BDC Appointment Setting Software

The tools that get a shopper on the calendar, keep them there, and let a manager see exactly why an appointment was set or lost.

BDC appointment setting software gives a dealership team the routing, messaging and calling tools to turn a new lead into a booked visit, then confirm and recover it. LeadLocate covers that with instant lead distribution, SMS, RCS and voice, call transcription, appointment records, reminders and follow up processes, sold month to month.

What appointment setting software actually has to do

Every vendor in this category says it sets appointments. Almost none of them describe the five separate jobs that sit under that sentence, which is why stores buy software and still book the same number of visits they did before.

Job one is getting the lead in front of a human being fast, which is routing. Job two is making contact on the channel the shopper will actually answer, which is messaging and calling. Job three is capturing the appointment as a record with a time, an owner and a vehicle attached, rather than a note in someone's head. Job four is confirming it, which is a completely different activity than setting it and is where most of the shrinkage happens. Job five is recovering the ones that do not show.

A tool that only does job three is a calendar. A tool that does one through five is appointment setting software. When you sit through a demo, make the vendor walk each of those five in order on a real lead, not a slide. The gaps show up immediately, usually between three and four.

Routing: the first ninety seconds decide most of it

Response time is the most controllable variable in this whole process and the one most stores measure least honestly. The number that matters is not average response time, which a handful of instant auto replies will flatter. It is how long it took a human being to have a real conversation, and how many leads never got one at all.

LeadLocate handles arrival with global lead distribution and distribution rules, plus distribution lists for the cases a rule cannot cover. You can round robin across a BDC, weight toward your strongest closers, hold internet leads with a director before they hit the floor, or split by source and by store. Global lead history records where every lead went and when, which settles the argument that starts the moment a manager says their team never received something.

Missed lead alerts matter as much as the routing itself. A lead that sits unworked at 7pm on a Friday is worth less every hour, and the only thing that reliably fixes it is the system escalating rather than a person remembering. There is more on the mechanics on the BDC lead routing page.

Text first, call second, and the tools for both

Shoppers answer texts. They do not answer unknown numbers. Any BDC process built call first in the current market is fighting the customer's habits, and you will see it in your connection rate.

The messaging side includes SMS and MMS with real threading, so a photo of the actual vehicle lands in the same conversation as the appointment offer. RCS messaging with automatic SMS fallback gives you a richer, branded message on handsets that support it without cutting anyone off. Templates keep the first touch fast without making it sound like a form letter, and the whole thing runs consent based with opt outs honored.

The voice side is a real phone system rather than a click to dial bolt on. Click to call from the lead record with a VoIP softphone, call recording, call forwarding, trigger calls, and voicemail drop so an agent can leave a prepared thirty second message and move to the next name instead of listening to their own voice forty times a day. AutoMail adds IVR and inbound routing so the calls your campaigns generate get answered and directed rather than ringing into a busy showroom.

Call transcription turns appointment setting into a coachable skill

This is the capability most managers do not know exists, and it changes BDC coaching more than any script does.

Calls are recorded and transcribed, so a manager reads what happened on a twelve minute call in about thirty seconds. You stop sampling three calls a week because that is all you have time to listen to, and you start reviewing the pattern across a whole team. The specific thing you are looking for is usually not tone. It is whether the agent ever asked for a time. A remarkable number of pleasant, professional calls end without a single direct request for an appointment, and nobody catches it until it is written down in front of them.

Transcripts also settle disputes with customers, document what was promised on price or availability, and give a new hire something to study that is not a role play. The call transcription page goes deeper on how it is used day to day.

Setting the appointment is not the same job as confirming it

Stores lose more booked visits between the set and the show than they lose in the setting conversation, and it is almost always a process gap rather than a customer problem.

An appointment in the platform is a record with a date, a time, an owner and vehicle detail attached, tied to the customer profile rather than to one person's phone. Reminders and calendar entries hang off it. Automations and follow up processes then run the confirmation sequence for you: a same day acknowledgement, a reminder the evening before, a short message a couple of hours out with the salesperson's name and where to park.

