Automotive BDC Text Message Templates
Short messages that sound like a person, in the order a real BDC actually sends them.
What separates a text that gets a reply from one that gets ignored
Before any template, the rules. These decide the outcome far more than clever wording does, and most stores get at least two of them wrong.
Short. One or two sentences. If it wraps past a phone screen it reads like a form letter and gets dismissed without being read. The longest message in this whole page is three sentences and it is the exception.
One question. Two questions in a text produce zero answers. Ask the single thing you most want to know and save the rest for the next message.
Specific. Name the vehicle. "The silver Tacoma you looked at" beats "the vehicle you inquired about" every time, because the first one proves a human read the inquiry.
Signed. First name and store, at least on the first message. A number with no name attached looks like spam and gets blocked.
Human. Read it aloud. If you would not say it standing in front of someone, do not send it. "I wanted to reach out regarding your recent inquiry" is not something a human says.
Consent first. Text people who agreed to be texted, honor every opt out immediately, and keep the record. TCPA compliance for dealership texting covers the standing rules and they are not optional.
First response templates, sent inside five minutes
Speed beats polish. A mediocre text in three minutes outperforms a beautiful one in three hours, because by hour three the shopper has already talked to two other stores.
New inbound lead, vehicle specified. "Hi Maria, it is Dan at Northside Auto. Saw you were looking at the 2021 Tacoma. It is still here. Want me to send you a walkaround video?"
New inbound lead, no vehicle specified. "Hi James, Dan at Northside Auto. Thanks for reaching out. Are you shopping for something specific or still narrowing it down?"
Payment or financing inquiry. "Hi Ana, Dan at Northside Auto. Happy to get you real numbers on that Escape. Are you looking to finance or pay cash?"
Trade inquiry. "Hi Rob, Dan at Northside Auto. Got your info on the Silverado. What is the mileage sitting at right now?"
After hours arrival. "Hi Chris, Dan at Northside Auto. Got your message about the Civic. We open at 9. Want me to hold it for you or send details tonight?"
Note what none of these do. None mention price unprompted, none ask for an appointment in the first message, and none contain the word inquiry.
No response follow up, days two through fourteen
Most stores send two follow ups and stop. The messages that actually produce replies are usually the fourth through the seventh, which is exactly where nobody is still trying. Vary the angle each time. The same message rephrased is the thing people mute.
Day 2, value angle. "Hi Maria, Dan again. Pulled the Carfax on that Tacoma and it is a clean one owner. Want me to text it over?"
Day 4, question angle. "Maria, quick one. Is the Tacoma still the direction you are leaning, or has something else caught your eye?"
Day 7, availability angle. "Hi Maria, two people looked at the Tacoma this week. Not pressuring you, just did not want you to hear it from a sold sign. Still interested?"
Day 10, alternative angle. "Maria, we took in a Frontier this week with lower miles and a similar payment. Want a photo?"
Day 14, permission to close the loop. "Hi Maria, I do not want to keep bothering you. Should I close this out, or is the timing just not right yet?"
That last one is the highest reply rate message in most stores, and it works because it is genuinely honest. A meaningful share of the replies are "no, keep me on the list." Full cadence structure lives on the BDC follow up schedule.
Appointment set, confirm and show
Set appointments are worth more than leads and stores treat them like they are guaranteed. They are not. The confirmation sequence is where show rate is won.
Immediately after setting. "Perfect, Maria. Tuesday at 5:30, I will have the Tacoma pulled up front and cleaned. My cell is this number if anything changes."
Day before. "Hi Maria, confirming tomorrow at 5:30. Anything you want me to have ready before you get here?"
Two hours before. "Maria, Tacoma is up front and I am here until 8. See you at 5:30."
Fifteen minutes late. "Hi Maria, no problem at all if you are running behind. Just let me know and I will stay."
No show, same evening. "Hey Maria, sorry we missed each other. Life happens. Want me to hold it for tomorrow?"
The last two matter more than the first three. A no show handled without any hint of irritation converts at a rate that surprises people, because the customer is usually a little embarrassed and expecting to be scolded. Give them an easy way back. No show appointment recovery covers the longer sequence.
Seller and acquisition templates
These go to local owners who filled out a vehicle offer request and asked to be contacted about selling. They are inbound, they raised their hand, and the tone should reflect that. Do not open with a lowball or a hedge.
First contact. "Hi Ken, Dan at Northside Auto. You asked about an offer on the 2019 4Runner. Two quick questions and I can get you a real number today. What is the mileage and does it have a clean title?"
Follow up, no reply. "Ken, still happy to make you an offer on the 4Runner. Takes about ten minutes and there is no obligation on your end."
After an appraisal. "Ken, our number on the 4Runner is ready. Want me to text it or would you rather I call?"
Offer declined. "Understood, Ken. If it does not sell in a couple weeks, my offer stands. Just text this number."

Reactivation, sold customers and service to sales
Your own database is the cheapest lead source you have and almost nobody works it on a schedule.
Aged lead, six months quiet. "Hi Priya, Dan at Northside Auto. I know it has been a while. Did you ever end up getting into something?"
Sold customer, anniversary. "Hi Priya, a year in the Rogue already. How is it treating you?"
Equity or lease maturity. "Priya, your Rogue is worth more than what is left on it right now. Want me to run the numbers on getting you into something newer at a similar payment?"
Service to sales. "Hi Priya, saw the Rogue in for service today. That estimate is a chunk of what the car is worth. Want me to show you what a trade looks like before you spend it?"
Referral. "Priya, anybody in your family car shopping right now? Happy to take care of them the same way."

The setup that makes templates actually run
A template document in a shared drive gets used for three weeks. What survives is a cadence built into the system, where the message is queued and the agent approves or edits rather than composes.

How to tell whether your templates are working
Reply rate is the metric, not send volume, and it should be measured per template rather than in aggregate. A blended number lets one dead message hide behind four good ones indefinitely.
Track four things by template. Reply rate. Time from send to reply. Opt out rate, which is your early warning that a message is annoying people. And appointments attributable to the thread. Reporting across activity, store performance and a management roll up gives you the numbers, and call transcription lets a manager review what happened after the text turned into a call.
Then change one thing at a time. Send template A to half the list and template B to the other half for two weeks. Most stores rewrite everything at once, learn nothing, and repeat the exercise next quarter.
Two honest cautions. First, we cannot guarantee reply rates or sales results from any template, and no vendor can, because that depends on your market, your inventory and your people.
