Inventory & Acquisition

Dealership Inventory Management Software

A straight explanation of what this category covers, which parts we handle, and which parts you should keep buying somewhere else.

Dealership inventory management software covers stocking, pricing, merchandising and syndication of a store's vehicles. LeadLocate's My Inventory Link handles the merchandising side: it ingests your feed, publishes vehicles to salesperson sites and a public inventory API, and connects inventory to lead flow. We are not a dealer management system, and we do not sell one.

The category covers four different jobs, and no vendor does all four well

Dealers use the phrase inventory management software to describe at least four different problems, and shopping for it without separating them is how stores end up with three tools that overlap and one gap nobody covers.

The first job is stocking: deciding what to buy, at what number, based on what the market is doing. The second is pricing: setting and adjusting prices against comparable vehicles and days on lot. The third is reconditioning: moving a car from acquisition to frontline, tracking who has it and what it is waiting on. The fourth is merchandising and distribution: photos, descriptions, and getting the vehicle in front of shoppers wherever they look.

Add a fifth that is really accounting rather than inventory: floorplan, cost basis and vehicle accounting, which lives in your dealer management system and belongs there. Our honest answer is that we do the fourth job, we connect it directly to lead flow, and we help with acquisition on the front end. For the first three you likely want a purpose-built tool, and we will tell you that in a demo rather than after you sign.

What My Inventory Link actually does with your feed

My Inventory Link is one of the four products we build ourselves. It ingests and stores a dealership's inventory feed, which means VIN, trim, mileage, price and photos arrive from whatever system you already use and stay current without anyone rekeying anything.

From there it publishes. There is a data manager for working with what came in, a build and publish pipeline that pushes vehicles out to the sites we generate, and a public inventory API with key provisioning so an external consumer, an agency, or a site of your own can pull your live inventory in a supported way rather than through a fragile export.

The important detail for anyone comparing us to a full inventory suite: an inventory feed is not required to use LeadLocate at all. Neither is access to your dealer management system. That is a deliberate design choice, and it is why auto brokers and individual salespeople can run on the same platform as a franchise store. If you have a feed, Inventory Link advertises your actual vehicles. If you do not, everything else still works. More on the feed mechanics is on our inventory feed management page.

Merchandising that reaches shoppers where they already are

A vehicle that exists only on your own website is under-merchandised, and every used car manager knows it. Distribution is the job.

Inventory Link generates per-salesperson inventory sites from a template, which is a distribution channel most stores never think to use. Your team already sends links all day. Giving each salesperson a site with live inventory under their own name turns that habit into measurable traffic instead of screenshots and text messages. It also raises platform adoption more effectively than any training session, because it gives the salesperson something that is theirs.

On the capture side, the CRM's lead pages builder lets you stand up a campaign-specific page for a particular model, a price band or a promotion, with its own URL settings, and the form posts straight into the CRM with the source attached. No vendor portal in the middle, no export, no lead sitting somewhere until Monday. That connection between a merchandised vehicle and a lead that lands in a salesperson's hands within seconds is the part that actually moves metal, and it is the reason we built merchandising into the same platform as the CRM rather than selling it separately. See inventory syndication for how distribution is usually structured.

Inventory-sourced leads arrive with the VIN attached

Here is a distinction worth understanding before you evaluate any lead program. Leads are a mix. Some arrive tied to a specific vehicle, with the VIN attached, because the shopper was looking at that car. Others describe what they want in general terms: a three row SUV under $30,000, something with third row seating, a truck that can tow.

Both are real. The VIN-specific ones are easier for a salesperson to open a conversation on, because the first message can be about a particular car on your lot. The open ones are frequently better long-term customers, because nothing has narrowed them yet and a good salesperson can guide the choice toward what you actually have in stock.

We never promise a ratio between the two, because we do not control it and any number we gave you would be marketing rather than fact. What we do control is that every submitted lead in your territory is delivered to you exclusively and is not resold to three other stores. Nothing is filtered or scored before delivery. If a lead is genuinely bad, it goes through post-delivery replacement review rather than being screened out up front behind a quality claim we cannot support.

Acquisition: the front end of inventory management

Every conversation about inventory management eventually turns into a conversation about acquisition, because managing what you have is easier than finding what you need. Auction prices are what they are, and stores that source retail have a structural cost advantage.

Our Marketplace Acquisitions program is built for that, and it is important to be precise about how it works. The leads are inbound and opt-in. Local vehicle owners fill out one of our vehicle offer request pages and ask to be contacted by a dealership about selling their car. We do not go looking through listings anywhere, and no page of ours will ever say we do. What you receive is an owner in your territory who raised their hand, delivered to you exclusively.

Two things follow. First, the conversation is warmer than a cold acquisition call because the owner initiated it. Second, a meaningful share of sellers are also buyers, which is why the Buyers and Sellers Hybrid Plan exists at all. The seller leads page explains the mechanics, and inventory acquisition covers how stores build a repeatable process around it.