The wording of the confirmation matters more than the timing. A message that asks a yes or no question gives the customer an easy exit. A message that assumes the visit and offers a small useful detail, such as who to ask for and that the vehicle is pulled up front, does not. Small thing, measurable difference. There is a fuller cadence on the BDC follow up schedule.

No shows: the first twenty minutes are worth the whole day

A no show is not a dead lead, it is an interrupted one. The window where you can still save it is short, and most stores waste it by waiting until the end of the day to notice.

The recovery that works is immediate and low pressure. Twenty minutes past the appointment time, a text that assumes something came up and offers two specific alternative times, not an open ended request to reschedule. If that gets nothing, a call from the same person the customer already spoke to, because a new voice restarts the relationship from zero. Then a drip that keeps the record warm for a few weeks rather than closing it out on the same afternoon.

All three steps can run as a follow up process triggered by the appointment status, so the cadence survives a busy Saturday. Reporting then shows you set, confirmed and shown counts separately, which is the only way to tell a setting problem from a confirming problem. More detail on no show recovery.

Measuring a BDC without fooling yourself

Appointment counts on their own are the easiest number in the dealership to inflate. An agent under pressure will book a soft appointment to make a board look right, and you will find out on Saturday.

Three reporting layers cover it: activity reporting for what individual people did, company reporting for store level performance, and management reporting for the roll up. Because calls, texts and emails happen inside the platform instead of on personal cell phones, the activity data is observed rather than self reported, which is the difference between a report you coach from and a report everybody quietly ignores.

The five numbers worth watching weekly are time to first human contact, contact rate by channel, appointments set, appointments confirmed and appointments shown. Watch the ratio between set and shown by agent. A high setter with a poor show rate is not producing, they are creating work for the floor, and that only becomes visible when the two numbers are tracked separately. Response time discipline is covered further on the response time SLA page.

What this does not do, and how stores usually start

Being straight about the edges. This is not a dealer management system and does not post deals to accounting, handle title and registration work, or schedule service against shop capacity. It is not an OEM certified CRM. A DMS integration and an inventory feed are both useful but neither is required to run, which is why solo salespeople and brokers use the same platform a twenty person BDC does.

We also cannot guarantee appointment counts, show rates or sales. Those depend on your market, your inventory, your pricing and the people doing the calling. What the software can do is make the fast, disciplined version of the process the easy one and show you honest numbers afterward.

Most stores start one of two ways. Either CRM Only at $199 a month, using their existing lead sources, to prove the workflow with the team they already have. Or a lead program that includes exclusive local leads in a mapped territory around the store, from $799 a month, when the constraint is volume rather than process. Everything is month to month with no long term contract. Figures are on the pricing page, or contact us and ask directly.

Frequently Asked Questions

How fast can a new lead reach a BDC agent?

Distribution rules route a lead the moment it arrives, so it lands on a named person rather than in a shared queue. Escalation and missed lead alerts cover the case where the first assigned agent does not act, which is where most slow responses actually come from.

Can the confirmation sequence run automatically?

Yes. Automations and follow up processes fire off the appointment record, so acknowledgement, day before reminder and same day message run without anyone remembering. You keep the ability to write over the templates for a specific customer.

Does it record and transcribe calls?

Yes. Calls placed and received through the platform are recorded, and transcription lets a manager read a long call in about thirty seconds. It is the fastest way to find out whether agents are actually asking for a specific appointment time.

Do we need a DMS integration or an inventory feed?

Neither is required to operate. If you do have an inventory feed, Inventory Link can ingest it so your actual vehicles are what gets advertised and referenced in appointment conversations.

Will this increase our show rate?

We cannot guarantee a show rate, and any vendor who does is selling something other than software. What the tools do is make confirmation and recovery run every time rather than on the days the team has spare capacity, and report set, confirmed and shown separately so you can see where the loss is.

Does it work for a one person internet department?

Yes. The same messaging, calling, appointment and follow up tools run for a single user, and there is no minimum seat count or long term contract.
