CRM & Software
CRM for Franchise Car Dealerships
What a franchise store should demand from a CRM, where manufacturer requirements come first, and where we genuinely fit.
Start with the manufacturer question, because it decides everything else
Before you evaluate a single feature, find out what your manufacturer actually requires. Some brands specify a certified CRM list. Some tie program money or lead delivery to a system on that list. Some express a preference and do not enforce it. Some do not care at all. The answer varies by brand, by region and by year, and the person who knows it is your factory rep, not a software vendor's website.
We will tell you plainly: LeadLocate is not an OEM certified CRM. If your brand mandates a certified system as your system of record for manufacturer lead delivery, that requirement comes first and no amount of feature comparison changes it. We would rather you learn that from this page than from an awkward conversation two months into an implementation.
What that does not mean is that we cannot help a franchise store. Plenty of franchise rooftops run a certified system for what the manufacturer requires and run a second layer for the work the certified system does not do well: outbound campaigns, used car acquisition, BDC voice, exclusive local lead supply, salesperson level follow up. That arrangement is common and it works, provided everyone is clear about which system is the record of what.
What is actually different about franchise lead flow
A franchise store's lead mix is more complicated than an independent's, and that complexity is where CRMs usually break down.
You have manufacturer generated leads that arrive with their own format and their own response expectations. You have third party marketplace leads that are shared with competitors and demand a response measured in minutes. You have your own website forms. You have phone traffic, which at most franchise points is still the largest and least managed source. You have service customers who are also sales prospects, and equity opportunities sitting in your own sold list. And you have used car acquisition, which most franchise stores treat as an afterthought until the auction market makes it a crisis.
The consequence is that no single follow up process fits everything. A shared marketplace lead needs speed above all else. A manufacturer lead needs a specific compliant response. A service customer with positive equity needs a slow, low pressure conversation over weeks. If your CRM only supports one cadence shape, you will end up sending the wrong tone to two of those three groups.
That is why our follow up processes, drip leads with a drip editor, task automation and lead distribution rules are configured per lead type rather than per store. Different sources, different rules, different people.
Lead distribution and the internet department problem
Franchise stores argue about lead routing more than almost anything else, because routing decides who eats. The three common models each fail in a different way, and the right answer depends on your staffing rather than on best practice.
Round robin to the floor is fair and slow. Somebody is with a customer, the lead sits, and the clock that matters most keeps running. Routing everything to an internet department is fast and creates a handoff problem when the customer arrives. Routing by product line or by language works well and is administratively fiddly.
The platform supports global lead distribution with rules, distribution lists for the cases a rule cannot express, and global lead history so you can settle the argument about who received what and when. Escalation matters as much as the initial assignment: define what happens when the first assignee does not respond inside your standard, and make that automatic instead of relying on somebody noticing.
One number is worth measuring before you change anything. Pull your time to first response by source for the last ninety days. Most franchise stores discover that their average is respectable and their median on evenings and Sundays is terrible, which is a routing and coverage problem rather than an effort problem. More detail is on lead distribution.
The communication stack a busy franchise point needs
Volume is the differentiator here. A store handling four hundred leads a month needs communication tools that are fast for the user, not just complete on a feature list.
What ships: SMS and MMS with full threading, SMS campaigns and campaign lists, RCS messaging with SMS fallback, an email inbox with a composer, single message views, archive, campaigns and bulk email with recipient management, email domain authentication so your mail is recognized as yours, click to call with a VoIP softphone, call forwarding, trigger calls, call logs, call recording with transcription, and voicemail recording plus voicemail drop with recipient lists.
Two of those change how a franchise store operates rather than just adding a button. Call transcription lets a sales manager review fourteen calls in the time it used to take to review two, which is the difference between coaching that happens on a Saturday and coaching that gets postponed to a Tuesday that never arrives. Voicemail drop lets a BDC agent leave a prepared message and move to the next dial immediately, which materially changes attempts per hour.
There is also a phone validator and an email validator built in. At franchise volume, sending a bulk campaign into a list full of dead addresses does real damage to your sending reputation, and that damage takes months to undo.
Desking across new, used and multiple states
Franchise stores desk more deals per month than they realize, and inconsistency between desks is where gross quietly leaks. DealTracker and EZ Desking cover loan and lease with a fifty state tax matrix, semimonthly payment frequency, trade in credit caps and three lease tax methods. If you sell across a state line, which a large share of franchise points do, that matters on every lease you write.
Deals carry through to customer facing deal pages with electronic signature, so a shopper can look at their own numbers on a link you text them rather than a photograph of a worksheet taken at an angle. Deal jackets, deal chats and print templates keep the paperwork attached to the deal instead of scattered across four inboxes and one desk drawer.
What we do not do, stated clearly: we do not carry manufacturer program data such as subvented rates and residual libraries, and we do not push deals into your accounting system. Desking here is a quoting and presentation engine that is accurate on tax and structure, not a replacement for what your dealer management system does after the deal is signed. The desking tool page goes through the engine in detail.