Appraisal, trade capture and keeping the numbers in one place

Once an owner responds, someone has to put a number on the vehicle, and that is where most acquisition processes leak. The appraisal happens in one tool, the customer conversation is in another, and the deal gets desked in a third, so three people end up with three versions of the same car.

In LeadLocate, the vehicle rides with the customer record. A customer can carry multiple vehicles of interest and multiple trade-ins, so a household shopping two cars while selling one is not three separate records fighting each other. The mobile workspace includes VIN scanning through the phone camera using our document AI, so a manager standing at the car can pull the vehicle in rather than typing seventeen characters in the rain.

From there the numbers go straight into the desking engine, which covers loan and lease with a fifty state tax matrix, semimonthly payment frequency, trade-in credit caps and three lease tax methods. Trade allowance and payoff live in the same worksheet as the retail deal. That continuity, from appraisal to desk to customer-facing deal page, is worth more day to day than any single feature, because it removes the retyping where errors are born.

What we do not do, stated plainly

We would rather lose a demo than win one on a claim we cannot support, so here is the list. LeadLocate is not a dealer management system and we do not sell one. There is no general ledger, no accounts payable or receivable, no payroll, no bank reconciliation, no deal posting to accounting, no floorplan or vehicle accounting, no sales tax filing, no title and registration processing and no manufacturer reporting.

On the inventory side specifically, we do not run reconditioning workflow, we do not manage a parts counter, and we do not produce market-based repricing recommendations. Those are real disciplines with good vendors serving them, and a store doing serious volume should buy the right tool rather than accept a thin version bundled into something else.

What we do is the layer between your vehicles and your customers: ingest the feed, publish and merchandise the vehicles, capture the lead, route it in seconds, work the conversation across text, voice and email, desk the deal and hand the finance piece to SecureWebX. That is a coherent product rather than a shopping list, and it sits alongside whatever inventory and accounting systems you already run.

How to evaluate inventory tooling without buying four overlapping products

A method that works, learned from stores that have cleaned this up. Write down the four jobs at the top of this page and put a name next to each one for your store today. Most dealers cannot fill in all four, and one of them is usually being done manually by a used car manager on a spreadsheet at 7am.

Then ask, for each tool you already pay for, what would break if you cancelled it tomorrow. It is an uncomfortable exercise and it usually finds one subscription nobody can defend. Next, look at where data is retyped between systems, because every retype is both a labor cost and an error source, and it is the strongest argument for consolidating two tools into one.

Finally, insist on data ownership answers before you sign anything, from us included. What can you export, in what format, and does it include history. Ask it in the demo and get the answer in writing. Vendors comfortable being pinned down are usually the ones still worth having in year three. Our page on used car inventory management software works through the used-specific version of this evaluation.

Pricing and how stores usually start

Everything is month to month with no long term contract. CRM Only is $199 per month for the software with your own lead sources. Inbound buyer lead programs start at $799, Marketplace Acquisitions for the seller side starts at $999, and the Buyers and Sellers Hybrid Plan starts at $1,599. Lead Data Only is $599, and Skip A Month at $199 exists for stores with real seasonal swings. Current figures are on the pricing page.

The usual starting point for a store focused on inventory is one of two paths. Either connect the feed and get merchandising and salesperson sites running first, which is fast and low risk, or start Marketplace Acquisitions in a defined territory and see what inbound seller volume looks like in your market before committing further.

We cannot guarantee lead counts, acquisition volume or how many cars you buy, because those depend on your market and on how quickly your people respond. What we will do is map the territory with you honestly, show you the platform running, and price it so that staying is a decision you make every month rather than a contract you are stuck inside.

Frequently Asked Questions

Is LeadLocate a dealer management system?

No, and we do not sell one. There is no accounting, no title work, no parts and no service module. LeadLocate is the lead, communication, merchandising and desking layer that runs alongside whatever management system your store already uses.

Do we need an inventory feed to use the platform?

No. A feed and management system access are both optional, which is why brokers and individual salespeople can run on it. If you have a feed, Inventory Link ingests it and advertises your actual vehicles.

Can our agency or website vendor pull our inventory from you?

Yes. Inventory Link includes a public inventory API with key provisioning, so an approved external consumer can pull live inventory in a supported way instead of relying on a scheduled file export.

Do you handle reconditioning or repricing?

No. We do not run recon workflow and we do not generate market repricing recommendations. Those are separate disciplines and a high-volume used operation should buy a purpose-built tool for them.

How do the seller leads work?

They are inbound and opt-in. Local owners complete a vehicle offer request and ask to be contacted by a dealership. Every submission in your territory is delivered to you exclusively, with no filtering or scoring beforehand.

Are leads tied to specific vehicles in our inventory?

Some are and some are not. Inventory-sourced leads arrive with the VIN attached; others describe what the shopper wants in general terms. We never promise a ratio between the two because we do not control it.
