What switching actually costs, and a safer way to decide
The subscription difference is usually the smallest number in a CRM change. The costs that hurt are the ones nobody quotes.
- Data. Getting customer records, notes and communication history out in a usable format. Establish this before you give notice, not during your exit. Ask exactly what exports, in what format, and whether message history comes with it.
- Overlap. Plan on paying two vendors for a few weeks. Cutting over with no overlap is the most common way stores lose leads during a change.
- Adoption. Expect a productivity dip for two to four weeks. Budget management attention, not just training hours.
- Integrations. Every third party that posts into your CRM has to be repointed. Website forms, third party lead providers, chat, phone, inventory. Build that list before you start.
- Reporting continuity. Pull the historical reports you will want to compare against next year while you still have access.
Then evaluate by piloting rather than replacing. Run one store, or one team inside one store, for three to four weeks on a defined slice of lead flow while everything else stays put. Measure three things on the same period: time to first response, follow up touches before the trail goes cold, and appointments set. Those tell you more than any demo.
