The list nobody works: appraised and not bought
Ask any used car manager how many cars they appraised last month and how many they bought. The gap is large at every store, and almost nobody works it.
The owner who declined your number in March is often the same owner who takes it in May, because the car developed a problem, the buyer they were waiting on never showed, or their situation changed. That list is the cheapest inventory source a store has, and it costs nothing but a cadence.
Build it once and let it run. A message a few weeks later. Another when the market for that unit moves. A note when a customer has been quiet for ninety days. Follow up processes and drip sequences handle the timing, and because opt outs are honored across the entire platform, an owner who asks to be left alone is left alone, which is what keeps the channel usable.