Where the lead supply comes in
The reason a franchise store looks at us rather than only at CRM vendors is usually the lead side, and specifically two gaps: exclusivity and used car acquisition.
Our buyer leads are territory based. You choose a zone around your store and every submitted lead inside that zone is delivered to you exclusively rather than resold to three competitors who will all call the same customer within the same minute. The leads are a mix: some arrive VIN specific against advertised inventory, others are open shoppers describing what they are looking for. We do not promise a ratio, because we do not control which customer fills out which form, and nothing is filtered or scored. Pre screening questions are asked at capture and everything submitted in your zone is delivered.
The acquisition side, Marketplace Acquisitions, is inbound and opt in. Local owners fill out a vehicle offer request and ask to be contacted by a dealership about selling their vehicle. For a franchise store fighting for used inventory, that is a supply channel that does not go through an auction lane. The seller leads page covers how it works, and what to expect from car sales leads sets realistic expectations about who these customers are.
Reporting a general manager will actually read
Three reporting layers ship with the platform: activity reporting for what individual people did, company reporting for store performance, and management reporting for the roll up. Because the communication happens inside the system rather than on personal cell phones, the activity data is a record rather than a self assessment typed in at the end of a shift.
For a franchise store, four numbers deserve a standing place on the wall. Time to first response by source, because it is the most controllable variable in the funnel. Follow up depth, meaning how many touches a lead receives before everyone gives up, which is nearly always lower than managers believe. Appointments set versus appointments kept, because the gap between those two is a process problem you can fix in a week. And unsold follow up, meaning what happens to a customer who came in and did not buy, which is the largest pile of neglected opportunity at most franchise rooftops.
Role based user management with per user permissions and a login log means you can hand a general sales manager the numbers for their department without handing them everything, and know who looked at what.
What we are not, in plain language
LeadLocate is not a dealer management system and we do not sell one. There is no general ledger, no accounts payable or receivable, no payroll, no bank reconciliation, no deal posting to accounting, no floorplan accounting, no sales tax filing, no title and registration processing and no manufacturer reporting. Parts and service are outside our scope entirely: no parts inventory, no repair orders, no service scheduling, no technician time clock, no shop loading.
We are also not an OEM certified CRM, as covered above, and our connection depth into a dealer management system is more limited than an enterprise CRM built around that integration. On the F and I side we handle secure credit applications, shareable apply links you can text to a customer, consent and compliance record keeping, document collection and worksheets, but not eContracting with lenders, not lender portal integration and not menu selling with product rating.
None of that stops the platform working alongside what you already run. It does mean you should size the decision correctly: this is a lead generation, communication and follow up layer, not a replacement for the systems your office runs on.
How a franchise store should trial it
Do not start with the whole store. Start with the department that has the clearest gap, which for most franchise points is either used car acquisition or evening and weekend lead coverage.
Run one team for three to four weeks with a defined slice of lead flow. Keep your certified system doing whatever the manufacturer requires. Measure time to first response, follow up depth and appointments kept against the same period last year and against the rest of the store right now. If the numbers move, expand. If they do not, you have spent one month and learned something concrete about your process.
Pricing is month to month with no long term contract. CRM Only is $199 a month if you want the software alongside your existing lead sources. Lead Data Only is $599. Inbound buyer leads start at $799, Marketplace Acquisitions at $999, and the Buyers and Sellers Hybrid Plan at $1,599. Skip A Month is $199 so a store can pause lead delivery through a slow month without losing its data or its zone.
We cannot guarantee lead counts, close rates or sales results, and we will not attach a number to your store before we have seen how you work. What we will do is show you the platform running and let thirty days make the argument. Start with the demo, or call 844-376-2274.
Frequently Asked Questions
Is LeadLocate an OEM certified CRM?
No. If your manufacturer requires a certified system of record, that requirement comes first. Many franchise stores run a certified system for what the brand mandates and run our platform alongside it for lead supply, outbound campaigns, BDC voice and used car acquisition.
Can we run it alongside our existing CRM instead of replacing it?
Yes, and franchise stores often do exactly that. Be explicit about which system is the record for which lead source so you are not creating two versions of the truth, and make sure opt out status is respected in both.
Do you integrate with the dealer management system we run?
Not required and not as deep as an enterprise CRM built around that connection. Neither a DMS connection nor an inventory feed is required to operate. If you have an inventory feed, Inventory Link ingests it and advertises your live vehicles.
Does the desking tool carry manufacturer lease programs?
No. It calculates loan and lease accurately with a fifty state tax matrix, semimonthly frequency, trade credit caps and three lease tax methods, but it does not carry subvented rate or residual libraries. Program figures still come from your usual source.
Can we use it for service customers?
For service BDC style texting, follow up and appointment conversations, yes. We are not a shop management system: no repair orders, no service scheduling, no technician dispatch. Those stay with whatever system runs your shop.
How is the lead territory defined for a franchise point?
You choose a zone around the store and leads submitted inside it come to you exclusively. If you own more than one rooftop we map the zones together so your own stores are not competing for the same shopper.
